2. The Security First Promise
Security of your data is our highest priority, and we prove our Security First Promise
by how we protect your information. Our operational procedures exceed regional
and international regulations, we self-audit quarterly and are audited annually
by a globally recognized auditing firm. The OnBase Cloud features highly secure
data centers, encrypted in-transit connections, built-in redundancy and data
replication to ensure your information is only accessible to the people who need it.
Traceability is monitored and visible through easily created access reports.
Unlike competitors, Hyland provides you with complete details of where your
primary, secondary and backup data and systems are stored and operated from
with a completely transparent data locale policy. As our customer, you have a
designated primary location in one of Hyland’s worldwide data centers—typically
in the data center physically closest to you but assignable to your preference. (We
have data centers across the U.S., as well as in London, Amsterdam, Tokyo, Sydney,
Mexico City and Melbourne.)

Security has a new name: OnBase data center
All OnBase Cloud data centers meet stringent physical and environmental security
standards governed by ISO and SOC requirements. Data centers are staffed with
security personnel and monitored by surveillance cameras, and Hyland limits
physical access to pre-authorized staff and visitors. Access to the environment is
controlled via multi-factor authentication with restrictions that limit data access
to only authorized resources.
• Hardware is physically separated from any other hosting equipment and is
separately secured using individual cages and locking cabinets.
• Network infrastructure components and services such as routing, switching
and bandwidth are monitored 24/7.
• Automated network intrusion monitoring procedures operate 24/7.
By default, the OnBase Cloud uses AES - 256 bit TLS 1.0 and SSH2 transport
encryption. Data is encrypted both from the workstation to OnBase Infrastructure
and vice versa. Data transfers that utilize SFTP (SSH2 protocol) also encrypt traffic
in both directions. Access to customer files is strictly controlled and logged for
compliance auditing. This ensures all content and operations are secure from any
possible interference or interception en route.
