- Strategy: MCI’s 4 pillar strategy provides structure for the sustainable event management process. Each project is divided into phases, each phase with it’s own protocols and actions. History How we begin to consider it as a possible future initiative: heard about it at conferences + it makes a lot of sense belonging to the renewable energy industry First time we took specific actions and measured the event: EWEC 2009 in Marseille. Followed by EOW2009 and EWEC2010. Where we are now - where we want to go At the beginning we did not realise what we were “putting ourselves into”, to which extent an initiative/project like this can grow and the scope it can take. Now we are the stage where We have learnt a lot in the past 2 years Realised how much time and energy needs to be dedicated to ensure a successful outcome Realised it needs a clear strategy and planning to make it happen in a consistent manner 2006-2008 CO2 emissions offset for flight travel, looking for more effective solutions 2007-2008 2008 – Association events, MPI Belgium sessions on green events 2008 Meeting MCI Sustainability Services – Vision and Mission 2010 3 congresses evaluated and reports issued Joined the GMIC

- Approach to sustainability (strategy with mission, vision etc) Strategy & mission setting (Checking, doing, reviewing, improving, checking, reporting) Balanced approach – We do not only put effort into a sustainability project because it is pretty and sells well, but mainly because it is coherent with EWEA’s main goals, EWEA believes in it. Decisions towards sustainability are taken if they are in line with the real possibilities, make sense for that particular event/destination, etc.

- Individual category performance: transport, venue, catering etc.
- Key successes EWEC2010 – Food Bank: First International large event that reached an agreement Managed to reach an agreement with the caterer (generally very reluctant) Made special sense in this occasion: volcano EWEC2010 – Waste management Managed to get various parties in contact and cooperation: venue, cleaning company, waste hauler. EWEC2009 – Changes made by provider after having partnered with us –will read past reports and will add later Decision has been made that the project will be lead by the Management unit and will be reflected in all EWEA departments
- Key learnings and mistakes/failures Need an “up-down” approach as opposed to a “down-up” approach A good communication strategy is essential to share good practices, raise awareness and make the effort worthwhile Need to involve main suppliers/Stakeholders from the very beginning (and include a clause in the contract to ensure an effective follow up)
- Key conclusions Still a big challenge in today – reason why the initiatives has to be endorsed by management In order for the project to be successful you need: strategy / resources (time) / long term planning (starting step by step with a clear ultimate goal) Sustainability is not only about “being green” but involves taking into account the “triple bottom line” being: social, economic and environmental considerations
