  3. 3. 3 Part One POLICY NAME: New Hire Health and Safety Training at Savers Depot Approved By: Jane Crawford, HR Director Effective Date: November 1, 2022 Administered By: Ruth Pialan, TA Specialist Last Revision Date: October 2022 POLICY STATEMENT All new Savers Depot employees will participate in training objectives. The training requirements are the starting point and apply to all new employees, including head office and permanent contractors working for Savers Depot. It is the expectation that all New Hire Health and Safety Training requirements will be completed on the first day as a Savers Depot employee. CONTEXT AND PURPOSE Purpose of this policy and why we are doing this Our commitment to safety is embedded in how we operate and is part of our culture. All Savers Depot employees are responsible for protecting themselves and those they work alongside and keeping as a safe and reliable partner for our customers, contractors, and community. At Savers Depot, safety is synonymous with our values and commitment to act ethically and do the right things. High-level objectives Savers Deport believes workplace injuries are preventable, and nothing is more important than ensuring our people go home safe and healthy to their families at the end of every workday.   4. 4. 4 Our commitment to safety is administered, monitored, and guided by the highest levels of stakeholders, from our Board of Directors to our senior executive team. This commitment is supported by the accountability of all members of the Savers Depot team to uphold the highest safety standards and make safety a core value that is an integral part of our corporate culture. COMPLIANCE AND LABOUR LEGISLATION This complies with Work Safe BC, Part 2 Occupational Health and Safety, provision 21, which states the general duties of employers to ensure the health and safety of all workers and any others present at the workplace at which the work is being carried out and must comply the Occupational Health and Safety provisions. In addition, the New Hire Regulation enacted by B.C Reg. 105/2007, effective July 26, 2007, states that all employers must ensure that before a new worker begins work in a workplace, the new work is given a health and safety orientation and training. As part of the documentation, the employer must keep records of all orientation and training provided as mandated under sections 3.23 and 3.24 (Work Safe BC, 2022). SCOPE AND LIMITATION All Savers Deport employees will participate in these primary training objectives. The training requirements are the foundation and apply to all new employees, including head office and permanent contractors working for Savers Depot. It is the expectation that all training requirements will be completed on the first day as a Savers Depot employee. RESPONSIBILITIES OF STAKEHOLDERS  All Savers Depot new employees are to comply with this essential training. Another applicable training requirement requires another level of health and safety training necessary for their job, as appropriate.  The operation supervisor will recommend undertaking another level of training specific to task-related and deemed necessary and re-training employees under supervision.  The human resources support department will coordinate the training, re-training and other health and safety external and internal requirements.
  5. 5. 5  The Health and Safety Committee comprising the management and employee representative shall be created to conduct and review the assessment result and evaluation of the process and serve as an advisory committee on the best practices.  In the event of violations, it shall be the responsibility of the supervisor to conduct corrective measures and, if deemed necessary, issue disciplinary notice and implement progressive discipline in collaboration with human resources.  The supervisor and human resources department shall serve as custodians of the training documentation upon the first day of employment and other re-training requirements of each employee.  In direct collaboration with the respective supervisors, managers, human resources and the joint occupational health and safety committee, the management proactively creates policies that will uphold the safety culture of Savers Depot. METRICS AND METHODS OF ASSESSMENT As part of the development process, Savers Depot leaders and management must align the vision, values and purpose that will guide all employees to strengthen the company's safety culture. The supervisor on operations shall take the lead in ensuring no employee shall report to their workstation without completing the training and assessment. The training will take an hour to complete, and 25 questions will follow to assess knowledge. The session will end with survey feedback to support the company’s continuous learning and improvement objective. The training record, assessment and feedback shall form part of the administrative data management of employee files with the human resources department. As a result of Savers Depot's strategic health and safety objectives, the company aims to achieve the following:  Zero fatalities and life-changing injuries  Continued protection of the community  Comprehensive occupational health and safety program  Achieve strong, sustainable corporate credential
  6. 6. 6 DEFINITION OF TERMS  Employer - a person who has or had control or discretion over an employee or who is or was responsible, directly or indirectly, for the employment of an employee (British Columbia, 2022).  Occupational health and safety (OH&S) is the recognition, assessment, and control of hazards associated with the work environment (Kelloway, 2021)  Worker – is an employee who works exclusively for the payer, provided by tools; control duties; payer, sets working hours; worker services and paid salary or hourly wage (Government of Canada, 2022) RELATED POLICIES AND LEGISLATION In the context of law, both employers and employees have rights, duties and responsibilities regulations protected by law that stakeholders to comply with as enumerated below:  Canadian Human Rights Act (R.S.C., 1985, c. Pialan, Talent Management Specialist Subject: New Hire Health and Safety Training Program Hi Charles, Good day. I hope this email finds you well. As part of Savers Depot's initiative to embed the safety culture in all employees and the stakeholders we work with, the human resources department created "New Hire Health and Safety Training," which we target to roll out starting November 2022. As a result, the aim is to achieve the strategic objectives:  Zero fatalities and life-changing injuries  Continued protection of the community  Comprehensive occupational health and safety program  Achieve strong, sustainable corporate brand This is also in compliance with the Work Safe BC and Canada Labor Code, mandatory requirements for employers to provide health and safety training to new employees and the corresponding documentation. I request approval for the program cost of CAD 25,000.00 for the online workday software course and the administrative fee. With this budget in place for two years, learning and embedding the safety culture will sustain the Savers Depot brand on safety. I am happy to inform you that we received support from Mr. Charles Dickens with his approval of the New Hire Health and Safety Training to roll out next month. To ensure the success of this program, I would like to ask for your support on your team's implementation. Start Date: November 1, 2022 Participants: New hire employees Venue: Meeting Room 1 Type: Workday Online Course Time: 1 hour After the training, an online assessment will be given equivalent to 25 questions; the new hire must get a score of at least 80% to move on to the next step. Once completed, a survey about the training is less than five minutes to finish the course. This ensures Savers Depot can continually develop according to employees' feedback.
