5S (Five S) is a basic, fundamental, systematic approach for productivity, quality and safety improvement in all types of business.
5S is a fundamental pillar of Lean. 5S implementation captures core principles of the Lean philosophy that facilitate
5S can be applied to any work environment. It could be a manufacturing business, a contact centre, a wholesale/distribution business or simply any office. The 5S begins the laying of the foundation to continuously apply lean concepts and techniques to root out waste and streamline processes.

How the 5 S system can make a workplace more efficient - Root out waste and streamline processes
1. How the 5S system can
make a workplace more
efficient.
What is 5S?
How can I implement it in my
business?
2. 5S is….
• Considered to be the basis for many other operational
processes such as Lean
• A waste reduction and productivity optimisation system
based on maintaining an orderly workplace.
• A technique designed to improve operational excellence
• Designed to make the workplace safer, more productive
and more pleasant

3. The benefits of 5S (Why?)
• Cleaner and safer work areas – by reducing tripping hazards
and other dangers
•
Reduction in wasted time – through outstanding workplace
organisation
•
Reduction in required space – through removal of unnecessary
items
•
Improved self-discipline – by creating easily identifiable and
difficult to ignore standards
•
Improved culture – by engendering teamwork and a common goal

4. The Pillars of 5S
1. Sort – (Organisation)
2. Set in Order – (Orderliness)
3. Shine – (Cleanliness)
4. Standardise – (regular

Shine
5. 1. Sort
• Focussed on eliminating unnecessary items
from the workplace
• Firstly by separating the needed from the
unneeded
• Removing the unwanted items from the work
area
• Reducing the space required for the work area
• Removing dangers such as trip hazards

6. 2. Set in Order
• Now we have removed all unnecessary items, each item
we do need should have a specific place
• This is based upon frequency of usage i.e. Regularly used
items close to hand
• We then create effective and efficient storage methods
for all items

7. 3.Shine
• Making sure the work area is clean
• Keeping it clean through a regular process and schedule
of cleaning
• Shine makes it easier to spot situations when something
is abnormal, helping you identify dangers or issues and to
take corrective action

8. 4. Standardise
• Staying consistent on the delivery of the first 3 S’s
• Integrating the first three steps into daily work routines
• Establishing methods to review the maintenance of 5S
• Documentation of agreements on consistency and
standards

9. 5. Sustain
• The hardest of the S’s
• Keeping the gains we have made and not slipping back
into old habits
• Ensuring that 5S becomes ‘the way things are done’
• Based on regular and prominent reminders
• Reviewing and looking to improve on 5S all the time

12. 5S Implementation - Sorting
Sorting must be done as the first step in 5S – it lays
the foundation for the rest of the 5S process
1. Establish the criteria for what is and isn’t required
2. Identify unnecessary items and move them to a holding
area
3.
Dispose of the surplus items – either by transferring
them, selling them or discarding them
4. Conduct a clean of the work area once complete

13. 5S Implementation – Set in Order
With only the required items now available – each
one should be appropriately stored
1.
Determine a location for each item based on frequency
of use
2. Label each item so it is easily identifiable
3. Document the layout
4. Ensure it is easy to return each item to its proper home
after each use

14. 5S Implementation – Shine
Not the initial clean of the Sort stage, but an
ongoing and systematic process of cleaning
1.
Identify which key areas of the workplace need to be
checked
2. Determine and document acceptable standards
3. Mark equipment/tools with visual indicators i.e. levels
required
4. Conduct daily checks

15. 5S Implementation – Standardise
All staff know what is expected through both
involvement in 5S implementation and clear
documentation
1.
2.
Establish a checklist for each area – allowing self-audit
3.
4.
Document standard 5S methods across similar work areas
5.
Establish a manager audit process
Establish an audit system where team members from each
area of the organisation have a role to play
Document any new ‘standard’ methods which have been
developed

16. 5S Implementation – Sustain
Making 5S ‘the way things are done’ by working
together to achieve strong 5S results
1.
2.
3.
4.
Determine the 5S level of achievement in the business
Perform regular 5S checks
Address any issues found in 5S checks immediately
Create methods for holding each other to account

17. Measuring 5S
• Did your action have the desired effect?
• Review each implementation of 5S:
•
•
Is it achieving the aim of making it easy to identify issues
Is it improving worker productivity
• If not, we need to review and adjust the system
