If you roll your data over from the previous year, your volunteers will have the option to update their data rather than register again. See the red “click here”? That sentence reads “If you have previously registered as a Volunteer click here”
If a volunteer or learner clicks on that red “click here” they would enter some information about themselves in order to confirm that their info is in the system.
If they are in the system, it gives them an option to update their information.
If they choose yes, the system doesn’t display their information due to privacy and confidentiality restrictions, but it does allow them to update their info. If a field is left blank, VBS tools uses the information supplied previously.
After they have completed the registration, VBS tools will tell them that they will get an email once the church confirms their registration.
If you import your data from a previous year, you do have to “match” the registrants by going to the volunteer or learner approval page. If registrants have updated their data from a previous year, you “match” them to get them into your current list of registered learners or volunteers.
When you click “learner approval” you’ll get a list of learners who you are able to match to the previous year’s records. To match them, click on Match.
Once you click match, you see the info that will help you know if this learner or volunteer is a match from a previous year.
