  • There are a number of clear steps to define processes and deploying the processes in Workflow. The Presentation illustrates each step Step 1- The business often has all the information in different places. This first step is to bring all the Visio maps, Word documents, Excel spreadsheets into one controlled area – the IServer repository Step2 - The business needs to define the process map. The is done through workshops where people in the business define comment and map the process until the have a consensus of the flow, dependency and sequence Step 3 – Process Architecting -This is a very important step. Visio is operating with IServer in a collaborative multi user environment- IServer provides validation and consistency checking of the drawings- the drawings is architected by employing these rules. These might be simple stuff ‘no overlaps of shapes’ to more sophisticated stuff such as the specific way to explain a complex rule ‘and or set’ explains the a work packet must go one way or another- it is important that is defined in exactly the same way by people across the business Step 4 – Identify and Prioritize the Processes for workflow. Gartner suggests an incremental approach. IServer provides a collaborative mapping of the issues defined by category, to determine what will be done and why. The version control enables multiple views of the different processes for multiple teams. Step 5 – Optimize the process through simulation. The IServer simulation tool takes the architected process and input resource, cost and time etc to test the efficiency of the processes. The IServer repository can store and version control these tested scenarios. Step 6 -Once the optimized process has been chosen then the generation of workflow schema can be developed. This schema is essentially a workflow ‘view’ of the business processes and it is defined in IServer once this has been approved it can passed to the Workflow engine Step 7 The workflow schema (the rules) is then passed to the workflow engine to create the workflow Step 8 – The Workflow can be reviewed from comments made by users via issues in the business process (and workflow schemas) in order that the business can capture whether or not the it is performing well Continuous improvement – this essentially means that the real time data from the workflow engine can be measured against the performance criteria and can be evaluated. This allows the business to investigate issues that have been raised by the business and logged in IServer and start the process for improvement. The Visio Business User Domain The key issue here is that most of the analysis and review whether from the business analysts, the management, the workflow experts and most importantly the business people doing the activities are working in a common framework and information base. This facilitates Good documented communication Publishing information for comment throughout the organization Excellent collaboration Management of drawings – versioning, access of models, shapes Evolvement of Best Practice Processes Reuse of processes with the attendant properties (KPI, Qualitative and Quantitative )
