24. Step 2A. Submit Documentation
• Send us a copy of your organization's letter of tax exemption
from Revenue Canada (charities), letter of incorporation
document (federal or provincial nonprofit organizations). For
more details, read our Eligibility Criteria.
If your organization's name or address differs from your tax
documentation, you may be asked via email for a letter on
your organization's letterhead clarifying these differences.

• Once your documentation has been received, we will confirm
your organization’s eligibility status typically within two-
weeks of receipt. You can also log into your account to check
your organization’s status.
• To log into your account, visit www.techsoupcanada.ca, and
click on “Log In” in top right corner, and enter your
organization’s username and password.

• Eligible organizations may place a maximum of 2 orders (1 per year) within a 2-year period
• An organization's first order initiates a 2-year ordering cycle. After the ordering cycle has
begun, an organization must wait 1 full year before placing a second order. i.e. an organization
that placed an order on 01/07/08 may place a new order 01/07/09
• The combined total of products ordered in a 2-year period may not exceed six titles and 50
user licences per title (or 1 licence per server title)
• Once 2 years have passed since an organization's original order, the order limits will be reset.
i.e. an organization that placed an order on 01/07/07 may order 6 new titles and 50 licences per
title (or 1 licence per server title) on 01/07/09
• Each order must include a minimum of 5 "seats." 1 licence = 1 seat. Each licence counts
individually toward the 5-licence total except for server licences. Server licences count as 5
seats, and thus fulfill the 5-seat requirement on their own

• You can view the items in your cart at any time. Once you
have finished selecting items from a donor partner, proceed

42. Delivery Addresses
• The Microsoft Software Donations Program requires products to be
delivered to the registered address of your organization. The registered
address is considered to be the address that is stated on your
organization's letter of tax exemption.
• The Cisco* EMEA Program permits goods to be delivered to an address
other than the registered address, provided confirmation of the delivery
address is given in writing by a Trustee or Director of your organization.
• The letter for Cisco must:
- Be on your organization’s headed paper
- Clearly show the registered name, number, address and email of your org.
- Show the delivery address in full (delivery addresses cannot be P.O. boxes.)
- Contain a brief explanation why the delivery address is not the registered address
- The letter should be faxed to us at 866-951-4897

43. What to expect: receiving MS products
When bought at a
retail outlet: 1. Receive award letter via email –
Congratulations, lists software items donated,
notes that CDs/DVDs have been mailed.

• Volume licensing of software makes it easier and more affordable to run
software on multiple computers within a single purchasing organization.
• Volume Licensing combines the latest software with phone support,
partner services, training, and IT tools.
• Depending on the Volume Licensing program, you may receive media,
and you have the option to acquire media (or supplemental media),
documentation, and product support separately as needed.

• The administrative fees cover the cost of administering the
donation program and other initiatives at TechSoup Canada.
• Fees ensure that the TechSoup Canada Product Donations
Program can continue to offer donated products as efficiently as
possible, at the lowest possible cost.

nonprofits will still save between 92-96% off the typical retail
