6. Explanation of Process
To begin, data is exported from 4 different systems
which contain payroll, travel voucher data, and various
other information. Then a macro compiles all of this
data into our monthly report.

Afterwards the report is posted into a datasheet on SharePoint.
This is where everyone in the organization logs in to update the status of
their travel vouchers (or payroll orders) all at the same time.

The columns labeled “Comments” keep track of the updates between the old and new reports.

The second set of columns are set aside for the individual units to update with their comments.
The first set of columns are set aside for the organization/FM office to update with any applicable
comments.

Please note: this is a very effective tool that encourages transparency, and is also an easy way to
communicate between multiple organizations.

If a member wants to e-mail their designated finance POC with a question or a status of their
voucher/payroll order they just have to click on this XML link and it will auto-generate an e-mail for them.

Once a month when all of the members have updated their comments this
report is then exported into MS Access, this is where all of the reports are
kept and combined in order to show the current and previous comments.
