PROJECT CHARTER
Purposes:
1) Ensure safety of
students
2) Alleviate extra
processing
3) Eliminate waste
4) Increase VA and
NVAN steps
5) Retain Coaches year
to year
6) Pay coaches faster!
Positive Aspects:
 We are able to find enough coaches.
 Many coaches volunteer.
 Having a Director of Operations who doesn’t
have to coach a team improves the process.
 Autonomy for DOO to hire who they want.
 Great to have volunteer coaches who have a
general interest in giving back to the
community.
Areas in Need of Improvement:
 Finding a balance between parent coaches and stability
 Develop a flow for the hiring process
 Fingerprint fee
 Minimize PCMI paperwork
 Payment options outside of PCMI
 Restructure seasons to spread out need for coaches
 Coaches are working prior to the PCMI/TCAPS application process
 Move fingerprint process to earlier in the application process
 Continuous improvement as it relates to iChat & FBI background checks for volunteer
coaches
 Better process for tracking coaches through the process
 Consider FBI background checks for all MS coaches/may need to consider for
elementary coaches as well
 Speed up the hiring process
 Need to find coaches sooner to get the process going earlier

regarding registration deadlines.
 Utilize TCAPS Facebook page to promote LEAP
offerings and for added LEAP name recognition.
 Attend more elementary fall open houses where
registrations can be taken onsite.
 Create “Reduced Fee” awareness at our elementary
schools with lowest registration numbers by sending
phone messages with that info, reaching families
without email addresses.
 Create post card to include in next year’s Turkey Trot
“goodie bags”
 Use school websites to advertise upcoming offerings.
