Introduction
Founding in 1976, Alma LLC serves its customers in providing exceptional service with tax
preparation and payroll. Currently the firm is seeking a more effective and efficient way to
communicate with our customers and clients by utilizing a secure sharing site location. The shared
site location must easily manageable, require an SSL encryption security, and secure passwords. It
must also have the ability to upload and download files promptly when file share and additional
information is needed between customers, clients, and employees.
Statement of Purpose
The company will sign with a vendor that can offer file share upload and download provided in a
secure SSL. For the company this eliminates additional costs it would take if we were to purchase a
server in-house, cross train employees, maintain security updates, or hire a consultant to sustain
software/hardware against new and known threats. Our priority is to retain the security of our
customer, clients, and employee’s data while simultaneously providing a tool that enables quick and
easy communication.
Project Overview
Over the past few years with the rapid growth of the World Wide Web, customers and clients expect
faster results from the business. One of the particular areas is in communication when a customer or
client needs to send documentation required to complete forms. Alma LLC is moving forward to find
ways to accommodate to the customers and client. In doing so Citrix Sharefile is the selected vendor
to partner with. Reviewing sharefile.com, we have identified the benefits that match the requirements
of our business. Citrix Sharefile offers everything we are looking for in providing an effective and
efficient way to communicate, utilizing a secure sharing site that is easily manageable, has the
required SSL encryption security, secure passwords, quick upload and download requirements all
while maintaining the net of safeguard and protection.
Goals
1. Establish a secure environment in order to share files without adding a secondary server
in-house.
2. Integrate new software with minimal disruption to current systems.
3. Acquire adequate space, training, technical support, and encryption for all users.
4. Secure SLL upload/download site.
5. Meet customer’s deadlines and satisfaction.
6. Increase customer satisfaction.
7. Perform the change without affecting current customer’s schedules.
8. Decrease customer’s waiting for documents to be completed.
9. Stay within 1% of the capital budget without exceeding 5% within project baseline
schedule.
General Approach
 No hardware or changes to current company equipment is needed.

 Citrix ShareFile server adaptable to a variety of software, utilized through mobile devices,
file sharing on PC’s, and can be used with additional plug ins for other software
compatibility.
 Technical support provided through Citrix ShareFile, with no additional need for an
external contractor.
 Employees will be participating in initial and annual training for potential adjustments in
the software itself to ensure top performance and service to customers and clients.
Constraints
Budget constraints: Project has little increase in profitability for the company but will increase
customer service satisfaction and client participation. There is an initial fee for customers signing
up for the Citrix Sharefile software. Additional costs in employee training of software. We believe
even with those constraints satisfaction will yield additional clients and customers increasing our
profitability as a business.
Space: Limit in space, there is no space requirements within the office or having to hire a
consultant to support the software.
Time: After a 30 day trial period a scheduled billing cycle will occur for employees. A portion of
that cost is retained by Citrix ShareFile for its service and a portion to our company in providing
those customers.
1. Safety regulations, with the growing threat of sniffer and identify theft it is in the best interest
of the business to provide a tool that is secure using the AES 256-bit encryption and sending
files using SSL/TLS connection.
2. Current customers and clients will be able to file documents with the business on time and
stay within schedule. When documents are completed within a respectful time, it means
more time to work on other clients/customers information to bring in more revenue. The
information transmitting to and from the client will be seamless, and yet the business knows it
is all secure.
Conclusion
Since 1976, Alma LLC has made customer service our prized goal. As the expansion of the internet
and living in our current technology age we are eager to provide a more effective and efficient way
in keeping the wants and satisfactions of our customers the number one priority. Signing up with
Citrix ShareFile brings benefit for both our customers and business. Access to the software is readily
available and accessible via email, through file share on PC’s, or by using mobile devices.
The implication of this software will allow our customers and employees to upload/download
documents in a secure environment, communicate between businesses providing a 90% turn around
for the completion of documents much needed for payroll and tax returns. By servicing customers
wants, our company and business volume is certain to grow. Citrix Sharefile is very flexible and easy
