Outbound Reservation Management System

The Ashok is the pride of hospitality. No hotel symbolizes the traditional
grandeur and hospitality of the historic Capital of India more then TheAshok.
The Client provides has been an experience of luxury in contemporary and
relaxed homely comfort strategically located in bangalore.
The Client
The Client wanted to develop an Outbound Reservation Management System
a cost-effective means to access an integrated processing system that
contains all the tools and information necessary to manage the complete
reservation management system. The Client was in need of reports,
dashboards to organize guest data seemingly endless redundancy for better
application usage and visual reports for other Group Properties. Therefore,
the Client wanted to partner with a team who could help them quickly
architect, develop, test, and implement these features. Sigma Infosolutions
proposed to build the core engine using J2EE technologies. The core engine
will now be integrate with the new system designed.

Sigma Infosolutions leveraged its
expertise on J2EE Technologies to
architect and develop the application
from scratch. The core-application is an
automated reporting engine which allows
the users to monitor, analyze and
manage, forecast and report the
performance of various high-level
business objectives.
The solution expedites follow up of
enquiries received for other “Bharat
Group Properties” at the Bangalore Sales
Desk.
The solution has significantly improved
the follow up procedure, reduced the
effort to follow up each enquiry and has
completely eliminated the job of
creating daily, weekly and monthly
reports. The solution helps Management
to do a much finer analysis of day-to-day
sales data, resulting into improved and
efficient monitoring of business
operations.
The solution is relevant for properties
for which the inventory of rooms is not
available online on a real time basis.
Sigma Infosolutions’ web development team successfully compiled a web
architecture required for the project. We were able to successfully set up a
template for the reporting structure across all different Group properties.
The solution had 3 Group properties as sub-organizations in the suite
consisting mainly of admin, manager and users.

Next Phase
The solution has been designed using Web
Technologies and thus may be hosted on
Internet and hence can be accessed by
other Group properties.
The next phase includes creating more
reports for various sub organizations with
suitable enhancements, role based
access to data and reports may be
provided in the system.
o A Sales co-coordinator receives Enquires from customers; other sales
team members through phone, fax or email
o Instead of sending an email directly to the property, he/she feeds it to
the system. Once all the relevant data is entered and stored, the system
sends an email to the property. At this stage, we have ensured that all the
mandatory information required by the property to make a decision is sent
with this order. This reduces communication for clarifying details of orders
between the sales office and the property reservation desk
o In step 2, an estimated response time (time in which the property
should come back on the status of the order) is being mentioned. This is
used for alerting the sales coordinator, incases a timely response is not
received
o As soon as a response is received from the property, the coordinator
feeds the information into the system. Once all the info is fed, an automated
email would be sent to the customer on the reservation status
o If the customer confirms the reservation, the same is automatically
informed to the customer as well as the hotel
o Incase, a response is not received within the expected response time,
the system creates an alert for the order for the response is due
o This alert has an option of sending first reminder email with necessary
level of next escalation
o If the response does not come with-in the stipulated time, alert and
follow up emails to next level are being sent. The number of levels of
escalation has been designed suiting the needs of the hotel
o The step 6 to 8 can be completely automated (currently there is some
manual intervention), if needed
o Reports on bookings, confirmations, cancellations, inquiries, average
time to handle an inquiry etc are being generated from the data collected
from above steps
o For clients not having emails, a standard letter is being generated with
the fax number mentioned on it, so that the same may be faxed manually
o The same system is being used for following up of Banquets well
o All the daily and weekly reports on the reservations etc. are now
possible on a click of a button. It is possible to analyze the data at a much
more granular level

The Client The Client wanted to develop an Outbound Reservation Management System a cost-effective means to access an integrated processing system that contains all the tools and information necessary to manage the complete reservation management system. The Client was in need of reports, dashboards to organize guest data seemingly endless redundancy for better application usage and visual reports for other Group Properties. Therefore, the Client wanted to partner with a team who could help them quickly architect, develop, test, and implement these features. The solution has significantly improved the follow up procedure, reduced the effort to follow up each enquiry and has completely eliminated the job of creating daily, weekly and monthly reports. The solution helps Management to do a much finer analysis of day-to-day sales data, resulting into improved and efficient monitoring of business operations. The solution is relevant for properties for which the inventory of rooms is not available online on a real time basis. We were able to successfully set up a template for the reporting structure across all different Group properties. The next phase includes creating more reports for various sub organizations with suitable enhancements, role based access to data and reports may be provided in the system. o A Sales co-coordinator receives Enquires from customers; other sales team members through phone, fax or email o Instead of sending an email directly to the property, he/she feeds it to the system. Once all the relevant data is entered and stored, the system sends an email to the property. At this stage, we have ensured that all the mandatory information required by the property to make a decision is sent with this order. This reduces communication for clarifying details of orders between the sales office and the property reservation desk o In step 2, an estimated response time (time in which the property should come back on the status of the order) is being mentioned. This is used for alerting the sales coordinator, incases a timely response is not received o As soon as a response is received from the property, the coordinator feeds the information into the system. Once all the info is fed, an automated email would be sent to the customer on the reservation status o If the customer confirms the reservation, the same is automatically informed to the customer as well as the hotel o Incase, a response is not received within the expected response time, the system creates an alert for the order for the response is due o This alert has an option of sending first reminder email with necessary level of next escalation o If the response does not come with-in the stipulated time, alert and follow up emails to next level are being sent. The number of levels of escalation has been designed suiting the needs of the hotel o The step 6 to 8 can be completely automated (currently there is some manual intervention), if needed o Reports on bookings, confirmations, cancellations, inquiries, average time to handle an inquiry etc are being generated from the data collected from above steps o For clients not having emails, a standard letter is being generated with the fax number mentioned on it, so that the same may be faxed manually o The same system is being used for following up of Banquets well o All the daily and weekly reports on the reservations etc. are now possible on a click of a button.
