Sterlite is in a rapid, high-growth mode with new market and revenue opportunities. In
order to meet market demands, they needed to restructure some internal processes. An
area that was critical in meeting their strategic objectives for growth was their investment
in human capital. With employees dispersed across multiple geographies, Sterlite sought
to streamline and update their human resources (HR) system. They needed a solution that
would scale with them, provide faster return on investments, and integrate multi-level
departmental practices into one unified platform. Sterlite’s current HR process tool was
an Excel-based manual system that was inefficient for their increasing process complexity.
This higher data volume required better storage, retrieval, and manipulation capabilities
than their existing system. They needed a solution that would have the ability to identify
and support future growth opportunities and provide real time information to senior
management.
YASH Enabled Company to Respond Better to Changing Market Demands
YASH Technologies recognized Sterlite’s business challenges of today and tomorrow,
and the need to maximize the potential of its workforce, enabling efficiency and swift
responses to changing market demands. Leveraging their existing investment in SAP®,
YASH recommended a best of breed implementation of a Human Capital Management
(HCM) system for its increased information transparency, management control, process
standardization, data accuracy, and operational efficiency. Within this solution, YASH
implemented a critical Employee Self Service (ESS) and Manager Self Service (MSS)
module, utilizing the Intranet portal as a gateway to the new application functionality.
The self-service module would allow Sterlite’s HR department to provide strategic value-
added services to their staff versus being occupied with transactional activities.
To meet Sterlite’s business objectives, YASH implemented several sub-modules of SAP HCM
in only four months - which also included development of customer-specific processes.
These solutions included the following:

recording, monthly budget monitoring with head count planning, and travel
management.
▪▪ Talent Management — Recruitment capabilities interfaced with a custom Resume
Builder application, employee performance management, training evaluations, and
event management.

employee time records, mapping of annual/mid-year appraisals, and risk analysis to
aid in decision-making.

YASH interfaced an additional feature of HCM that replaced all manual transactions in
Sterlite’s career portal to offset the high demand of applicants during this period of rapid
growth and aggressive business objectives. Status-based reports enhanced manager’s
decision-making abilities and reduced recruitment cycle time. Managers were able to
make online requests for more manpower through MSS and the HR department could get
the approved numbers for hiring. The profile match-up feature assisted in comparing job
requirements with the applicant’s qualifications and selection of the right candidate for
the position. This allowed Sterlite to find and retain the best employees possible.

Change Management Initiatives Ensured a Successful Implementation
To facilitate the most successful implementation possible, YASH provided a strategy to
ensure high user adoption. YASH executed an extensive change management service for
Sterlite’s new Intranet portal that included:

department, lunchroom, and production site across the country.
▪▪ SAP HCM Champions — YASH selected one employee from each department and
implemented a train-the-trainer program to create 45 champions.
▪▪ R/3 User Manual — Created step-by-step guides for ESS and MSS in soft and hard
copies.
▪▪ Interest Maintenance — Emailed weekly tips on ESS and MSS features to employees
and incorporated e-Learning add-on’s.
Due to YASH’s successful change management initiative, Sterlite’s adoption of the new
functionality was rapid and seamless. With Sterlite leveraging the new Intranet portal
solution, employees and managers found that it increased ownership of HR matters
and reduced cycle time on routine activities. Employees can now update their personal
information, make travel requests, view and revise vacation earnings, and sign-up for
training programs. Managers can view details of employees, approve or deny HR requests,
and perform employee appraisals online.
