 Peter Lurie has been focusing medium to large organizations on the key things they need to
improve communication and collaboration. This includes not just unifying their voice & video
environments, but also the plans, policies and procedures to make them effective. With a
focus on ease of use, driving adoption, and showing measurable business results Peter has
been working with IBM, IBM's partners and IBM's customers for the last 6 years. With 13+
years collaborating around the globe with customers, partners and prospective customers,
he’s currently leading a Global UC Architect team at Polycom.

Your Speakers
 David Price has been working with ICS products since release 3.3. As an employee of an
international bank, he built a 93,000 Notes and Domino enterprise and at one point had the
largest Domino deployment on IBM Power outside of IBM itself. A speaker at IBM and nonIBM conferences as well as Red Book author, he helps companies select and deploy
collaboration solutions. His focus is to deliver Social Business solutions integrated with voice
and video. Working with products from Avaya, Cisco, Polycom, Tandberg and ShoreTel. He
advises companies to understand what their Social Communications environment can be
and which capabilities should come from ICS and which from voice and video providers.
 David is also an IBM ICS Champion
for 2013 & 2014.

 DB2 version – a non-issue for most customers
 WAS version – update fixes some install and upgrade issues and brings Sametime in line
with other products.
 Domino – easy change
 User Interface – Welcome refresh and usability changes
 Audio video features and software based MCU (Multi-point control unit) – More on this later
– Better audio codecs & better video codecs
 Refreshed mobile clients – greater usability and some key functionality gaps closed
 Licensing – More later but this is a major improvement for customers

What should I feel comfortable deploying today?
 If you have deployed Sametime 8.x without AV, you should feel comfortable deploying 9,
especially now that HF1 has been released
 Not all components have to be upgraded together, can prioritize based on your needs
 If you have deployed Sametime 8 without meetings, deploy 9 and start using meetings, more
details later
 If you have deployed the full Sametime 8 environment, look at where S9 will address some
of the challenges you have had
 S9 video will require Linux, so you want to make sure you have those skills. Check out the
session. Thursday at 10:30 make sure you see “SHOW400; IBM Sametime 9.0 Media
Components on Linux for the Windows Administrator; Jeff Miller, IBM”

Deploying today, gotchas
 This has been reported on various blogs and is in the manual, Community server only
environment now require the SSC, which required DB2.
 Policies have been removed from the Community server (8.x they were both on Community
server and in the SSC)
 Technically, the Community server will run but it is not supported and no policies are
available
 Classic meetings were removed
 STLinks removed, Proxy server used for iNotes
 Entitlement page indicates Notes users have access to the Proxy server. This is for iNotes
only, not mobile devices.

 In place upgrade are not supported and it will not be supported.
 In place WAS upgrades outside of Sametime are not supported
 Use parallel build as a way to test out features prior to upgrading
 Read tech notes on the process to transfer settings, meeting rooms, SSO, etc.

– Sametime Entry, Standard, Advanced, SUT, SUT-Lite, web conferencing plus Extranet
versions
 Customers not clear which version provide which functionality
 Most onerous from a customer perspective was the Extranet PVU (processor Value Units)
 To use Samtime externally, a customer needed to license by CPU the components used by
non-employees.
 This led to unnatural deployments

 Group persistent chat. People can go back into the chat room at a later time, see what was
discussed, and even conduct searches. Additionally, users can turn on live search
capabilities in the chat room that inform them if people are discussing specified topics even
when they are not there. Can be used for mergers and acquisitions, support incidents, etc.
 Instant Share. This feature enables users to instantly share their screens and give control to
another person; thus, it has become a powerful support tool. Available in Sametime
Complete.
 Broadcast communities. This hugely powerful set of collaborative tools in the Sametime
environment allows broadcasts, polls, and announcements to be made to defined groups in
an enterprise.

– You can get adoption via word of mouth, but very much helps to jumpstart it.
 Ask the following questions:
– If I was a new employee, how would I learn that this product exists?
– I know it’s easy, but how do I learn to use it the first time?
– Is there a class (or better, a recording of a class)?
– Are there documents on how to use, where to go for questions?

We've tried to make it as easy as possible for existing Sametime customers to start adopting the new Sametime 9 packaging and licensing options. Where possible, we've given
customers usage rights and functionality in their new Sametime 9 editions that is equal to or greater than what they had before. We've also automated the process of migrating
entitlements from the Sametime 8.5 packaging model to the Sametime 9.0 model so that most customers don't even need to think about it. Unfortunately none of that may be obvious
from the cryptic Sametime 8.0 and 8.5 End of Market announcement that we use to trigger the entitlement migrations on the IBM Passport Advantage system. As a result, the purpose
of this post is to provide existing Sametime customers with a Q&A that explains - in plain English - how they will be moved to the Sametime 9 packaging model.



What happens if I have Sametime Standard, Sametime Standard Extension, Sametime Advanced, or Sametime Advanced Extension entitlements?



Customers with Sametime Standard, Sametime Standard Extension, Sametime Advanced, and Sametime Advanced Extension entitlements in good standing will have those
entitlements automatically migrated to full use Sametime Complete entitlements, one-for-one, effective September 20, 2013. In addition, any prepaid maintenance will be automatically
brought forward to the new entitlement. For example, a customer with 500 Sametime Standard AU entitlements with 6 months of prepaid maintenance will, as of September 20, 2013,
have 500 Sametime Complete AU entitlements with 6 months of prepaid maintenance.



Customers who have had their entitlements automatically migrated to Sametime Complete entitlements will not only have access to the Sametime Complete 9.0 code on Passport
Advantage, but also all the Sametime 8.5 code that they had access to prior to the entitlement migration. For example, a customer who had Sametime Advanced entitlements will be
able to download and use both the Sametime Advanced 8.5 and Sametime Complete 9.0 code. This example underscores an important point: The entitlement migration has ZERO
impact on the code customers must run and customers are free to move to Sametime 9.0 code at their own pace - even if that means staying on Sametime 8.5 code until it goes End of
Support. Furthermore, existing customers running Sametime 8.5 code that require additional entitlements can do so simply by purchasing the corresponding number of Sametime
Complete entitlements.



What happens if I have Sametime Unified Telephony entitlements?



Customers who have Sametime Unified Telephony entitlements will continue to retain those entitlements in Sametime 9. Customers with those entitlements in good standing will be able
to access both the 8.5 and 9.0 versions of that code on Passport Advantage after September 20, 2013.



What happens if I have Sametime Unified Telephony Lite Client entitlements?



The Sametime Unified Telephony Lite Client functionality is now included in Sametime Communicate 9.0 and Sametime Complete 9.0 at no additional charge. As a result, the Sametime
Unified Telephony Lite Client part numbers will be withdrawn. Customers with these entitlements in good standing will still be able to access the Sametime Unified Telephony Lite Client
8.5 enablement script on Passport Advantage after September 20, 2013.

What happens if I have Sametime Standard Extranet or Sametime Advanced Extranet entitlements?



The internal-to-external collaboration functionality that came with Sametime Standard Extranet and Sametime Advanced Extranet is now included in Sametime Communicate 9.0,
Sametime Conference 9.0, and Sametime Complete 9.0 at no additional charge. As a result, the Sametime Standard Extranet and Sametime Advanced Extranet new license and
reinstatement part numbers will be withdrawn. The maintenance part numbers will be maintained however for customers that are taking advantage of external-to-external collaboration.
Customers with these entitlements in good standing will still be able to access the Sametime Standard Extranet 8.5 and/or Sametime Advanced Extranet 8.5 code on Passport
Advantage after September 20, 2013.



What happens if I have Sametime Entry entitlements?



We believe customers with Sametime Entry will find Sametime Communicate 9.0 or Sametime Complete 9.0 to be more desirable alternatives. We'd ask these customers to contact
their IBM representative to discuss these alternatives. The Sametime Entry part numbers will be withdrawn. Customers in good standing will continue to have access to the Sametime
Entry 8.5 code on Passport Advantage after September 20, 2013.



What happens if I have Lotus Web Conferencing entitlements?



We believe many Lotus Web Conferencing customers will find their use cases, including internal-to-external collaboration, are now satisfied by Sametime Conference 9.0 and Sametime
Complete 9.0. As a result, the Lotus Web Conferencing new license and reinstatement part numbers will be withdrawn. The maintenance part number will be maintained however for
customers that continue to require this software. We'd ask these customers to contact their IBM representative to discuss alternatives. Customers with these entitlements in good
standing will continue to have access to the Lotus Web Conferencing 8.5 code on Passport Advantage after September 20, 2013.



What happens if I have entitlements to IBM Collaborations Solutions software that bundles Sametime?



Customers with entitlements to IBM Collaborations Solutions software that bundles Sametime (e.g. IBM Notes) will not be impacted by the announce of Sametime 9 or the End of
Market of the Sametime 8.5 editions. These customers can continue to use the Sametime 8.5 software included with their IBM Collaborations Solutions bundle until that bundle goes
End of Support. We are also working with IBM Collaborations Solutions software development teams on plans to get limited use Sametime 9.0 software included in upcoming versions
of their bundles. Customers will be able to start using the Sametime 9.0 software when they deploy those bundles.



This includes not just unifying their voice & video environments, but also the plans, policies and procedures to make them effective. With a focus on ease of use, driving adoption, and showing measurable business results Peter has been working with IBM, IBM's partners and IBM's customers for the last 6 years. With 13+ years collaborating around the globe with customers, partners and prospective customers, he’s currently leading a Global UC Architect team at Polycom. 4
  • 5. Your Speakers  David Price has been working with ICS products since release 3.3. As an employee of an international bank, he built a 93,000 Notes and Domino enterprise and at one point had the largest Domino deployment on IBM Power outside of IBM itself. A speaker at IBM and nonIBM conferences as well as Red Book author, he helps companies select and deploy collaboration solutions. His focus is to deliver Social Business solutions integrated with voice and video. Working with products from Avaya, Cisco, Polycom, Tandberg and ShoreTel. He advises companies to understand what their Social Communications environment can be and which capabilities should come from ICS and which from voice and video providers.  David is also an IBM ICS Champion for 2013 & 2014. 5

Sametime 9 – what is new  DB2 version - 10.1 from 9.7  WAS version – 8.5.5 from 7  Domino – 9 from 8.5.x  User Interface  Audio video features and software based MCU (Multi-point control unit) – Better audio codecs & better video codecs  Refreshed mobile clients  Licensing  On the plus side, they kept the name 10

Sametime 9 – what is new, really  DB2 version – a non-issue for most customers  WAS version – update fixes some install and upgrade issues and brings Sametime in line with other products.  Domino – easy change  User Interface – Welcome refresh and usability changes  Audio video features and software based MCU (Multi-point control unit) – More on this later – Better audio codecs & better video codecs  Refreshed mobile clients – greater usability and some key functionality gaps closed  Licensing – More later but this is a major improvement for customers 11

What should I feel comfortable deploying today?  If you have deployed Sametime 8.x without AV, you should feel comfortable deploying 9, especially now that HF1 has been released  Not all components have to be upgraded together, can prioritize based on your needs  If you have deployed Sametime 8 without meetings, deploy 9 and start using meetings, more details later  If you have deployed the full Sametime 8 environment, look at where S9 will address some of the challenges you have had  S9 video will require Linux, so you want to make sure you have those skills. Deploying today, gotchas  This has been reported on various blogs and is in the manual, Community server only environment now require the SSC, which required DB2.  Policies have been removed from the Community server (8.x they were both on Community server and in the SSC)  Technically, the Community server will run but it is not supported and no policies are available  Classic meetings were removed  STLinks removed, Proxy server used for iNotes  Entitlement page indicates Notes users have access to the Proxy server. This is for iNotes only, not mobile devices. 14

Deploying today  In place upgrade are not supported and it will not be supported.  In place WAS upgrades outside of Sametime are not supported  Use parallel build as a way to test out features prior to upgrading  Read tech notes on the process to transfer settings, meeting rooms, SSO, etc. 15

Licensing  Sametime 8.x had 97 different SKUs across many products – Sametime Entry, Standard, Advanced, SUT, SUT-Lite, web conferencing plus Extranet versions  Customers not clear which version provide which functionality  Most onerous from a customer perspective was the Extranet PVU (processor Value Units)  To use Samtime externally, a customer needed to license by CPU the components used by non-employees.  This led to unnatural deployments – Reduction in software costs drove deployments which were not easy to maintain or confusing for end users 19

Most important aspect of new license model  Customers do not have to upgrade to Sametime 9 to start using new license model  Current infrastructure can be used with new license model today  For example, you can plan a Sametime 9 upgrade while allowing externally participants into your existing Sametime 8.5.2 IFR1 meetings, etc. etc. 23

Use Sametime Meetings Externally  New license model finally allows non-employees to be part of meetings  There are significant costs savings associated with replacing external spend with Sametime  Many customers who pursued this design backed off when presented with reality of PVU licensing 27

Chat enable web sites or portals  This can be a public facing web site or secured extranet  For public web site, look at partner solutions from Epilio or Instant-Tech – http://www.epilio.com/web/home.htm – http://instant-tech.com/  In a portal or extranet environment, this can drive much customer engagement and customer satisification 28

Soft phone and video endpoint  Most of the focus has been about using the Connect client as a video endpoint  Connect can also been a soft phone, an audio endpoint.  While this isn’t the full functionality of SUT, it provides functionality many customer needs  When looking at using Connect as a soft phone, don’t forget audio endpoints 29
  • 30. Mobile clients  Mobile clients can now be audio end points  Extend Sametime voice calls over data networks instead of cellular  Combined with SIP trunking features, can provide Connect to PSTN functionality  Especially valuable for employees who travel overseas. 30
  • 31. ½ item to improve Sametime  Sametime gateway  Not new nor changed in S9  Many customers forget about it and there were challenges earlier on with SSL  Customers who have deployed have found it valuable 31
  • 32. Sametime Advanced  Group persistent chat. People can go back into the chat room at a later time, see what was discussed, and even conduct searches. Additionally, users can turn on live search capabilities in the chat room that inform them if people are discussing specified topics even when they are not there. Can be used for mergers and acquisitions, support incidents, etc.  Instant Share. This feature enables users to instantly share their screens and give control to another person; thus, it has become a powerful support tool. Available in Sametime Complete.  Broadcast communities. This hugely powerful set of collaborative tools in the Sametime environment allows broadcasts, polls, and announcements to be made to defined groups in an enterprise.  These features also integrate with Connections, further enhancing the value of both 32

Better audio!  Better audio support using SAC – Scalable Audio Codec (SAC) provides redundant audio information in an audio subchannel so that when there is packet loss, it doesn’t affect the perceived quality of the call – Yes, we’re playing tricks on your ears! 34 Missing audio packets are filled in with info from the Narrowband stream. SVC: A H.264 Family Member  SIP: the signaling protocols for setting up a call  H.264 is a video compression standard – H.264 contains 18 profiles and tools Enhancement SVC Layer Enhancement – H.264 AVC is most common today Layer – SVC is technically Annex G of Base H.264 Layer AVC
  • 36. SVC vs. AVC Client differences in Sametime 9 AVC Client sends one video stream of the highest negotiated quality to the MCU. The MCU then transcodes (converts up or down) the image to whatever the receiving end needs. SVC clients send multiple copies of the same image. The MCU acts like a video router, forwarding layouts requested by each client. Note: Because the vMCU doesn’t transcode, an AVC client connecting to the vMCU will receive the lowest quality! 36

So, for example, if no remote client is receiving 720p@15fps, then it is not sent. Only the streams 180p@30fps and 360p@15fps are sent." 40

Exit out of Sametime & Notes clients. Go get coffee. Login to Connections and see if it works. Then troubleshoot…. 45

Human Factors – Training and Marketing  Don’t overlook training and marketing. – You can get adoption via word of mouth, but very much helps to jumpstart it.  Ask the following questions: – If I was a new employee, how would I learn that this product exists? – I know it’s easy, but how do I learn to use it the first time? – Is there a class (or better, a recording of a class)? – Are there documents on how to use, where to go for questions?  Do – Prepare a one-pager on how to use – Lead a Best Practices for MyCompany session (Record it!) – Reach out to key leaders & early adopters; train and encourage them. • Executive/Sponsor • Project Manager 47

Human Factors - Support  Sametime, when fully adopted becomes mission critical (more critical than email?)  Support response times need to be lowered as adoption increases. – You have a 7 minute window to resolve meeting-related issues or people will give up and get frustrated. – Rule of thumb, less than 10 successes for any failure affects “perceived” reliability by end users. 48

Blog entry – first half  WILLIAM KULJU | Sep 17 2013  We've tried to make it as easy as possible for existing Sametime customers to start adopting the new Sametime 9 packaging and licensing options. Where possible, we've given customers usage rights and functionality in their new Sametime 9 editions that is equal to or greater than what they had before. We've also automated the process of migrating entitlements from the Sametime 8.5 packaging model to the Sametime 9.0 model so that most customers don't even need to think about it. Unfortunately none of that may be obvious from the cryptic Sametime 8.0 and 8.5 End of Market announcement that we use to trigger the entitlement migrations on the IBM Passport Advantage system. As a result, the purpose of this post is to provide existing Sametime customers with a Q&A that explains - in plain English - how they will be moved to the Sametime 9 packaging model.  What happens if I have Sametime Standard, Sametime Standard Extension, Sametime Advanced, or Sametime Advanced Extension entitlements?  Customers with Sametime Standard, Sametime Standard Extension, Sametime Advanced, and Sametime Advanced Extension entitlements in good standing will have those entitlements automatically migrated to full use Sametime Complete entitlements, one-for-one, effective September 20, 2013. In addition, any prepaid maintenance will be automatically brought forward to the new entitlement. For example, a customer with 500 Sametime Standard AU entitlements with 6 months of prepaid maintenance will, as of September 20, 2013, have 500 Sametime Complete AU entitlements with 6 months of prepaid maintenance.  Customers who have had their entitlements automatically migrated to Sametime Complete entitlements will not only have access to the Sametime Complete 9.0 code on Passport Advantage, but also all the Sametime 8.5 code that they had access to prior to the entitlement migration. For example, a customer who had Sametime Advanced entitlements will be able to download and use both the Sametime Advanced 8.5 and Sametime Complete 9.0 code. This example underscores an important point: The entitlement migration has ZERO impact on the code customers must run and customers are free to move to Sametime 9.0 code at their own pace - even if that means staying on Sametime 8.5 code until it goes End of Support. Furthermore, existing customers running Sametime 8.5 code that require additional entitlements can do so simply by purchasing the corresponding number of Sametime Complete entitlements.  What happens if I have Sametime Unified Telephony entitlements?  Customers who have Sametime Unified Telephony entitlements will continue to retain those entitlements in Sametime 9. Customers with those entitlements in good standing will be able to access both the 8.5 and 9.0 versions of that code on Passport Advantage after September 20, 2013.  What happens if I have Sametime Unified Telephony Lite Client entitlements?  The Sametime Unified Telephony Lite Client functionality is now included in Sametime Communicate 9.0 and Sametime Complete 9.0 at no additional charge. As a result, the Sametime Unified Telephony Lite Client part numbers will be withdrawn. Customers with these entitlements in good standing will still be able to access the Sametime Unified Telephony Lite Client 8.5 enablement script on Passport Advantage after September 20, 2013. 57

Blog entry, second half  What happens if I have Sametime Standard Extranet or Sametime Advanced Extranet entitlements?  The internal-to-external collaboration functionality that came with Sametime Standard Extranet and Sametime Advanced Extranet is now included in Sametime Communicate 9.0, Sametime Conference 9.0, and Sametime Complete 9.0 at no additional charge. As a result, the Sametime Standard Extranet and Sametime Advanced Extranet new license and reinstatement part numbers will be withdrawn. The maintenance part numbers will be maintained however for customers that are taking advantage of external-to-external collaboration. Customers with these entitlements in good standing will still be able to access the Sametime Standard Extranet 8.5 and/or Sametime Advanced Extranet 8.5 code on Passport Advantage after September 20, 2013.  What happens if I have Sametime Entry entitlements?  We believe customers with Sametime Entry will find Sametime Communicate 9.0 or Sametime Complete 9.0 to be more desirable alternatives. We'd ask these customers to contact their IBM representative to discuss these alternatives. The Sametime Entry part numbers will be withdrawn. Customers in good standing will continue to have access to the Sametime Entry 8.5 code on Passport Advantage after September 20, 2013.  What happens if I have Lotus Web Conferencing entitlements?  We believe many Lotus Web Conferencing customers will find their use cases, including internal-to-external collaboration, are now satisfied by Sametime Conference 9.0 and Sametime Complete 9.0. As a result, the Lotus Web Conferencing new license and reinstatement part numbers will be withdrawn. The maintenance part number will be maintained however for customers that continue to require this software. We'd ask these customers to contact their IBM representative to discuss alternatives. Customers with these entitlements in good standing will continue to have access to the Lotus Web Conferencing 8.5 code on Passport Advantage after September 20, 2013.  What happens if I have entitlements to IBM Collaborations Solutions software that bundles Sametime?  Customers with entitlements to IBM Collaborations Solutions software that bundles Sametime (e.g. IBM Notes) will not be impacted by the announce of Sametime 9 or the End of Market of the Sametime 8.5 editions. These customers can continue to use the Sametime 8.5 software included with their IBM Collaborations Solutions bundle until that bundle goes End of Support. We are also working with IBM Collaborations Solutions software development teams on plans to get limited use Sametime 9.0 software included in upcoming versions of their bundles. Customers will be able to start using the Sametime 9.0 software when they deploy those bundles.  Hopefully this post has helped existing Sametime customers understand how they will be transitioned to the new Sametime 9 packaging model.
