Chalo @ AMPS EDU EXPO 2016!
Recently Chalo Team participated in the grand Silver Jubilee
celebrations (of spreading knowledge) - Educational Expo organised by
Association of Managements of Private Schools at Suguna Auditorium,
Coimbatore. This prestigious event was first of its kind, Education Expo
that enriches and enlightens. At the expo many exhibitors participated
including our Chalo Team that displayed how our technology related
educational services, benefitted the education industry. Decision
makers such as Trustees, Management, Correspondents and Principals
of all CBSE schools in Tamil Nadu, participated including academician,
librarians, researchers and parents as well.

Welcome back to another edition of our BAIT Series, which aims primarily to
align business with technology. This month we would discuss on Automation
of Tasks utilising Technology for the benefit of business…
Earlier we had seen few topics on Automation of certain specific areas,
whereas in this issue, we wish to cover the Automation topic as a whole
covering all areas on business operations wherever the technological
possibility exists.
As soon as we hear the word called ‘Automation’, most of us think that such
exercises belong to the big corporate and not the privilege of the lesser
SMEs. But this is not so. We will break this myth now!

Basically what is meant by automation? Or task automation? Task
automation is the process of utilising various other systems and
technologies to minimize or reduce the amount of human intervention to
complete certain tasks or procedures. We could ask, “What is the
advantage or use of such automation of tasks?” To begin with the
number of hours of human effort can be drastically reduced and thereby
divert the efforts to other tasks and productive areas. Secondly many
repetitive or monotonous tasks can be automated, thus reducing the
time spent of such tasks to quite considerable extent.
To understand more on this and to make matters simple, let us take up
few realtime examples. Let us see a telephone call example. Suppose
that we want to dial and speak to a customer. Scenario A; we dial the
operator, inform the number or customer contact to be called and wait
until the operator connects the call to us. Here there may be delay due
to human (operator) intervention. Scenario B; we dial a code (stored on
the phone equipment) and directly connect with the customer. This is a
simple automation.
Similarly, let us suppose we need to withdraw some cash from the bank.
Scenario A; we go to the bank, fill-in the withdrawal form, present it at
the designated counter, wait for the operator / cashier to review the
account details and until the cash is provided to us. Scenario B: we go to
the ATM, type the account and amount details, get the cash. Here the
process of checking the account details and disbursing the cash through
human intervention has been eliminated and the process automated.

Now let us see a practical example with business operations. Suppose
that the Accounts department has to raise monthly contract based
invoice and send it to the customers. Scenario A; every month the
accounts team will be instructed to raise the invoice based on the
contract information, accounts team generates the invoice and sends it
the concerned customers by mail. Scenario B; every month the invoice is
automatically generated based on the contract definition and on a pre-
defined date, then email is sent to the customer by email. Here again, we
see that human intervention is eliminated and precious time is saved
through automation. Such automation are possible, with accounting
software packages such as Tally. Hence other ERP software do have
similar facilities to automate the tasks.
And did we mention about the cost? Thankfully, in today’s smartphone
and digital environment, the software industry is much matured and many
players have evolved and stabilised over a period of time. Thus the cost of
such customisation and automations are not sky-high and the process too
is not a rocket science anymore.
Interested now… let us start investing our precious time to go forward
with task automation. Instead of using a prehistoric technology costing a
mammoth of maintenance, let us look into new age technology solution
which are now more affordable than before.
