- We have come to an interesting tipping point for SharePoint deployments worldwide. There are a staggering amount of organizations moving to the cloud, or at a minimum hybrid deployments as we move towards truly digital workplaces. Research from a ShareGate study found that globally, 61% of organizations are now using SharePoint hybrid scenarios or fully-cloud environments and 37% are still on-premise. And, 82% of these organizations are using SP 2013 and lower. Those organizations who are still using SP on-prem indicate that they are slow to migrate due to security concerns of cloud-based scenarios. This is peculiar considering a large portion of organizations are still on SharePoint 2010 which is no longer supported by Microsoft which has large security implications in itself. - When Microsoft first started talking about hybrid, the conversation was really framed around starting with migration. That was the old hybrid model that started in about 2013. Four years ago, the focus was on different concepts such as federated search, and redirections from OneDrive for Business to Office 365. Everything was driven by Microsoft’s desire to get you to migrate to Office 365 but for many this was not feasible We also came to notice this as well when speaking to customers about this solution opportunity for SharePoint Online, but it wasn’t possible for many for a variety of reasons The NEW WAY Microsoft wants you to think about Hybrid is not about “bringing your business to the cloud” but instead, “How Microsoft can bring the cloud to your business.” As a result this new model has segued to hybrid capabilities that make is so you don’t have to migrate your data and instead, you choose scenarios where you can keep your data on-premise where necessary while utilizing the cloud for either new initiatives or added workloads
- According to studies, by the end of 2017 nearly 50% of large organizations will have Hybrid cloud deployments and 45% of total IT service expenditure will be on cloud services by 2020 While the majority of organizations aren’t solely on the cloud, they are choosing hybrid scenarios as a first step to leveraging cloud technology where it makes “dollars and sense” for their business. Organizations also realize that infrastructure trends are moving in this direction, so they want to train their workforce early on to understand the tools and skills necessary to successfully launch cloud deployments. Today, what we see is that a vast majority of Microsoft customers are already running hybrid scenarios to leverage the cloud whether it is just in pilot or actual production. Hybrid scenarios are truly a win-win solution that allow your applications to work harmoniously together—in essence, hybrid helps you to utilize exiting components that need to stay on-premise, while extending to other services in the cloud that were not available to you such as live document collaboration and sharing in OneDrive and powerful productivity apps like Delve For example, many organizations need to keep content on-premise due to compliance or corporate regulations—by having a SharePoint On-premise and SharePoint Online hybrid environment, users are able to easily search/discover content as if it were one single ecosystem Another example that restricts organizations from moving solely to the cloud is due to business justification. I’m sure a vast majority of you have invested a significant amount of time and money into building custom line of business applications in your on-prem sharepoint farm. Moving to SharePoint Online would require a complete re-build of these solutions making hybrid an obvious win. And finally, feature parity…while SharePoint Online is getting closer and closer to matching SharePoint On-prem, there are still features like PerformancePoint Services and Custom Content Processing) not yet available with SharePoint Online Which leads me to the two main reasons why organizations choose hybrid scenarios: Hybrid in support of migration wherein organizations see themselves moving to SharePoint Online, but need to take it slowly. A hybrid deployment is a really nice option. They can migrate on their own terms without impacting their existing on premises farms. Hybrid permanence—those organizations who are not on a journey to the cloud and would rather plan to keep one foot on premises and one in the cloud permanently. - SharePoint 2016 vs. SharePoint Online What are the differences?....This is something you’ll need to consider in deciding if you partially want to utilize SharePoint Online in Office 365 Resource Requirements In the case of SharePoint On-Premises versus the Cloud, that consideration is an important one. The major difference between the two is that to run SharePoint 2016 On-Premises you'll need more room (metaphorically and literally) and an IT team to maintain the server, to add updates and patches. also possible to set up a hybrid solution using a fully patched version of SharePoint 2013. With the Cloud, your internal resources are reduced; there’s no hardware to buy, which means the IT pros you already have can continue to work at their top level of productivity. Updates and infrastructure SharePoint On-Premises is maintained by your IT team and is habitually kept up to date with patches and other updates, while its Online counterpart is updated automatically by Microsoft. However, the size and number of packages are reduced considerably in SharePoint 2016, and the downtime previously required when running updates has been removed. Features in SP 2016 vs. SP Online It’s also important to consider how features compare in SP 2016 and SharePoint Online. Keep in mind when we talk about SharePoint Online, we are also talking about the larger feature set available in Office 365 as well (Delve, MS Stream, Power BI, Planner etc…) While SP Online is close to feature parity in SharePoint on-prem, SP online is still missing functionality like Performance Point Services and Custom Content Processing Compared to other SP versions, SP 2016 has greater focus mobile, Team Sites and Groups, Machine Learning and Office Graph enabled by Delve and of course greater emphasis on OneDrive Finally in SP 2016 there is serious emphasis on user-drive UX. What does this mean? UX is now tile-based with images and key headings. Drag and drop functionality makes it easy to reorganize documents and change metadata. This is very new for Microsoft products that have always taken a very linear fashion. - The Cloud isn’t Secure Since cloud computing and technology has been evented, the number one reason people are slow to migrate over is due to security concerns. Similar to the security concerns you have with on-premise data storage, you can either do it well, or do it poorly. If you speak to any industry-leading CIO you will find him saying that “the cloud is not inherently more or less secure”. You can implement a mainframe really well or really badly and create lots of holes. And you can implement a cloud scenario really well with lots of continuous monitoring points and real-time response and patching that's done in real time, et cetera, or you can do it poorly. The cloud has properties that can lend to greater security to any transaction--health, education, consumer transaction, government transaction. In many cases the cloud has more features that lend to greater security than on-premise. We see this as large financial institutions and governments who needs to securely highly sensitive data, begin to move to the cloud. We Will Lose Control This is another myth we often hear. Yes—by migrating to the cloud, you are in essence moving your data from either your own infrastructure in house, or you are moving it from an on premise data centre you pay for. Either way, when migrating to the cloud, you are putting your trust into a different team of experts that are external to your business. It’s really a matter of how talented your team is and how knowledgeable they are about cloud infrastructure. What I can tell you though is that from experience, IT teams find themselves loving the cloud because there are much more advanced tools to control the security and monitoring of your environment. Be mindful of how many leading organizations are moving to the cloud—they have all found ways appease their control concerns. Start with some research! We can’t find business justification This is probably my favourite one… While there are costs in migrating to the cloud, when you get there you will be paying at a minimum 30% less in infrastructure and maintenance costs which companies showcase time and time again. - To carry-on with the business justification myth, let’s take a look at how IT budgets were being allocated in 2015. What you see here is that organizations are investing MORE in hybrid and public cloud services because they recognize that this will decrease your costs in the long-run. Infact, Hybrid scenarios are trending upwards wherein 50% of large organizations will have hybrid and cloud deployments by the end of this year. The majority of cost-savings come from the removal of physical infrastructure elements like server hardware, power consumption and physical space. Greg Deckler, a well-renowned SharePoint MVP and Director of Cloud Services wrote a really good article that broke down an apples to apples price comparison of on-premise vs. cloud environments. By removing all costs that may cross-over between cloud and on-premise scenarios and simplifying assumptions, he deduced that the cloud will cost you 30% LESS. Why? In apple to apple comparisons, you find that you pay way more capital costs on-premise in order to benefit from advanced technology that dedicated cloud providers offer like state of the art load balancing, management software and monitoring tools. - These are the three most common scenarios in which people have SharePoint deployed Microsoft recognizes that you may still need these scenarios for a variety of reasons If you are using a traditional or on-premise scenario, this is likely for compliance or corporate regulations. You may even have such a large SharePoint environment that it just makes most sense to run your own data warehouse. Are you on a private cloud? Same thing, goes… you likely have compliance to follow or corporate regulations that demand your cloud to be private. The difference here is that your applications can be virtualized. Your SharePoint infrastructure is in a state where it can be virtualized. Here you can scale or contract on demand. When you are on a public cloud though, you can take an idea and move it to application extremely quickly. In the context of SharePoint this means taking advantage of services like Microsoft Graph. What does hybrid do for organizations? It enables you to move to the cloud and use in scenarios that make sense to your business. The hybrid application Microsoft has designed acts as a fabric between all these different scenarios so that you truly have a congruous environment no matter how many scenarios you are operating with.

- Microsoft listened to people like you and identified the need for hybrid workload scenarios to speak together seamlessly. In essence, people wanted to seamlessly take workloads and shift them from point A to point B. For example, you have a silos of information on-premises, and a silos of information in Office 365. For hybrid scenario search to work, you need to be able to rationalize this information across the two, and you need to do it in a way where it happens simultaneously…a point of visibility into both sets of content. This starts with SP on-premised which crawls a number of different things including: local sites, file shares, business connectivity services, other SharePoint sites and other things within your organization. Conversely, SharePoint Online crawls itself and that’s it. You’re not crawling your file shares on prem or your third party line of business applications. What hybrid search does is get all of those results back from your on-prem SharePoint implementation and SharePoint online. With the cloud hybrid search solution for SharePoint, you index all of your crawled content AND you can also crawl your search index in Office 365. As a result your search centre will display and rank results from the Office 365 search index in one result block and calculates search relevance ranking and refiners for all your results, regardless of whether the results come from on-premises SharePoint, SharePoint Online or Office 365 content. - Another hybrid scenario we like to recommend is for OneDrive for Business This workflow allows you to start getting rid of your old network drives and provides anytime, anywhere access to documents Unlimited storage space It also provides a secure cloud-based storage solution for employees to have the flexibility to work and collaborate on documents before they move them over to a structured SP repository OneDrive overpowers SP content that is much more findable and easy to share and collaborate on Rather than having to go through a network to access documents to download and send via email, you simply share via OneDrive There is also sore flexibility, more security, and control that comes with OneDrive (version control) as content will be made outside of SP…rather than employee desktops This scenario is also used by organizations who engage in a lot of partnership activity but do not want to expose their internal private environment. They can still benefit from the perceived “security of on-prem SP” but instead share documents and folders from OneDrive

We recently actually helped one of BC’s leading universities (SFU) implement this so that their faculty, students and staff can benefit from all the wonderful things of cloud-based email. The University was using SharePoint on-premise and began migrating some of their office business applications to the cloud. They performed some cost analysis and also recognized it would be much less expensive to use outlook in office 365 due to how expensive it was getting to maintain and purchase more exchange servers for outlook. What resulted was also a better experience for end users who could now: Benefit from cloud-based email from any device at any location Cloud access to their calendars; schedule meetings on the fly and have instantaneous access to your co-worker calendars to schedule meetings on the fly Office Pro Plus The third hybrid workload scenario that has IT managers fist-pumping is with Office ProPlus—Microsoft’s full productivity suite: Word, Excel, Powerpoint…. By moving to this hybrid scenario you will have all of your updates taken care of for you. Gone are the days of IT wasting resources on maintaining up-to-date business applications Your users will get the latest and greatest right away
