- Old technology but does what we need for now. We may pursue other options in future e.g. if a better value off the shelf offering comes along, if the Research Management and Administrative System initiative results in a suitable alternative, or indeed we may be forced down other routes for other reasons. We keep an eye on the market and sector developments.
- Look for funding e.g. via Research Professional – recent marketing campaign – usage particularly high - 1700 hits in last month May 2010 - more than twice as many as the next next highest institution. Impact plans included with Research Council applications. Applications may also include secure web space for support documentation such as sound files. AHRC have recently sounded HEI’s out about this. At stage 4 and 5 the financial management is mainly run from the Finance Office and local administration with contract and project management supported by Research and Enterprise.
- In some institutions their vision is to join their systems but in GU this is a reality that has mostly existed since 1994. The Enrich project 2009-10 meant we finally linked the Repository in bringing it into it’s rightful place as a key University System. I think this will be pivotal for forthcoming information requirements.
- Research System. Different things to different people. Projects – Umbrella activity – may have many applications/agreements associated with a project People Applications 3000+/yr - Wide range of activity types – including grants, contracts, CPD, consultancy, confidentiality agreements, licences. Comprehensive. Staff are used to coming via Research and Enterprise for their research related activity. Funders Internal and external partners/collaborations FEC, funders FEC and PRICE costing – in-house fully integrated tool Clinical Trials Ethics Awards 2000 +/yr. Value of concern now due to economic situation. Actions Auto reports, emails, and reminders Documents Auto reports e.g. updated end report offering assistance with finding further funding, advice about project completion tasks, reminder and advice on how to put output into Institutional Repository. FEC, funders FEC (some don’t allow inflation to be included so not a true FEC), and price. Number of users 19/04/10 224 currently registered of which 136 college and school based and 88 central.
- We’ll show you a few screen shots from the systems. It is not the intention that you can read all the detail – just to give you a flavour of what they systems do. The screens are not necessarily to our liking – the Users choose the look and feel. We have a very active User Group now called the Research Systems User Group – systems in plural to represent the interest of the set of systems that support Research including the repository and interfaces to HR and Finance for example. The User Group is made up of representatives from Colleges and Schools, HR, Finance, and recently the library have been encompassed and come along to give a number of updates to the group. We have also done some cross training of staff so that staff in Research and Enterprise can add outputs to the repository and link them to awards, and staff in the library can search the Research System for award information relevant to outputs in the repository.
- Funder’s reference very useful in recent MRC e-VAL exercise as date criteria was not precise.
- Enlighten is a name not an acronym. The system is based on ePrints from Southampton. ePrints is written in Perl and we use MySQL as the database backend with an apache web server. The Enlighten repository has existed since February 2004. The information is publicly available. The Enrich project has helped us ramp up the level of deposit and embed the repository as a core University System with along with other core systems including Research, Finance, HR and Student Systems.

- We will begin with an overview of the recent Enrich project. We at GU have one system – the repository stores bibliographic data and is used as our core publications system and it also stores copies of articles. I’m interested in other organisations – who else has one system – put your hand up? Does anyone have a separate repository and publications database? I’d be interested in seeing if we are missing anything! The University is currently re-structuring from Faculties and departments to a smaller number of colleges and schools. The staff profiles are being revised with data for staff, students, publications, and projects being refreshed by our corporate web team using data from the core systems. Who might do these updates and how they will be done? Self deposit, mediated, central admin staff in library or Research and Enterprise. One of the key drivers is supporting the output and impact agenda.
