Information Security: things to be aware of

Data may be held on multiple devices,
storage facilities
UEA will never ask for password by
phone or email
How secure is your non-digital data?
University email accounts are filtered
twice for spam. CanIt blocks over
20,000 spam emails per day (over 60%
of the total no. of email)

Information security: What is UEA doing
and how can you help?
Read the Conditions of Computer Use policy – sets out standards for
responsible & safe use of UEA network. Applies to ALL users of
computers at UEA
Remember paper-based information and memory sticks – if it contains
sensitive or personal data, make sure it’s encrypted / locked away
You will be required to change your password every year
Encrypt information if you’re taking it outside UEA
Set your own level of spam filtering & forward suspicious emails to IT
Helpdesk
Mobile devices set up to access UEA email systems require a a 6 digit
PIN code or lock code
HE-specific Online information security training for all staff and PGRs

Gives everyone a right of access to any recorded information* held by the University
University must respond within 20 working days to all requests for information

Members of staff who work with personal data have certain obligations under the Act to
handle such data responsibly

Stress that just keeping everything is not the answer. While you can’t delete information that you know has been requested under FOI / EIR / DPA, and some information must be kept for statutory purposes, routine deletion of non-essential information is part of good records management.
