LGL Usage Manual
Donation Processing
1. Make one (1) copy of the appeal and the check/cash. Make sure that the appeal code (if
applicable) is visible on the bottom right hand corner.
2. Double check that all required information is visible on the copy. Shred the original appeal
form.
3. Stamp the copy of the appeal with the “to do” stamp. Date the stamp with today’s date.
4. Fill out a Miscellaneous Income accounting form for all donations. Under “Account Number,”
write “Centennial Institute.” Under “Extension,” write “x3157.” (This is the SHS Desk Phone.)
Under “Money Received From,” write “Individuals.” Under “Reason,” write “Donations.”
When the form is complete, fold and paper clip all checks inside the form. Call CCU Security
at x3222 to notify them to pick up the Centennial Institute security deposit envelope. Check
off “Acct.” on to-do stamp.
5. Search for the donor in LGL by last name and enter the gift information. If the donor is a
constituent in LGL, follow Process A below. If the donor is not a constituent in LGL, follow
Process B below.
6. Print the appropriate acknowledgement letter for the donation. Put the letter on Jeannie’s
desk for her review. John will then sign it.
7. Fold the letter and put it in an addressed envelope. Put the letter in the outbox.
8. Check off “TY” on the to-do stamp.
PROCESS A: Donor is a Constituent
1. Select the correct constituent, matching the address on the gift with the address in LGL.
2. Click “Actions” next to the constituent’s name and select “Add gift.”
3. Enter the amount with no dollar sign ($) or commas (i.e., 1000).
4. Select the appropriate payment type: cash, check, or credit card.
5. Enter the appropriate information in the “Check/Reference Number” box: if a check, enter
the check number; if a credit card, enter “xxxx” followed by the last four digits of the credit
card number (i.e., xxxx9999).
6. Enter the date the gift was given in the “Gift Date” box. This is the date the check was
written or as noted on a credit card gift. If no date is listed, then enter today’s date.
7. Enter today’s date in the “Deposit Date” box.
8. Enter any notes into the “Notes/Description” box. Examples: “Business Council Renewal,”
“Youth Wave Sponsor,” etc.
9. On the right hand side of the “Gifts” screen, enter any applicable Campaign, Appeal, etc.
information.
10. Under the “Send acknowledgement mail” tab, select the corresponding acknowledgement
letter to match the gift.
11. Click “Save.”
12. On the “Constituents” screen, click on “Edit Categories” on the bottom of the middle section
for the corresponding constituent.
13. In the “Categories” screen, select any additional attribute designations that the constituent
may have. Make sure that the “Group,” “Giving Level,” “Tag,” and “CRV Subscription” are all
updated to reflect any changes.
14. In the same “Categories” screen, enter the appeal number from the bottom right hand corner
of the appeal under “Code” if applicable. Click “Save.”
15. Check off “LGL” on to-do stamp.
16. Return to Step 5 in the “Donation Processing” procedure above.
PROCESS B: Donor is Not a Constituent
1. Click “Add Constituent” and select “Add individual.”
2. Select “Full Form” to access the entire form.
3. Enter the donor’s first and last name in proper formatting. Enter the middle initial (no full
middle names) only if provided by the donor.
4. If the donor is married, select “Married” under “Marital Status” and provide the spouse’s first
name in the box provided. If the donor is single or marital status unknown, do nothing with
either box.
5. Under “Addressee,” enter the full formal name of the donor. If the marital status of a female
donor is unknown, use the prefix “Ms.” This is the form of the name that will be used on
labels and in the address block on a letter.
6. Under “Salutation,” enter the first name again or a nickname, if known. This is the form of
the name that is used in the salutation of a letter.
7. Enter the mailing address of the donor in their appropriate boxes.
a. All abbreviations must have a period following them. Examples: N., S., St., Blvd., etc.
b. Place the apartment or suite number after the street address on the same line with a
comma separating them. Examples: 56 Green St., Apt. 4A; 1700 Wadsworth Blvd.,
Suite 435
c. The state name should be its two-letter designation. Examples: OH, CO, NY, etc.
d. If the zip code provided supplies the final four digits, enter all digits provided. If only
the main five are provided, enter just those.
8. Click “Save.”
9. Follow Process A above to enter gift information.
