This document outlines an agenda for a workshop on best practices for using etapestry fundraising software. The workshop covers database setup and configuration, including user preferences, account entry, and user defined fields. Additional sessions will discuss funds, campaigns, approaches, and output/queries and reports. The goal is for attendees to learn how to optimize their etapestry database and impact their fundraising through database cleanup, implementation of best practices, use of data services, and additional training.

Personal solicitations It is recommended to add the Cash, Revenue and Receivable Account Numbers to each Fund and use a standard or custom export for accounting integration to eliminate duplicate gift entry. The Finance Department should provide a listing of all General Ledger Codes that are related to development monies and should be made Funds in eTapestry.

Defined Fields cannot be deleted. Once a defined field or a defined field value has been created, it cannot be deleted. You can disable them later, which will keep them from showing up on screen on any accounts that do not already have data in the disabled field or do not already have the disabled value selected, but you cannot delete them. Some of the defined field's setup cannot be edited after the field has been saved. Once a defined field has been saved, you can continue to edit things like the field name and value names, as well as adding more values to the field. However, after the field has been saved, there are some setup options that you can no longer edit. You cannot edit the Data Type, and you cannot change the Display Type from a free-form field to a field that has set values. If data has been entered into the field, you also cannot easily move the field from one location in the database to another. Defined Fields should not be set up to appear in more than one area of the database. When creating a defined field, you should not apply it to multiple screens in the database. There are very few exceptions to this rule. In most cases, the data really belongs only in one area of the database. Additionally, when a field is set up to appear in multiple areas, updating the field in one location does NOT update it in any other location.It's more difficult to query on a field that has been set up as a free-form text field. When creating user defined fields, you have the option of choosing whether the field will have a defined list of values that users can choose from or if it will be a free-form text box or note box. Due to variations in data entry, free-form fields that are set up to allow the user to enter any type of text are more difficult to query on than fields that have set values. To a lesser degree, the same is true for free-form fields that only allow the user to enter date, number, or currency data.
