The Business Challenge
Profusion has multiple clients for whom the majority of work is short-term projects
with fast turnaround and limited briefs.
“We wanted to more quickly share ideas and collaborate on experiments in fluid
teams”, continued Riaz. “Data, learnings and other output can tend to get stuck in the
email and file servers of the individuals who created them. We needed a system that
allowed us to work creatively but also enabled us to retain the knowledge we created in
those creative sessions and share it more readily.”
Also specific projects require fungible and flexible teams with individuals working
on many tasks. Reflecting this flexibility in the software used was proving to be very
difficult.
“We recognised the way that traditional agencies were run lacked the agility that
customers were looking for both in terms of response time to initial requests for
information but also in terms of how the project was delivered. Having looked at the
tools on the market we couldn’t find anything that gave us the connected working
model we need to work in a more agile fashion. That is, until we discovered BCSocial”.

“BCSocial has allowed us to execute our vision of what an agile agency should look
and ‘feel’ like. We can share documents like winning emails, presentations and
other materials that we produced for clients on the system. This reduces search time
enormously allowing users in a team to find the previous work they need so that
they can respond more quickly. The search function in BCSocial also is incredibly
powerful’
BCSocial goes way beyond document storage and retrieval of course. Profusion has
found that the ability to share and seek help from colleagues through the system
quickly builds shared knowledge. Explains Riaz, “an answer to a frequent question
is there for everyone on a team so not only does the answer help the recipient but
everyone can benefit from the knowledge. Doing that in email means that while a
question is answered the knowledge is not captured or shared”.
But perhaps the biggest benefit is the ability for team to work on projects more
efficiently. Marketing agencies’ profitability is essential a functions of their ability
to efficiently respond to clients’ requests. BCSocial helps Profusion quickly scale up
teams and resources that can work together with the resources they need to quickly
close out the task and the outcome with their users.
Riaz continued, “one of the unexpected aspects is the ability to bring in external
collaborators to work on jobs and flights. This might be a customer who can have
direct contact with the creative and account managers. More usually it is a freelancer
or partner bringing a specific skill to a team and who is instantly able to share the
same workspace. We don’t have to worry about version control and have complete
transparency and record of the conversation. A big plus.”
Next Steps
Profusion admits they are only starting to see the potential power of the solution.
They were surprised at the speed of the initial deployment. They were even able
to integrate into their Active Directory system at the first instance and get users
collaborating on the platform in a week. As the system becomes more widely used
the company-wide benefits of a shared collaboration platform are becoming more
apparent.
“We are already seeing a significant improvement in the cost-of-sale based on
the time it is taking us to produce work which is enough for us to know that we
need to keep investing in our use of the system. The next step is to get even more
oversight into our business from the system and to continually flatten hierarchies
and increase inter-departmental communication. Ultimately we want to create
a single location where we work together and more fully manage our business
though BCSocial”.
