So, understanding the impact that poorly managed content can have on various stakeholders, let’s take a closer look at those business processes which are most in need of managed unstructured content This is a large set of processes which share several common aspects: Increasing amount of structured and unstructured content (Increasing amount of structured and unstructured content results in rising IT complexity, lower performance and escalating migration and storage costs.) Content is locked up in siloed applications which can't be shared across business processes and among users of different applications. There is a high rate of inefficiency as content is entered twice, copied from one application to another, or duplicated via email, to make it usable in multiple contexts. Multiple departments, users & applications are creating overwhelming amounts of unstructured and structured content that has no relationship. Content is fragmented across a variety of separate applications which hinder Information workers to find relevant content relating to a particular transaction or matter . Global project teams have a lack of environment to work collaboratively & find inefficient workarounds resulting in delays because of inability to have a comprehensive view of all content to business process. La ck of a consistent approach to records management across all of the organization's content not only jeopardizes compliance but also increases the organization's discovery costs and limits an organization's ability to create and leverage a consolidated view of its operations or customers .
So… what does this mean? Going back to our previous example, the integration of SAP business processes with Enterprise Content Management solve a number of problems and brings key befits: * First of all, managing content with an ECM platform in itself has large operational benefits. Versions of documents are controlled, collaboration is streamlined, and content is archived and destroyed – all of which help manage the volume of this information and remove it from production systems. Secondly, with Extended ECM, content in the ECM platform is connected to SAP enterprise applications, eliminating the need for other repositories and simplifying the IT landscape Thirdly, content is easily accessible across the enterprise. Although access rights still apply, this solution gives SAP-users 360 degree visibility into any and all content associated with transactions. It also gives non-SAP users access to content associated with an SAP transaction. Neither of these important capabilities are possible without Extended ECM. Fourthly, transaction metadata is associated with each piece of managed content, which means that users can always determine which process the item is connected to. So for example, random content like photos from an industrial accident, or an invoice or a quote or a contract are all clearly associated with a business process and transaction so that users can figure out whether or not they are important. Fifthly, content management tools are designed to enable collaboration across any organizational silos with a broad set of tools such as shared workspaces, approval workflows and wikis And lastly, by integrating records management into this ECM solution, organizations can ensure that relevant documents are retained for the right amount of time – ensuring regulatory compliance and reducing legal risk. And as we will discuss later, a ot of this can be done automatically with no user intervention.
In this example we have mapped the SAP business process and cross referenced where ECM provides added benefits into the existing process. By leveraging the combined capabilities of Extended ECM in this scenario it provides supports to the “Project Planning & staffing and Project Execution” part of the SAP business process: Project manager: creates project master data in SAP PS, a corresponding project workspace is created automatically, capitalizing on existing SAP master data Documents and correspondence are managed by the project team in the project repository Emails are filed using Outlook integration Resource planning and time and expense tracking are done based on SAP PS In every example scenario we have highlighted how records management can be added as a transparent part of the process. Records (physical/electronic) are captured automatically and require no end-user participate to assign the RM classification All content create during the business process will be managed throughout the contents lifecycle (creation to deletion) Records are made available to end users SAP metadata is used to drive the retention schedules Administration is done by the Records Manager Again, its important to note that this is a transparent step in managing an organizations content. It can be done seamlessly – which 99% of organizations prefer. They don’t want end-users to have be responsible for selecting the correct records classification.
In recognizing the need for an integration between SAP - ECM we have jointly developed SAP Extended ECM by Open Text which embeds content management directly in the business process thus allowing ALL content to have a consistent business context. The application can deliver EXACTLY the right content to the business worker for his/her role and process step. Underpinning the integration of ERP-ECM is the capability to leverage an enterprise records management application on SAP content. Extended ECM is the only productized ECM solution fully integrated with SAP. Its important to note that the 7 focus areas: Content Access, Collaboration, Workflow, Archiving, RM, Capture & DM together provide the enhance functionality to business process bringing optimization, productivity while reducing costs. When Enterprise Content Management capabilities are coupled with best of class processes, SAP, you get CONTENT-ENRICHED BUSINESS PROCESSES.
