Reach out when everyone is least busy
Academics and other commitments will pile up throughout the semester
Get new students involved right away
Solidify your leadership team
Get used to working together early
Front load the planning for the year
Get the initial experience/planning learning curve out of the way (ex: how to book rooms, print flyers, order food, create meeting agendas)
Gain visibility on campus
SWE became known by the student org center as one of the best-run orgs, and we have won multiple awards for the event
Finalize day/time/location before the summer
Rooms book fast during the first month back
One those three are set everything else falls into place (volunteers, publicity, planning the activity)
Start partnerships early
Other engineering clubs
Not every event needs to be ‘yours’. Ex: our Friday BBQ is part of all engineering, and we help them publicize (win-win)
Companies and local establishments (tutoring companies, restaurants, etc)
Get creative with publicity
Partner with new student orientation hand-outs
Partner with college (part of ‘welcome to college of engineering’ acceptance letter)
Create a simple flyer for the whole week
Get all avenues (email, facebook)
Cater to a variety of interests and event types
Ex: one physical sport/activity, one general body meeting, one mentoring event, one professional development event, one combined social
FY’12 at UF (branding was updated)
Highlight your sponsors
Show all the information in one simple visual
Splurge on fancy/glossy paper
Use the new logo & branding!
Notice: each new executive board keeps what they like and adds their own flavor. Each year it in some way takes on the personality of the new leaders
