An internship is a method of on-the-job training for white-collar and professional careers.
Internships for professional careers are similar to apprenticeships for trade and vocational
jobs. Although interns are typically college or university students, they can also be high
school students or post-graduate adults. On occasion, they are middle school or even
elementary students. In some countries, internships for school children are called work
experience. Internships may be paid or unpaid, and are usually understood to be temporary
positions.
Generally, an internship consists of an exchange of services for experience between the
student and an organization. Students can also use an internship to determine if they have an
interest in a particular career, create a network of contacts, or gain school credit. Some interns
find permanent, paid employment with the organizations with which they interned. This can
be a significant benefit to the employer as experienced interns often need little or no training
when they begin regular employment. Unlike a trainee program, however, employment at the
completion of an internship is not guaranteed.
DEPARTMENTATION
Departmentalization refers to the process of grouping activities into departments.
Division of labour creates specialists who need coordination. This coordination is facilitated
by grouping specialists together in departments.

 Functional Departmentation: - This is the simplest form of Departmentation when
grouping of departments is done on the basis of functions such as
production finance marketing sales purchase and personnel etc, it is known as
functional Departmentation.
Basic functions i.e. Production, Marketing, Finance and Personnel .Secondary Functions: -
These are further parts of basic functions according to the organizational needs or operations
like Production: - Product planning, R&D, Quality control and material handling
Functional departmentation is useful where there is production of single product or similar
kind of product, for example TV Computer monitor or TFT.

VARIOUS FUNCTIONAL DEPARTMENTS FOUND IN HCL INFOSYSTEMS:
1. Oa division
Office automation refers to the varied computer machinery and software used to digitally
create, collect, store, manipulate, and relay office information needed for accomplishing basic
tasks. Raw data storage, electronic transfer, and the management of electronic business
information comprise the basic activities of an office automation system. Office automation
helps in optimizing or automating existing office procedures.
The backbone of office automation is a LAN, which allows users to transmit data, mail and
even voice across the network. All office functions, including dictation, typing, filing,
copying, fax, Telex, microfilm and records management, telephone and telephone
switchboard operations, fall into this category
Advantages are:
1. Office automation can get many tasks accomplished faster.
2. It eliminates the need for a large staff.
3. Less storage is required to store data.
4. Multiple people can update data simultaneously in the event of changes in schedule

HCL is developing a comprehensive unit administration automation application called
Human Resource Management System. This is a web portal which provides various modules
like HR, Accounts, Legal etc which facilitate automating every administrative function
(except logistics) at unit level.

The Department lies within the Directorate of Finance and Administration. It is tasked with
providing administrative and logistical support to the entire organization.

5. Accounts department
Most of the accounting work is shifted to the corporate office which is situated in Noida . so
the work done at RAO (regional accounts office) is the collection & depositing of cheques,
the Eft payment vouchers , the sales tax , billing etc.

applications for the first time.
 Develops special program generators to speed up the development of

1985  Bank trade unions allow computerisation in banks; however, a
computer can only run one application such as Saving Bank, Current
account, Loans, etc.
 Sets up core team to develop the required software Advanced
Ledger Posting Machines (ALPM). The team uses reusable code to
reduce development efforts and produce more reliable code. ALPM
becomes the largest selling software product in Indian banks.
 Designs and launches Unix based computers and IBM PC clones

6. HISTORY OF INNOVATION
The history of structured R & D implementation in HCL Infosystems began in the late 1980s
with the focus on improving quality of its products. In the early 90s, the focus was not merely

units are certified by Bureau Veritas Certification as per ISO 9001:2000 and ISO 14001:
2004.

EFT PAYMENT VOUCHERS
The EFT payment voucher is the ELECTRONIC FUND TRANSFER. It is the voucher
which is given by the employees to reimburse/CLAIM their expenses which occurred for the
company purpose.
The EFT payment voucher is supported by the documents, if any document is missed, which
amount is mention for reimbursement then the amount is being cancelled. The EFT payment
voucher is given for the various overhead expenses like: mobile, tour & travel, local
conveyance, printing & stationery, staff welfare, etc.
PROCESS:
The various fields in the payment voucher:
1. Employee name : the employee mention his/ her name in the form

2. Employe code : the employee write its code. The code is given to every
employee of the company and it becomes its record, because it’s the unique
number.
3. Location : the location field give information about the city of the employee
belong to a particular state.
4. Division : 4 (a) – the employee need to tick in which division he work .
4 (b)- it is the cost center number of every division , where the amount is
Credited.
5. Acounts head: this accounts head states the kind of expense the employee has to
reimburse and in that particular row, the details is filled.
6. Period: this is the period of the expense, an employee made from and to the date.
7. Amount : in this column the amount , ie the expense made is mentioned
8. Amount in words : here the total amount to be claimed is written in words &
figures.
9. Passed by: it the reporting officer signature, to whom the employee gets it
voucher checked.
10. Authorized by : it is the authorizing officer signature.
11. Received by: it is the signature of the officer who receives the voucher
WORK DONE:
The verification of the voucher based on the policies by the company. The various
limit for various department is based on the grade and the designation of the
employee. The basic grade ranges from p2, p2…… p9. There are various policies for
various expenses overhead.
Tour & travels : the limit is based on the grade, the city or state where the employee
visit. It need to be supported by the documents for lodging, boarding, food and the
various mode of transport.
Mobile : the mobile limit is also based on the grade’s and it is supported by the bill.
Local conveyance: the local conveyance has no limit , but it need to be given with the
supported bills & receipt. If the mode of transport is personal bike or car thn bade on
their grades the limit is given according to per kilometer.

The various expenses are entered in the SAP in the employee’s login. This is being
shared by the HO and the further editing is also done if there is change in the entry.
After the documents is verified, its details need to be entered in the ms-excel
according to various field and the voucher are being stamped. Then the printed excel

and the vouchers are being sent to HO for the further transaction. The transaction
need to be completed in 48 hours.

PRA FORM
The Pra form is given by the customers. The necessary detail need to be filled in the form.
The form is also given by the supported documents. The Pra form is verified and the data is
entered in the SAP. The amount , name of customer , tax etc information is entered. The Pra
form is attached with the annexure.
PROCESS :
The fields found in Pra form:
1. Customer name : the name of the customer is written in the form
2. Customer code : a code is given for customer , so that the transaction can be easily
made and the code is generated by the SAP . it is the key which is entered and the
customer profile is generated in SAP.
3. Invoice number and date: during the sales the invoice is generated so the invoice
number is to be entered.
4. Cheque/DD no : the cheque number or demand draft number given by the customers
is entered.
5. Date: the date mentioned on the cheque.
6. Name of bank: the bank through which the payment is made.
7. Total deductions: the total deductions are the tax . there are various tax like: TDS,
BANK CHARGES, WCT etc.
8. Net amount paid: the total to be paid after the adjustments.
9. Pra no : after entering the details in the sap , there is a number generated against the
transaction made , that number is pra number.
10. Pra date: the pra date is also entered
WORK DONE:
The PRA form details entered in the sap and excel. According to that the deposit slip is being
filed and the annexure is also being attached. The amount entered in the sap is calculated by
deducting tax amount, if any.
Then the PRA number is entered in the form , which is generated by the sap.

NATIONAL COLLECTION FORM :
The national collection form , is the deposit slip. The cheque’s received by the customer for
payments, are deposited into the bank . The deposit slip is attached with the cheque’s and the
details of cheque or the annexure is attached.
the fields details:
1. Customer code : the customer code is wriiten , there are two customer code
hcl-3 and dms
2. Pickup location: the city where the cheques are being collected
3. Pickup point : the exact place where the cheques are being collected.
4. Customer name: the name of customer
5. Total number of cheques: the total number of cheques submitted.
6. Cheque deatil: The cheque detail need to be entered like the cheque number,
amount, date, bank, and the drawer.
7. Signature: it need to be signed.
SALES TAX “FORM F”
Goods may also be moved from one State to another State and may be delivered in
other State without a sale. A principal may transfer his goods to his agent, head office
or manufacturing unit in one State may transfer its goods to its branches or depots in
other States, a purchasing agent may dispatch goods to its principal in other State. In

all such cases, there is no inter-state sale. Also no sale is effected during their
movement of goods from one State to another. For claiming that goods have moved
from one State to another other than by reason of sale, the consignor of the goods is
required to produce Form F, duly filled and signed by the consignee of the goods.
Blank Forms F are issued by the Sales Tax / VAT / Commercial Tax Department
of the State, in which goods are delivered, to the consignee dealer. For this, consignee
should be registered in the State in which goods are to be delivered.
Form-F is issued by transferee of goods to transferor of goods and one single
form may cover consignments of goods transferred during one calendar month.

WORK DONE:
The sales tax introduction was given. How a sales tax is being calculated , the various taxes
and the form’s.
The filling of form F , which is for stock transfer from one state to another. Attach the form
with details of stock transfer, which contain the state name, date, month, invoice number and
amount. We need to fil the place, month, and amount with the seal in the form.
BILLING
The billing due list is a collection of billable transactions and deliveries. When a transaction
is saved and at least one item is billing-relevant, data from this transaction is transferred to
the billing component, checked, supplemented with master data, and saved in a billing due
list item. When billing takes place, billing documents are created based on billing due list
items.
Generation of Billing Due List Items
1. When a business transaction containing billing-relevant items is saved, its data is
automatically transferred to billing, and the system determines the billing item category
to be used for each item.
If the system cannot determine a billing item category (for example, if item category
determination is not completely defined), it issues an error message.
2. Using the appropriate services, the system completes the details of the billing-relevant
transaction items and runs processing checks for the transferred items. Items can be
rejected, primarily for the following reasons:
o Partner checking (based on the partner determination procedure of the item
category) finds that there are missing or incomplete mandatory partners.
o Pricing does not have all the data needed to create a pricing document (for
example, document currency and reference currency is missing).
3. The system saves all successfully processed and completed data in billing due list items.
WORK DONE:
The billing is done using sap crm. There are three different kinds of billing they are :
 CSMC billing
 RENTAL billing
 AMC billing

The billing is done based on the form received for billing. There is a code given and
the value given to be billed. The value is being calculated based on the policies provided by
the company.the last month billing need to be checked and the current month billing is being
done.
The csmc billing is the regular billing. It is done every month. The rental billing is the billing
made for the rental purpose.the amc billing is done in a year .
OTHER WORKS:
In sales department, the documents arranged according to the invoice number,
checking of the invoice number with the slip and sealed. ThEn entering the detail in to
the ms-excel.
Petty cash transaction being entered in the sap. The cash receipts & payments are
entered in the sap.

The internship is a way of learning something which is outside the classroom. The internship
is an training where the classroom knowledge is being applied and gaining a total new
experience.
Internship expirence:
1. The company is a place, where there are lots of employees, where each level
differs from another. And hence working as a team is a big task and a
important characteristic.
2. The various corporate ethics like, email, communication and the letter.
3. The work of various departments. (ie) the various departmentation and its
functions.
4. The process of various, function done in an accounts department. For eg.the
process of eft payment vouchers, billing etc.
5. We got to communicate to various employees, and superior and got the
information about their work and about the company.
6. The various issues relating to a work was also expirenced.
The internship is a training where you can actually apply what you learnt as part of your
academics and its importance when you have to apply it.
On the whole, this internship was a useful experience. I have gained new knowledge, skills
and met many new people. I got insight into professional practice. I learned the different facts
of working within a company.
Furthermore I experienced that it is of importance that the education is objective and that you
have to be aware of the view of other people when it comes to corporate world. The
internship was also good to find out what my strengths and weaknesses are.
As we come out of college , we won’t have an experience of the corporate world and hence
internship give a way to experience what does a corporate sector mean and what are the
various function and you can have an idea about it.
HCL is the brand name and has marked its presence in the it industry.it has tapped the
opportunities prevailing in the market with its products. As hcl was the first company to come
up with the PC concept for each individual.
But now there are many competitors for HCL but it is well known and have developed a
unique brand name for it. Doing an internship in the national company was a good expirence.
The staff of the company was friendly and they helped to complete all our work and they also
helped us if we had any doubt about our work and the hospitality was nice.

  • 4. 4 | P a g e INFOSYSTEMS An internship is a method of on-the-job training for white-collar and professional careers. Internships for professional careers are similar to apprenticeships for trade and vocational jobs. Although interns are typically college or university students, they can also be high school students or post-graduate adults. On occasion, they are middle school or even elementary students. In some countries, internships for school children are called work experience. Internships may be paid or unpaid, and are usually understood to be temporary positions. Generally, an internship consists of an exchange of services for experience between the student and an organization. Students can also use an internship to determine if they have an interest in a particular career, create a network of contacts, or gain school credit. Some interns find permanent, paid employment with the organizations with which they interned. This can be a significant benefit to the employer as experienced interns often need little or no training when they begin regular employment. Unlike a trainee program, however, employment at the completion of an internship is not guaranteed. DEPARTMENTATION Departmentalization refers to the process of grouping activities into departments. Division of labour creates specialists who need coordination. This coordination is facilitated by grouping specialists together in departments. Popular Types of Departmentalization  Functional departmentalization –  Product departmentalization –  Customer departmentalization –  Geographic departmentalization  Process departmentalization - HCL DEPARTMENTATION  Functional Departmentation: - This is the simplest form of Departmentation when grouping of departments is done on the basis of functions such as production finance marketing sales purchase and personnel etc, it is known as functional Departmentation. Employee name : the employee mention his/ her name in the form

Amount in words : here the total amount to be claimed is written in words & figures. 9. Passed by: it the reporting officer signature, to whom the employee gets it voucher checked. 10. Authorized by : it is the authorizing officer signature. 11. Received by: it is the signature of the officer who receives the voucher WORK DONE: The verification of the voucher based on the policies by the company. The various limit for various department is based on the grade and the designation of the employee. The basic grade ranges from p2, p2…… p9. There are various policies for various expenses overhead. Tour & travels : the limit is based on the grade, the city or state where the employee visit. It need to be supported by the documents for lodging, boarding, food and the various mode of transport. Mobile : the mobile limit is also based on the grade’s and it is supported by the bill. Local conveyance: the local conveyance has no limit , but it need to be given with the supported bills & receipt. If the mode of transport is personal bike or car thn bade on their grades the limit is given according to per kilometer. Invoice number and date: during the sales the invoice is generated so the invoice number is to be entered. 4. Cheque/DD no : the cheque number or demand draft number given by the customers is entered. 5. Date: the date mentioned on the cheque. 6. Name of bank: the bank through which the payment is made. 7. Total deductions: the total deductions are the tax . there are various tax like: TDS, BANK CHARGES, WCT etc. 8. Net amount paid: the total to be paid after the adjustments. 9. Pra no : after entering the details in the sap , there is a number generated against the transaction made , that number is pra number. 10. Pra date: the pra date is also entered WORK DONE: The PRA form details entered in the sap and excel. According to that the deposit slip is being filed and the annexure is also being attached. The amount entered in the sap is calculated by deducting tax amount, if any. Then the PRA number is entered in the form , which is generated by the sap.

The deposit slip is attached with the cheque’s and the details of cheque or the annexure is attached. the fields details: 1. Customer code : the customer code is wriiten , there are two customer code hcl-3 and dms 2. Pickup location: the city where the cheques are being collected 3. Pickup point : the exact place where the cheques are being collected. 4. Customer name: the name of customer 5. Total number of cheques: the total number of cheques submitted. 6. Cheque deatil: The cheque detail need to be entered like the cheque number, amount, date, bank, and the drawer. 7. Signature: it need to be signed. SALES TAX “FORM F” Goods may also be moved from one State to another State and may be delivered in other State without a sale. A principal may transfer his goods to his agent, head office or manufacturing unit in one State may transfer its goods to its branches or depots in other States, a purchasing agent may dispatch goods to its principal in other State. The filling of form F , which is for stock transfer from one state to another. Attach the form with details of stock transfer, which contain the state name, date, month, invoice number and amount. We need to fil the place, month, and amount with the seal in the form. BILLING The billing due list is a collection of billable transactions and deliveries. When a transaction is saved and at least one item is billing-relevant, data from this transaction is transferred to the billing component, checked, supplemented with master data, and saved in a billing due list item. When billing takes place, billing documents are created based on billing due list items. Generation of Billing Due List Items 1. When a business transaction containing billing-relevant items is saved, its data is automatically transferred to billing, and the system determines the billing item category to be used for each item. If the system cannot determine a billing item category (for example, if item category determination is not completely defined), it issues an error message. 2. Using the appropriate services, the system completes the details of the billing-relevant transaction items and runs processing checks for the transferred items. Items can be rejected, primarily for the following reasons: o Partner checking (based on the partner determination procedure of the item category) finds that there are missing or incomplete mandatory partners. o Pricing does not have all the data needed to create a pricing document (for example, document currency and reference currency is missing). 3. The internship is an training where the classroom knowledge is being applied and gaining a total new experience. Internship expirence: 1. The company is a place, where there are lots of employees, where each level differs from another. And hence working as a team is a big task and a important characteristic. 2. The various corporate ethics like, email, communication and the letter. 3. The work of various departments. (ie) the various departmentation and its functions. 4. The process of various, function done in an accounts department. For eg.the process of eft payment vouchers, billing etc. 5. We got to communicate to various employees, and superior and got the information about their work and about the company. 6. The various issues relating to a work was also expirenced. The internship is a training where you can actually apply what you learnt as part of your academics and its importance when you have to apply it. On the whole, this internship was a useful experience. I have gained new knowledge, skills and met many new people. I got insight into professional practice. I learned the different facts of working within a company. Furthermore I experienced that it is of importance that the education is objective and that you have to be aware of the view of other people when it comes to corporate world. The internship was also good to find out what my strengths and weaknesses are. As we come out of college , we won’t have an experience of the corporate world and hence internship give a way to experience what does a corporate sector mean and what are the various function and you can have an idea about it. HCL is the brand name and has marked its presence in the it industry.it has tapped the opportunities prevailing in the market with its products. As hcl was the first company to come up with the PC concept for each individual. But now there are many competitors for HCL but it is well known and have developed a unique brand name for it. Doing an internship in the national company was a good expirence. The staff of the company was friendly and they helped to complete all our work and they also helped us if we had any doubt about our work and the hospitality was nice.
