Here we have the Thick Windows Client. This is where you can browse and search for your documents. We have two types of documents: Laserfiche documents (Scanned tiff images) and Electronic documents (pdf, Word, etc). The Document Viewer is where you can view the scanned images as well as the document’s OCR text and metadata. Metadata refers to field data, tags, links and versions. You can also edit the document with annotations, such as sticky notes and highlights. The Server works with SQL Express, SQL and Oracle. You can also get our Records Management Edition of the Server. There are two classes about RME so again, I’m not going to go into too much detail. Basically, Records Management allows you to control the document lifecycle. RME is DoD 5015.2 certified and requires Advanced Audit Trail if you want it to follow the DoD requirements.

Laserfiche Scanning Convert paper documents into Laserfiche imaged documents. Import electronic files into a Laserfiche repository. Perform image enhancements and processes (e.g., optical character recognition) on scanned documents. This is included with the Client and there is a version that is available over the web that comes with Web Access. Quick Fields Laserfiche Quick Fields is a collection of image processing and enhancement tools designed to simplify automated capture and classification of documents. Quick Fields supports a suite of add-ons that can expand its capabilities. To name a few: Bar Code, Real Time Look up, OMR… Capture, Identify, Process/Enhance, Index, Quality Assurance, Filing the document. Snapshot Eliminate printing and scanning from document capture process. Just “print” to Laserfiche directly. Capture electronic documents in high-quality color, grayscale and black and white archival images Streamline filing processes by determining template field values before documents are stored in the repository. Maintain long-term access to electronic files using the industry-standard TIFF Group IV storage format. Provide electronic document capture capabilities to work groups and departments as easily as sharing a network printer. Import Agent Looks for documents in monitored folders and imports them into Laserfiche. Example: MFP captures documents and puts them in a file folder on the network, then Import Agent can automatically import them into Laserfiche. It is smart enough to recognize specific types of documents and only import the ones you need. Useful for scheduling document capture from a wide range of sources: FAX, MFP, Web Folders/FTP, Electronic Documents, Helps with organization because it can follow a set of rules for naming convention and folder organization when importing and creating documents in Laserfiche. It auto-populates template fields and can even insert pages into a document that already exists in Laserfiche. Example: Quarterly statements that need to get updated in the year report. Minimize network traffic by scheduling large imports at night, at lunch or other times when traffic is down. PhotoDocs New addition to the Laserfiche Client 8.1 that allows you to import images directly from your camera into Laserfiche. The Workflow Designer lets you layout your workflow processes, search for workflows in process and maintain workflow starting rules. As you can see from the screen, a workflow can automatically do almost any action from the Laserfiche Client. Move a document to a folder, add a sticky note, edit the field data, and even assign a template. For example, you could use Workflow to set up security for new users based on your organizations rules for security. Workflow can assign rights and tags to folders and documents.

The Laserfiche suite of software does incorporate some native reporting capabilities. The primary Laserfiche modules enable you to perform reporting through two main applications: the Laserfiche Client and the Audit Trail reporting tool The Laserfiche Client offers a robust folder browser and search engine that lets you construct complex searches and present results in an informative table manner. The audit trail reporting tool provides detail feedback on all changes applied to the document repository. The new web reporting interface presents the audit data in either a tabular or chart manner. We’ll first do some searching in the Laserfiche Client. <conduct a simple search in the LF client> Next, I’ll show you how you can generate simple reports through the Audit Trail reporting tool. We’ll also take this opportunity to configure the audit database. <configure audit db and generate a simple report in the reporting tool>
Here is an example of a graph that was generated from audit data. It shows the number of invoices scanned by different users in a company organized by month. This is actually a report that we will create later on in the lab.
