member of Girl Scouts of Kansas Heartland council, you have access to events and programs across 80 counties coordinated through
seven regional offices. We know you’ll find many interesting and exciting options in the Fall Roadmap – giving you countless ways to

As you browse through this guide, please remember:
● You may register for any event or learning opportunity online.
● The Council Reservation Form is available in the back of the guide. Please make copies so there is always a blank form available.
Reservation forms must be sent to the Girl Scout Center where the event is taking place.
● You do not need to fill out a Troop Trip Application form when registering for a council-sponsored event within Girl Scouts of
Kansas Heartland.
● This guide and the Council Reservation Form are available at kansasgirlscouts.org.
FAQ's
How to Make a Reservation
Carefully read the instructions on how to make a reservation. Then register online or use a Council Reservation Form and follow the
instructions at the top of the form according to whether you are registering as a troop/group or individual. There will be a $5 late fee
on all programs unless otherwise noted.
Please make sure to meet the reservation deadline.
Note: Due to limited space and the nature of these activities, tagalongs cannot be accommodated, unless noted otherwise.
Event Reservation Deadlines:
All program event reservations begin August 17, 2009. Check each event for reservation deadline. Reservations must be received by
midnight the date of the reservation deadline*. Some events fill quickly therefore they may be closed before the reservation deadline.
In this case, the participant may be placed on a waiting list. Go online to check for event openings or call one of the Girl Scout Centers.
When events are filled to capacity, registration automatically closes.
*Late Fee: There is a $5 late fee on all programs unless noted otherwise.

7. Reservation Options:
Online at kansasgirlscouts.org
● This is the fastest and easiest way to make a reservation for an event.
● Each family and the troop/group will have a registration account. This account can be used for training or event reservations. New
accounts will be created as members of the troop/group register for Girl Scouts. Passwords will be emailed to the email address on
file (parents of individual girls or leader for troop accounts) or can be requested by calling one of the Girl Scout Centers; contact
information is available in the front of this guide.
1. Go to kansasgirlscouts.org.
2. Click on "Events" in the menu bar at the top of the website—this will take you to the event page.
3. "Click here to register..." for an event.
4. Enter username and password.
Please Note: All programs/trainings are listed Small Group/Family Reservation for fall events.
By Mail
● Complete the Council Event Reservation Form in the back of the Road Map and mail or bring it to the Girl Scout Center where the
event is taking place.
● Full payment may be made by check. Please do not mail cash.
By Phone
● Call one of the Girl Scout Center locations to make a reservation. E-check, Visa or MasterCard required for phone reservations.
Payment Options:
Full payment for the reservation is required and can be made by e-check, Visa or MasterCard, cash or cookie credits.
Checks or e-checks
● You can mail a troop or individual check with your reservation form or go online to log on to your family or troop/group reservation
account and pay by e-check. All checks will be processed as e-check transactions that withdraw directly from your checking account.
Make checks payable to Girl Scouts of Kansas Heartland (GSKH). By entering this information online or providing a check as payment,
you authorize Girl Scout of Kansas Heartland to process a one-time electronic funds transfer (EFT) or draft drawn on your account. If your
check does not clear your bank, it will be charged back against your family or troop/group account along with a $30 service charge
along with any additional bank charges. Your reservation(s) will not be complete until this total amount is paid. Call (316) 684-6531 with
any questions regarding electronic funds transfers.
Credit Card or Debit Card
● Go online to log on to your family or troop/group reservation account and use a credit card (for family accounts only) or debit card to
make a payment. Credit cards are not approved for troop use.
● You may also pay by credit card or debit card in person or by phone.
● You may pay by cash if bringing your form directly to a Girl Scout Center.
● Do not mail cash.
Cookie Credits
● Cookie Credits may be used for council events; reservations must be made before Nov. 15, 2009. Cookie credits expire
November 15, 2009.

8. Financial Assistance:
Assistance is available for girls who may not otherwise be able to participate in Girl Scout events. Assistance may be requested for
troop/group dues, uniforms, books and council programs. Application forms for financial assistance are available online at
kansasgirlscouts.org or in the Girl Scout Centers. Financial Aid requests must be submitted four weeks prior to the event reservation
deadline and approved before making a reservation. Financial Assistance is not available for adult learning opportunities.
Who can participate?
● Registered Girl Scouts and adults may participate in any program that is Girl Scout grade level appropriate (unless otherwise noted).
● Girls and adults who are not current members can register as a Girl Scout and attend all events. A girl or adult is registered when her
GSUSA registration form and $12 have been received at the Girl Scout Center. Troop/group leaders must also be registered members of
GSUSA and have on file a volunteer application, references and criminal background check.
● Troop reservations require that troop adults be in attendance. Individual girls who register for events are not required to be
accompanied by an adult.
● Most programs can not accommodate walk-ins; therefore walk-ins will be allowed only at select events which are noted.
Tagalongs:
Due to limited space and the nature of these activities, tagalongs cannot be accommodated, unless noted otherwise. Tagalongs are
defined as individuals of any age who are not registered Girl Scouts or a registered Girl Scout attending an event specified for an age
level that is different from her age level.
Participants with Special Needs:
When registering, please indicate if there will be girls or adults attending who have special needs. Advance notice will help staff and
volunteers who are planning the event to make any necessary arrangements to accommodate those special needs.
What if an event is cancelled or I need a refund?
Event Cancellations
Event cancellations may happen to due lack of reservations or weather. In the case of lack of reservations, participants will be notified.
If an event is cancelled because of weather or some other unforeseen circumstance, the council will notify radio and television stations
of the cancellations. Make sure to check an event’s status before assuming it is cancelled; sometimes the weather that affects your area
may not affect the location where the event is taking place.
Event Refunds
Refunds less a $10 non-refundable fee are provided for events when (not applicable for event fee under $10 and may not be
applicable for event deposits that have been paid):
● A girl moves out of council.
● A girl is certified ill by a physician.
● A death in the family.

9. Full refunds are issued when:
● A girl is not placed in the program because it is full.
● Cancelled due to lack of reservations.
● A written notification 10 business days prior to the event date.
Refunds will not be issued when:
● A deposit for event facilities, transportation or accommodations that have been paid.
● Program cost under $10.
● A girl is a no-show.
● A girl leaves early due to homesickness, parent’s request or cancellations for non-medical reason.
● Written notification has not been received by the Girl Scout Center where the program is taking place within 10 business days
prior to the event date.
To receive a refund:
● Notify the Girl Scout Center where the program is taking place.
● Send a written notification 10 business days prior to the event date. Please state the reason for the cancellation.
● Acknowledgement of refund will be sent. Cookie credits will be applied to the family reservation account.
What else do I need to know?
“Safety-Wise”
“Safety-Wise” is a Girl Scouts of the USA publication containing health and safety guidelines for Girl Scout programs. Girl Scouts of Kansas
Heartland abides by these guidelines to help ensure a safe and sound program experience that will protect and maintain the well-being
of every Girl Scout.
Capacity of Events
Capacity may be determined by any or all of the following: grade level of participants, space, facilities, consultants or program
resources. If an event is full, or it there is a problem with your reservation, you will be contacted.
Confirmation Notices
Event confirmation notices are not sent unless noted otherwise. Check availability by going online or calling the Girl Scout Center. Those who
register by mail will be notified only if girls/troops did not get placed.
Lost and Found Items
Every effort will be made to return any items lost and found at council events to the original owner. Lost and found items from an event
will be held for pickup for three weeks in the Girl Scout Center. After that time unclaimed items will be donated to worthy cause.

16. 2009-2010 Volunteer Learning Opportunities
Every great journey requires planning, preparation and knowledge. Whether your journey with Girl Scouts is just beginning or you are
a seasoned Girl Scout volunteer, our learning opportunities will provide the knowledge and skills needed to help you guide girls along the
road to success.
Girl Scouts of Kansas Heartland’s learning support team consists of volunteers and staff who are knowledgeable in all areas of Girl
Scouting and are ready to share their knowledge with you. The learning opportunities will prepare you to:
• Work closely and confidently with girls.
• Create activities that incorporate Girl-led, Learn-By-Doing, and Cooperative Learning processes.
• Share Girl Scout values and traditions with girls.
• Achieve outcomes with girls based on the three keys to leadership: Discover, Connect and Take Action.
• Identify and encourage girl participation in all Girl Scout Pathways.
Your role as a direct service volunteer is critical to launching girls on their personal journey of leadership. Girls have fun in Girl Scouting,
but more importantly, girls will Discover, Connect and Take Action to make the world a better place. We absolutely, positively couldn’t
do it without YOU!

To make a reservation for any of the learning opportunities offered please follow all of the instructions beginning on page one. Determine
the course, date, time and location that meets your needs and schedule and make a reservation either online or by mail.
Course Fees
Fees may be charged for courses that include food, books or postage for mailing course materials in advance. Fees are noted in the
course summary.
What to Bring
For all Kansas Heartland learning opportunities we recommend that you come prepared with pen or pencil, paper for note taking
and your enthusiasm! Other resources or supplies specific to the course will be noted in the course description or confirmation.
Bringing Children
The learning opportunities do not provide space or supervision for child care. Please arrange child care on your own.

17. Course Certifications
Completion of any course requires that the participant be present for the full time of the course. Participants taking courses online or
at home must complete and submit the required coursework.
Cancellation of Courses
All courses with reservations for less than five people are subject to cancellation. Individuals who are registered for a course that is
cancelled will be notified by phone, e-mail or mail. A refund will be issued for courses cancelled due to lack of reservation.
Course Descriptions and Offerings
Orientation
Orientation is a great way to acquaint new volunteers with Girl Scouting and the many rewarding opportunities it offers girls and adults.
This course takes you through the Girl Scout mission, pathway options, support, resources and the three leadership keys of the Girl Scout
program. Take the virtual online course from home, your local library, regional office or contact the volunteer services manager in your
region for other options.
Leadership Essentials
Leadership Essentials is just what the name implies, the essential ingredients for facilitating the Girl Scout Leadership Experience. Direct
service volunteers will learn how to guide groups in one or more pathways using the new Girl Scout Journeys, volunteer guides and existing
grade-level resources. They will also learn how to apply the three leadership keys–Discover, Connect and Take Action–to all
Girl Scout activities. This course is offered every month in all regions of the council, check the course schedules for a time and location
convenient for you.
Introduction to Troop Management
Introduction to Troop Management offers new troop leaders the information they need to begin meeting with their troop. It includes
information on the parent meeting, setting up a troop checking account, using Leader-Wise, Safety-Wise and council forms. Introduction
to Troop Management sessions are arranged and scheduled with all new leaders by a council staff member or service unit volunteer. In
some regions they are offered in combination with the Leadership Essentials course.
Direct service volunteers (at least one in each troop or group) need to complete the Orientation, Leadership Essentials and the
Introduction to Troop Management session within the first three months of accepting their volunteer position.

22. Outdoor Courses
Outdoor activities require certain skills be taught and mastered to ensure the safety of the girls and adults participating. Knowing
what to expect and how to prepare for your outdoor experiences makes the activity safe, fun and memorable. Be sure to check
the requirements in Safety-Wise and other council resources before planning a campout or signing up for council outdoor sponsored
adventures. Outdoor courses require five day advance reservations and a minimum of five participants.

Try It Now, Brownie Style: A how-to guide for leading Brownies as they earn the Try-It badges.
Let’s Sing: Singing has always been a big hit with Girl Scouts. Learn how to teach songs from silly to serious, traditional and new. You’ll
have songs for every occasion.
Games and Activities: Especially for adults who work with Girl Scout Brownies and Juniors, this learning opportunity walks you through
teaching games and activities of all kinds and cultures for fun and learning.
Working Together in Girl Scouts: Learn how to promote teamwork with the girls in their troop and help girls learn how to settle
conflicts. Tips for enlisting the help and cooperation of parents and other troop helpers will be covered in this course as well.
Bridging: Bridging takes the girl from one level to the next in Girl Scouts; learn the requirements for girls to earn the bridging award for
their grade level and ways to help girls accomplish these important goals.
Ceremonies: A tradition in Girl Scouts; ceremonies mark important occasions, accomplishments or remembrances. This guide walks
you through the basic steps of helping girls to plan meaningful ceremonies for investitures, rededication, bridging and more. It even
covers flag etiquette and flag ceremonies.
Planning for Adult Recognitions: Designed for the service unit recognitions chair or manager, this guide covers the council
recognition plan and the forms for nominations and ordering awards.
