This document discusses an interactive role playing activity called "We-BBT 2009" that aims to improve collaboration and interdisciplinary work in IBBT projects. The activity will simulate real-life challenges by assigning participants stereotypical researcher characters across different universities. Participants will work in teams to complete assignments while facing coordination, communication, and collaboration challenges. The activity aims to provide insight into improving tools like MyBBT to better support interdisciplinary collaboration within IBBT projects.

HieveryoneAgainwelcome at We-BBT 2009. My name is Jothi Blontrock, I amrecentlyresponsiblefor IBBT internalcommunication. I willbeyour hostess during the WE-BBT Roleplay of which I willexplain the guidelines
First of all I willtellyouwhy we willplay a role-playthisafternoon, the mission of the game and then i willconcludewith the different aspects of the game
The ‘I’ in IBBT stands forinterdisciplinary -> how we conduct research -> approach has advantages : buildsbridgesbetweenpeoplewith different mindsets & different skills-> poses challenges: communicate, collaborate and deal withdelocalizationToday we will meet these challenges in the interactiverole-playThe output of the role-playwill is basedon the insight of coconut and willbeusedfor the Coconut project and for the furtherdevelopment of the MyBBTtoolTo explainthis I give the floor to An Jacobs, senior researcher at IBBT SMIT, Free university of Brussel
Coconut is an isbo project that stands for communication and collaboration network utitlitiesIt is grown out of the Missing link initiative some years ago of Ann Ackaert en Nadia FranckAnd today we can say that the the results we gained in this project was already the result of a lot of collaboration of different teams within IBBT
Of course we write reports, articles and go to conferences, for one we leave with a paper about the project to Boston next Friday to talk about our approach and experiences, during the different phases we learned a lot about us, people working at IBBT, a typication of users with differen of expectaitons about collaboration tools was formulated based on the big survey, the types differ on the importance a tool fit their personal workflow and personality, as wel as the attention they give to the usefulness to others and themself the opportunity ibbt project offered all teams in their growth, but also the change in their focus by the demand driven applied side of the work, a different kind of research often seen as the less research but it also showed the heterogenity of the tools used, about the autonomy we cherish, being researchers as main goal, about the ways teams differ in their needs to organise their internal communication, and tools they develop themselves to solve it or make use for example msn to signify availibity , or to be able to collaborate in a landscape offiice, but also the lack of extensive, as well as the burdens of the current system of project website and information sharing, need for one login, easier set up of projectwebsites.
The project functionalityHolds option for better document sharing, a calenderDashboard is personal, offers a view on your recent changes on the projects you are collaborating onDiscussion boars, shall replace the current maiinglists
After a thorough selection procdure started in 2008 alfresco is chosen as the platformThe beta version is planned for june, and we hope to go live in september, But this is the first phase there will be opportunities for on improvements, change on a To test from beta to live launch we need collaboration from users, therefore we aim 2 researchers per group, who get every 2 weeks a mail, with tasks to test the current release
So lets me go into the third part of the results we are creating within coconut. The social experiment of this afternoonAnd sorry to disappoint some of you we will not play a variant of temptation island, it will be very work related
In science SIMULATION is proven a good tool, to learn about processes,Therefore we created based on user research 3 challenges createdIBBT project relatedin need of collaboration communication coordination
To simulate these challenges 4 stereotypical IBBT researchershaving specific real characteristics, like using a paper agenda, language difficulties, are combined to create challenges To learn from simulation exercises EMPATHY needed, so you have to step into the shoes of someone else
The ‘I’ in IBBT stands forinterdisciplinary -> how we conduct research -> approach has advantages : buildsbridgesbetweenpeoplewith different mindsets & different skills-> poses challenges: communicate, collaborate and deal withdelocalizationToday we will meet these challenges in the interactiverole-playThe output of the role-playwillbeusedfor the Coconut project and for the furtherdevelopment of the MyBBTtool
The mission of today is: We willplay an interactiverole-playComplete a project withyour team Meet interdisciplinarychallengesSimulation of a reallifeworking environmentAnd last butnotleast: we will have FUN!!!
There are 3 challenges; Organize a team event orWrite a paper orBuild a demonstratorThere is a jury whowillevaluateyouon the quality of the finalresultsfor the challenge (forwhichyouwill have twohours to complete).
There ara 4 characters in thisroleplay: - Andrew: Leuven – Law&ICTBram: Ghent – Infotech Claudia – Hasselt – Digital Media CentreDaan –Ghent – Me&ICT These 4 have to COLLABORATE to complete a challenge
Every character is a group of 3 players has 1 observerEvery team has 1 moderatorObserverMonitors every action of his/her personaKeeps track of pointsEvaluates empathyModeratorCollects scores from observersEvaluates collaboration between personaeJuryEvaluates deliverables for all projects
How are we goingfromthishugegroup to the teams? Explainhowtheygottheir team numberOnceyou enter the room as a team; your moderator will brief youhow to play the gaim. Thenyou enter the game room the room
All Andrews are at left upper corner, all Bram’s are at the right upper corner All claudia’s at the leftunder corner, all daan’s are at the right under corner Eachcharacter has a laptop to use and everycharachter has a meeting room and conference room. To go to another meeting room youwill have to walk around and follow the arrows.
The goal of the day is to win ->how win? -> you score points _> How score? -> Youcreateresults (200 points)Youmake these results as a team (100)Youempathizewithyourcharacter (100)
Themeans to achieveyour goal are the following: For instance, Andrewsends an e-mail itwillcosthim 5 points; claudiaanswers; 10; bram books a meeting room Finally a physical meeting takes place; everycharacter has to put in 40 time costs. Itwill go off of the 1600 points of your team. Now in reallife, shit happens: yougetstuck in traffic jam or have mail problems. So we alsowanted the conclude the factor of coïncidence in the game rolling a dice
