Audit Management Effective audits are a key element of any energy management system The Audit management module can be used by managers, auditors and outside regulators alike. It ensures that you are always up to date on what is happening, what actions need to be carried out and how effective the actions have been implemented. It functions as an indicator of your organization’s compliance with regulatory and energy standard requirements. How can you ensure that records are kept, and that recommendations are fully closed out?

The Audit module allows you to: Plan and schedule audits of all management systems (including Quality, Environmental, Health & Safety, Energy, Customer, Suppliers and 3rd Party audits.) Assign Auditors and Auditees Reference relevant standards and regulations Create audit checklists Review findings (either locally or from a distance. Also allow company “experts” to be part of the review team without totally immersing them in the audit.) Ensure closure (with follow-up and documented evidence of closure) Be effective (with results showing process improvements, and the time taken to carry out the audits) Audit Management

Generate both energy and compliance improvement opportunities. Request Auditees to review and approve (or reject) audit findings. Audit Workflow

  6. 6. © 2007 Ltd. © 2014 Ltd. Scheduling an Audit (3) The Software “Audit“ form allows you to: schedule management system audits automatically create and track actions from the audit. Data Entry: Audit • Audit Title: Enter the title or description of the Audit. This field is mandatory. • Location: Select Location from the list of pre-defined locations. The list of locations is configured in the Administration section. This field is mandatory. • Category: Select category from list of pre-defined categories (e.g. Internal, Certification Body), This list is configured in the Administration section. • Audit Type: Select the audit type from the pre-defined list of audit types. The list is configured in the Administration section. • Start Date / End Date: lick Select the start date and end date for the audit. This may be over a number of days depending on the size of the location and the scope of the audit. • Lead Auditor : Click on the address book icon and select the name of the Lead Auditor from the list. • Lead Auditee: Click on the address book and select the name of the person who will be main contact for the audit. • Other Auditors: Click on the address book icon and select the names of the other auditors that will be carrying out the audit. • Other Auditees: Click on the address book icon and select the names of other staff who will be contacted during the audit. • Audit Scope & Audit Questions: Enter details of the scope of this and questions for this audit. You can copy and paste questions into this box. • Standard & Section: Select the standard and section that is being audited. The list of available standards and section s configurable in the Administration section. • Submit (button): Click on this button when you have completed preparing this audit and ready to schedule for the dates selected. NOTE: You can save and close an audit while you are preparing it without submitting. The Audit status will remain as draft and will appear under your “My Tasks” section of the Software portal.

Data Entry: (see example of completed Audit results section in the next slide) Audit Results • Audit Start Date / Audit End Date: Select the actual start date and end dates of the audit. • Contacts Seen: Click on the address book icon and select the names of the people who were contacted during the audit. • Audit Report Summary: Enter a summary of the audit findings. • Audit Results Details: Enter details of the audit findings. • Strengths: Enter details of the strengths of the area audited. • Weaknesses: Enter details of the weaknesses of the area found during the audit. • Attachments: Add any relevant attachments. See details on adding attachments in later slides.) Actions • New Action (button): Click on this button to create a new identified during the audit. • New Non-Conformity (button): Click on this button to enter any compliance non-conformances based on the standard being audited against. • Summary/Status/Assigned/Target Date: This section shows a summary list of all the actions created from this Audit. The Summary title for each action can be clicked to open the related action in a new window. • Complete (button): Click this button when you have completed entering the audit report and all actions have been generated and you are satisfied with the audit report. The Lead Auditee/Other Auditors and Other Auditee will be notified that this audit has been completed. NOTE: You can save and close an audit while you are preparing the audit report without clicking on the Complete button. The Audit status will remain as scheduled and will appear under your “My Tasks” section of the Software portal. Completing an Audit Report (including actions)

Final Review & Approval of Audit Report (Lead Auditor & Lead Auditee) Status: AUDIT COMPLETED If you are satisfied with the Audit Report and actions, click on this “Close” button. This will notify the Lead Auditor that you approve this audit report. If you are not satisfied with the Audit Report and actions, click on this “Reject” button. This will notify the Lead Auditor that you need clarification on aspects of this audit report. NOTE: The Audit will only be finally closed when both the Lead Auditor and the Lead Auditee have approved using the close button.
