OBJECTIVES
4. You have already learnt about some of the
features of Microsoft word such as spell
and grammar check and adding borders. In
this chapter , you will ;learn the various
ways of formatting a paragraph, finding
and replacing text, and printing a
document
5. In word, a new paragraph begins when you press the ENTER KEY.
You can format a paragraph by changing its alignment , indentation ,
line spacing and paragraph spacing .
ALIGNMENT
Alignment refers to the placement of the text with respect to left
and right.
We learnt about changing the alignment by making use of the
alignment buttons in the paragraph under the home tab.
PARAGRAPH FORMATTING
6. align text left places the text towards the left
margin ,leaving a ragged right edge .
Align text right places towards the right margin,
leaving a ragged left edge .
Center places the text in the center of the left
and right.
Justify places the text in such a way that the text
is equally distributed between both the margins and
none of the edges of the text appear ragged.
7. INDENTATION is the amount of spacing between the
text and the page margins . The various types of
indentations are:-
Left indentation:- this indentation lets specify the
amount of spacing to be given from the left margin .
Right indentation:- this indentation lets you specify
the amount of spacing to be given from the right
margin .
Special indents :- there are two types
First line
Hanging
INDENTATION
8. Line spacing is the amount of space between the lines
of the text in a paragraph in a word document . You
can increase or decrease this space by following these
steps.
Select the text or the paragraph for which you want
change the line spacing
Click on the home tab .
Click on the line spacing option in the paragraph
group . A drop down list appears .
Select the desired spacing value from the drop down
list
LINE SPACING
9. Paragraph spacing is the amount of space above or
below a paragraph . You can set paragraph spacing by
following these steps:-
Select the paragraph before or after you want to
change spacing.
click on the page layout tab .
Enter the required values in the before and after spin
boxes under spacing under the paragraph group .
PARAGRAPH SPACING
10. The text in word so that it appears in columns just the
way it appears in newspaper . Follow these steps to
format the text in columnar format .
Select the text that has to be displayed in columns .
Click on the page layout tab .
Click on the columns option in the page setup group.
Click and choose the desired number of columns .
Click on the more column option .
Specify the number of columns in the presets section or
enter a number in the number of columns box.
Click on the equal column width check box if you want the
columns of equal width.
Click on the line between check box .
Click on OK.
COLUMN FORMATTING
11. The find feature can be used to search all the
occurrences of a given word or phrase .the steps to
use the find feature are:-
Click on the home tab.
Click on the find option in the editing group.
Type the word that you want to find in the search
document box.
Click on a result in the navigation pane to see it in the
document .
FIND FEATURE
12. Besides finding the text , you can also replace the
occurrence of a given word or phrase with an alternate
text. The steps to find and replace the text are:-
Click on the home tab.
Click on the Replace group option in the Editing group.
Enter the text you want to replace in the find what text.
Click on the Replace , All or Find Next button .
When you are finished click on OK.

13. The page margins is the space between the edge of
the page and the document text on all four sides. the
steps to set page margins are:-
Click on the page layout tab.
Click on the margins option.
Click on a predefined margin.
Click on OK.
SETTING PAGE MARGINS
14. You can check the way the document pages will
appear after getting printed. Follow these steps:-
Click on the file tab.
Click on the print option.
Click on the arrows below the preview section to view
every page.
PREVIEWING A DOCUMENT
15. After checking the preview of the document , you can
choose to print it by following the given tab.
Click on the file tab.
Click on the print option.
Choose the printer from the printer drop down list.
Enter the number of copies in the copies spin box.
Under the settings section, click on the arrow next to
print all pages.
Click on OK.
