GRAND OPENING CELEBRATIONS OPS GUIDE
WHAT IS A GOC
GOC means; Grand Opening Celebration, it’s an event held to celebrate the opening of a new academy.
Within a community.
HISTORY
The first Grand Opening Celebrations (GOC) was tested in September 2011 in 6 academies, as a way to draw a
lot of attention to new school opening. The plan was to attract 400-600 attendants per GOC. They took place in
all the six location in different day as below;
 NU: Nakuru Rhonda (Mother Kevin) – Sunday + Free First Month Promotion
 RN: Rongai – Saturday
 RW: Ruiru Disciples Church – Sunday
 WK: Waithaka – Saturday + Free First Month Promotion
 KK: Kikuyu – Saturday + Free First Month Promotion
 NK: Naviasha Kwa Jasho / Kihoto – Saturday
Communication about the event was done in advance in the below forms:

 Posters/flyers/door-to-door/event marketing done by SM and teachers (5 weeks leading up to event)
 Posters/flyers done by Recruiter Team (week of event only)
 SMS message done by HQ (day before event)
 VIP invitations to key community leaders done by SO and SM through formal invitation
RATIONALE AND WHY THE CHANGES
The changes all started as a pilot for Term 3 2013 Grand Opening Celebrations in the below areas and
eventually continued with what worked, after seeing the attendance and the feedback from the event what was
loved most.
Here are the areas that had been proposed for the pilot
 Parent Activities: These will include a change in activities for parents. Now, instead of art gallery, which few
parents participated in, there will be two dissected classrooms for parents to visit in addition to a new video,
which AMs will need to borrow a TV and DVD for.
 Stickers : Stickers will be used for attendance and activity participation tracking. Stickers will identify which
parents have done which activity and which activity they have left to do so that staff can invite them
accordingly.
 Dates:Term 3 2013 GOCs will be help on two dates: Saturday 24
th
August and Saturday 31
st
August. This
is partially due to foreseen construction delays as well as testing which day works better for academy
enrollment.
o The Sat 24
th
August GOC will have the least time that staff has ever had to prepare for a GOC, with
only 5 days for AMs and 2 days for Teachers. It will, however, give them more time for admissions
exams.
o The Sat 31
st
August GOC will have more time for marketing, but less time for admissions exams.
 MCs : Because data had found that academies who have an HQ staffer MC their GOC perform better on
PTR, we will be using HQ staff as MCs as much as possible.
 Staffing: Because Term 3 will open with fewer classes and therefore fewer teachers, some previously used
staff stations will need to be moved around.
 Parent Survey: Have RAs survey parents on how they heard of Bridge and the GOC, plus what about GOC
is making the biggest impact and what can be changed.
WHAT WAS ADOPTED AFTER THE PILOT
 Parent Activities: T Now, instead of art gallery, which few parents participated in, there will be two dissected

GOALS FOR THE DAY AND THE IMPORTANCE OF THE EVENT
 A Grand Opening Celebration officially introduces a new Bridge International Academy to a community.
 The event gives everyone the chance to meet Bridge International Academy staff, explore the
academy, watch classes in action, see our materials, and learn more about Bridge in general.
 Grand Opening Celebrations are a key time to collect leads and enroll new pupils at Bridge –
because they are attended by so
 Attract awareness and excitement in the community about the arrival of Bridge International Academy
 Answer questions from Parents or Friends of the academy
 Provide information as to how to transfer and enroll children at the academy
 Provide information on how payments are made

 Provide information on why Bridge International is Unique in comparison to other schools
 Quality of Education – Children’s performance improves in all areas, teacher computer in class, practical
learning materials, and KCPE prep and Affordable to All
 Convince parents to try out our Academy Launch Promotion
 Give a pitch about bridge and our key selling point to many people from the community all at once!
The Grand Opening Ceremony is the big event and one of your strongest marketing tools during the “Attract
Phase” of our marketing cycle of success which comprises of 4 main stages: [AACC}
 Attract – attracting qualified leads/parents
 Admit – admitting pupils
 Convert – converting admitted pupils to second month
 Commit – obtaining committed parents who believe in our brand and are willing to spread the
word (WOM) Word of Mouth
In marketing – “First Impressions” are critical. The first impression our communities have of our academies is
important in setting the expectations of the Bridge International Brand in the Community.
WHAT TIME OF THE YEAR AND HOW THE DATE IS DETERMINED
Most of this event happens on a weekend before a new term begins on Saturdays, and they are always
scheduled to happen every term or every cohort with a target of academy every launch, the date is determined
by the first day of class if the first day of class is 5

THE AUDIENCE
Grand Opening Celebrations are aimed at families with nursery and primary school aged children as well as
chiefs, elders, and other community leaders.
 In January and May, Grand Opening Celebrations target hosting 700 people each (450-500 children
and 250-300 adults)!
 In September (because academies open with less classes), Grand Opening Celebrations are smaller,
but target 500 people each (300-350 children and 150-200 adults)!

THE GOC DAY AND PREPARATIONS
Summary activities at a grand opening celebration
The day is centered around activities for parents and pupils to demonstrate the quality of our education. All
Bridge International Academy staff at the Grand Opening Celebration should be aware of all of the activities that
are happening and encourage guests to participate in all of them. Each staff member is tasked with hosting one
of the activities.

 Activities for Everyone
 Greeting: A Bridge staff member will greet all families arriving at the end. Get record of every one who
attends. Children cannot be allowed without an adult guardian.
o The Goal: by encouraging families to sign up at the gate with their full contact, the Academy is
adding to their list of leads and hopefully getting more parents to enroll!
 Academy facilities: Families will be able to explore Bridge International Academy. They will be able to
walk around the plot, look inside classrooms, toilets, and the kitchen. It is VITAL that the entire
academy looks smart as it is the first impression that families will remember.
o The Goal: Show the parents the quality of our Academy infrastructure and how smart our
Academy looks.
 Speeches. Speeches will be made throughout the day informing families about what Bridge
International Academy offers, as well as hosting a ribbon-cutting ceremony.
o The Goal: Each speech is packed with information that highlights our key selling points and
informs parents about the quality education their children will receive at Bridge.
 Raffle. You will host a raffle where families can win classroom materials. Families can enter the raffle at
the Greeter. The winners will be randomly picked by one of the community leaders at 3:30pm during
the ribbon cutting ceremony and at 5:40pm. Parents with children in ECD- Primary level are eligible.
o The Goal: The raffles are another way to collect leads, which will help you build your Academy
and increase your PTR! Plus, the T-shirts won will be worn around the community, marketing
Bridge for you!

 Children’s performances. Children will perform the songs, poems, or speeches they learn during their
lesson to parents. The teacher running this activity will be responsible for assembling and presenting
the children. Performances will be twice during the GOC, once after each class session. The first
performance will occur at the same time as the ribbon cutting ceremony. The second performance will
occur at the end of the event.
o The Goal: The performances are the most important part of GOC for our parents!! This is our
chance to prove to them how much their children will learn and convince them to enroll children
in our Academy!
 Music: Music should be played before GOC even begins and throughout the event.
o The Goal: The music will draw attention to the event and encourage people from the
community to come to the Academy. Play it anytime you do not have a performance or speech
happening!
 Mandazi and juice! Everyone will be welcome to enjoy mandazi and juice, free of charge.
o The Goal: To keep our parents, children and important guests refreshed and enjoying the day!
 Children’s Activities
Face Painting! While we want to make sure that children see the fun education we can provide them in
the Classroom Activities, we also want them to be able to just enjoy the day with a special activity—
Face Painting.
o The Goal: beyond being fun for the kids at the event, this is a GREAT way to market Bridge as
they walk around the community after the event. With Bridge logos on their faces, the children
will be walking billboards for your Academy!
 Classroom activities. Fun learning activities will be available for children from Baby Class to Class 6.
Lessons last one hour and are done in groups (see schedule and staff assignments for more
information).
o The Goal: This will show parents and pupils how well trained teachers are at Bridge
International Academy, and how quickly Bridge pupils can learn! They will also give children a
sense of what Bridge offers and how fun it is to learn at Bridge!
 Art Gallery. Every child benefits from inspiration. Today we want to inspire children in our Art Gallery to
draw something that makes them happy. These posters will then be hung up on the walls of each
classroom. Every day the children can be reminded that “to be in class is to be in a happy place”. Art
Gallery will be held after Children’s Activities and performances.
o The Goal: Parents will be able to see their children as already part of Bridge and experience
how Bridge is inspiring them.
 Parent’s activities
 Bridge Cinema. Watch videos about Bridge to learn more about what makes a Bridge International
Academy education better. Parents can also ask the Bridge International Academy staff hosting the
event questions about Bridge and the admissions process. There are different types of videos including
but not limited to: Bridge Promotional Video, Media Footage, Music Festivals, Video Lessons and Fees
Policy videos.

o The Goal: This is a way for potential parents to experience Bridge through the eyes of existing
parents and pupils, as well as educating them even more about Bridge.
 Classroom tour. All of the materials used in each classroom are labeled with explanations of how and
why those materials are used.
o The Goal: Parents will be able to see our materials and get to experience them first-hand. The
tour lets parents touch, read and experience our learning materials!
 Talk to Academy Manager and Teachers Parents are able to learn more about Bridge International
Academy from the Academy Manager and Teachers.
o The Goal: This is an opportunity for parents to see first-hand how well trained all of our staff is,
giving them the opportunity to talk one on one to the Teacher that will be educating their child!
Creating that relationship early is crucial to getting them started at Bridge on the right foot.

 Talk with other parents and community leaders. Parents can meet others in their community who
also value education. They will hear from respected guests about why admitting your child in early
childhood development and primary education is important for his or her future success, and why having
your child in class every day is critical to his or her ability to learn. Education is what builds a bridge to a
brighter future for Kenya, and we at Bridge International Academy hope that you will allow us to be that
bridge.
o The Goal: This will be another opportunity for parents to hear from the respected community
members who support Bridge. Remember – we know how important word of mouth is in our
communities – parents hearing how great Bridge is from respected members of the community
is a key part to convincing them to enroll their child!
Staffing a Grand Opening Celebration
Specific Roles have been developed for the Bridge International Academy staff so as to ensure that every
activity has proper supervision and all guests at the event have a wonderful time.

STAFF ROLES, SCHEDULE AND ALLOCATION:
This is done by the person managing the event at the HQ and should be done on time a put in the manual that
goes to the academy
For the event to be successful we must allocate roles to the staff and Create a check list for all this roles and put
them in the manual that need to be sent to the AMs for example;
 Bridge Introduction – to be said once at the beginning
 Grand Opening Celebration schedule – to be said at the beginning, following the Bridge Introduction,
and then repeated every 30 minutes along with Bridge pitch

ACADEMY MANAGER – CHECKLIST
Academy Manager of the academy – host of the event, leader and public face of the academy always, but especially so at
the Grand Opening Celebration!
Job Overview
 Market the launch of Bridge International Academy in your community, as well as the Grand Opening Celebration
throughout your academy with the help of your teachers. You want to have 1,200 recorded leads by the time of the
GOC, following your marketing calendar. You need 700 people (parents and children) to attend the GOC.
 Make sure all important people in your community are aware of Bridge and the GOC and invited to the event (as
Friends of the Academy)
 Hire or borrow all necessary people (cook(s), caretaker, water vendor) and materials (chairs, PA system, TV,
DVD/VCD player)
 Purchase all necessary items (food stuffs).
 Help plan, set-up, run, and break-down the event with help of Captain and other staff members.
 Act as the MC making speeches throughout the event.
 Talk to parents, pupils, and Friends of the Academy about how Bridge raises pupils’ performance and push them to
try the varying Grand Opening Celebration activities.
 Do NOT allow children without their parents/guardians; politely instruct them to go home and return with their
parents/guardians.

 Follow Marketing Launch Planner
 Market according to the planner so that you record 1,200 leads by the time of the GOC in your smart
phone and have 500+ people (parents and children) attend the GOC. Remind your teachers of how
important these goals are so that your academy opens with many pupils.
 Get gathering permits for GOC signed by OCS and the area chief: Call CC in case of an issue
 Find, befriend, and hire the people you need to make your academy and GOC a success. Record everyone’s
name and number in the lists provided later on in this checklist.

 Select up to 5 Friends of the Academy (FOA). These should be important people in your community.
Explain to them about Bridge, the Grand Opening Celebration. Invite them to GOC and request that they
speak at the event, and ask them that they help market the academy going forward. The names should
be sent to HQ for review through Customer Care SMS Number: 0706101031.
 Hire a water vendor if no piped water
 Hire a caretaker (1 person). He/she will be responsible for making sure the academy grounds look smart,
latrines are clean, and garbage is continuously collected, as well as helping with set-up and break-down.
This a person who will be full time at the academy and paid by the academy ops.
 Hire a cook (Academy Cook, plus can have one assistant). Ideally, this will be the same person as the
Academy Cook, who will cook and sell lunch at the Academy once it opens. Make sure that this person is
available to cook all day at the GOC. They will make mandazi to feed 500 people (1,400+ mandazi) and
1500+ servings of juice. Rate for the cooks is Sh800 for the 2 persons (Academy Cook + 1 assistant),
that is Sh300 each.
 Cook will be responsible for purchasing firewood/charcoal (most appropriate) for mandazi cooking
and will be given appropriate funds for this purchase (not exceeding Sh400). HQ will provide some
more of the additional materials. You will be required to purchase the rest the day before the event.
 Look for MPESA and Equity agents who can come to the academy to talk to parents about payments, as
parents will need to use these services to pay for academy fees. It would be great if these people could
attend and speak at the GOC.
 Record the information for a medical clinic and taxi service so that you are prepared in case there are any
emergencies at the GOC.
 Prepare materials
 Hire a Public Address (PA) system, including electricity, or ask one of the FOA to help you procure one
for use on the day of GOC. In case of hiring, negotiate best price. Bridge average price is Sh1,000,
including cost of electricity for the entire day.
 NOTE: You have to get the best price. NO Price should exceed Kshs. 1,200. Price should be under
1,000.
 Borrow a TV and VCD/DVD player. Either use a personal one from your home or a friend’s home, or ask
the FOA to help you with this for using to watch video at the day of GOC. In case no one can volunteer,
find vendors and negotiate the best price. You cannot exceed 800 to hire. This includes the cost of
electricity needed for the whole day.
 Hire 100 plastic chairs for the event (cannot exceed Sh1,000)
Day before event:
 Meet with GOC Captain in person. They will be your best friend in helping make the GOC a success. He/she will
manage the event, including it’s set-up and breakdown so that you can concentrate on making connections with
the community. You will, of course, need to participate in the set-up and breakdown as well.
 Debrief with all teachers and GOC Captain regarding the event and everyone’s roles and expectations.
 Check-in with local police reminding them of the GOC (there should already be a Gathering Permit in place).
 Re-confirm water supplier (ensure you have enough water, and that water has been treated).
 Re-confirm Academy cook, and make sure they bring enough firewood/charcoal to cook mandazi they mandazi
(fee to not exceed Sh400) as well as all other supplies needed (frying pans and spoons).
 Re-confirm caretaker is ready and prepared for the GOC.
 Purchase remaining supplies, namely food items for cooking and serving to guests. Use the items checklist to
ensure that all the supplies are bought.

 Remind everyone to wear their Bridge shirt to GOC
Day of event:
 7:00AM: Arrive at Academy for GOC Set Up
 Bring the TV and DVD player for Bridge Cinema with you.
 With Captain’s help, aid in setting up the GOC based on academy set-up directions in
GOC Manual, using all decorations provided in GOC kits. Everything should be set up by
12:00 noon.
 This includes the academy grounds – including where speeches will take place,
where parents will sit, where FOA will sit, where face painting will be, and where
the mandazi & juice station will be.
 This also includes every classroom – including all of the Classroom Activity
classrooms and Art Gallery, the two Classroom Tour classrooms, and Bridge
Cinema.
 Together with Captain, give teachers and other staff the pages of the GOC manual
relevant to them. Teachers of the same activity will need to share (Classroom Activity
and Classroom Tour). They only need to review the materials in the beginning so it is not
imperative they have their own copy, only that they each review it. The Captain will have
another manual, and there will be a third manual provided in the GOC kit.
 Make sure PA system and TV and VCD/DVD player are functioning – and demonstrate to
all staff how to use it.
 Make sure chairs have arrived.
 Do not allow people into the academy compound before 1:30pm
 Raise academy’s Kenyan flag on flagpole (especially if flag ribbon was not provided in
GOC kit)
 Time-permitting, have ½ staff go marketing
 10:00AM: Meet with the Cook to make sure all supplies are ready for mandazi and juice. Cook(s)
should begin cooking by 10:30AM.

 Review pitch with teachers: Bridge will raise pupil’s performance. High quality is
guaranteed through Teacher Computers, Practical Learning, and new homework and
lessons every day.
 Make plans for final set-up.
 Allow staff to take lunch.
 Do not allow people into the academy compound before 1:30PM
 1:45PM Have music playing very loud so that people in the community know there is a party.
 2:00PM Event starts – greet guests as they arrive.
 Make first speech (following scripts provided in GOC Manual). Do speech in whichever
language parents are more comfortable with: English or Swahili: 1) Bridge Introduction, 2)
Grand Opening Celebration Schedule, and 3) Bridge Pitch. Be sure all props (books and
practical learning tools) are ready and used in Bridge Pitch speech.
 Help with crowd management, especially as event is beginning (use your public address
system if necessary) and when performances and ceremony are taking place.
 Select one of the Friends of the Academy who will lead with opening prayers on the day
of GOC- preferably a well-known and respected pastor
 Signal gate greeter to alert teachers teaching classroom activities to be ready for
presentations when it’s time for the two performances at: 3:15pm Ribbon Cutting,
Performance and raffle, and 5:30 Performance and raffle.
 Talk to parents about Bridge International Academy throughout the day, and urge them to
try all of the different GOC stations and talk to the AM about any questions, Encourage
parents to enter the raffle for a chance to win pencil, exercise book and reading book,

 Set up the classrooms according to the directions below, including rearranging the desks
and collecting and arranging materials.
 Remember: there will be two Classroom Tours, each with their own teacher assigned to
give the tours: ECD and Primary.
 Time-permitting, go marketing (AM and/or Captain will inform you)
 During event, give parents a tour of your classroom according to the directions below.
 If you have few parents or parents with many questions, you can talk about every
material used in detail.
 If you have very many parents, focus on the materials outlined below.

 After the tour, ask parents to visit Bridge Cinema to view some videos about Bridge.
Also, they should also make sure they fill in the raffle ticket.

Tour Directions
Tours should be conducted every 30 minutes. Before that time, ask parents to either wait outside or read
the labels on their own. Every 30 minutes, take parents through the short tour described below. If any
parent has additional questions or is open to more information after this tour (which should take 10-15
minutes), highlight all of the other labels to them.

PREPARATION BEFORE THE GRAND OPENING CELEBRATIONS

Get the promising number of academy to open in that launch from the development team so that you
can have a number to work with, First create a budget for the whole events the budget should help
you to make sure you don’t spend more than what you spent at the previous event and also monitor
the expenses then check the materials in stock and deduct from your current budget and share with

This are created by the curriculum team two months before the Go c and are updated every year,
they then send to the person who requested for approval,
Fun book once they are approved we do a hard copy request by filling in a purchase request
form , then seek approvals from the, DIRECTORS ,PROCUREMENT AND FINANCE once they
approve give it to procurement who will do the purchases and send to warehouse where kitting
is to happen
The script for the activity, they are used by teachers to teach it class and also they get hard copy
as a backup in case the computer is not working to take place once they are approved put them
in a teacher computer layout then send to it so that they can put them in the teacher computer,
this included the day pitch which comes from various deportment who have something that they
need communicated

Marketing is to do all this by coming up with the layout and the information to be put up on the
posters.
e) Merging, proofing and printing
Get the information to put on the posters and flyers from the development team this are an excel
sheet with ;Fee, academy and county, direction, CRE/IRE and phone number,
we also check the language by county. Work with the production team for merging after sending
the correct information to them, Once they finish merging they will send to you for proofing if all
this is correct; Fee, academy and county, direction, CRE/IRE and phone number, if they are
correct make a PRF request then get approval and give it to production for printing.

Check with the warehouse team if they received all the materials that you had placed a purchase
request for and they are of good quality, once you have made a kitting list send it to the warehouse
team for kitting preparation make sure its send on time so as to have them plan on time when to do
the kitting, remember to make a random kit check to make sure things have been done the right way.
6. GOC staffing
Make a list of all new academy with their contact and direction share it with other department leaders that
you will want them to give out a staff who can make to be a Captain in an event.

7. GOC Captain training
This is an event that take place every time we have a launch since there are always new people joining or
there is new information to communicate to them, it happens a week before the launch, you must prepare
a training deck that have every information on the event, the project owner must be there to make sure
they all understand their role since the event success will depend on the captain coordination of the event
since they are the managers of the event on that day. Make sure you have outlined all information well to
make sure they know their role well as below.

Job Overview
 Talk to Academy Manager and Teachers before the event so that they are aware of their roles and
what will be expected of them
 Arrive at academy night before event and regroup with academy staff
 Arrive at academy at 7AM on the day of the event to manage academy set-up for the event, including
seating for parents, classrooms activities for pupils, classroom tours for parents, Bridge Cinema,
mandazi and juice, face-painting and more.
 Manage all activities during the event to ensure all are properly executed.
 Help with speeches as needed.
 Talk to parents about Bridge and what Bridge offers and push parents and pupils to activities.
 Manage the breakdown of the event once it is over, including collecting all materials for return to HQ
(see Items to Return list at the end of the GOC Manual)

 Grand Opening Celebration manual, including complete information on set up, all activities, and all
materials used, all materials to be returned plus directions, schedule, speeches, roles, and checklists

1-4 weeks before the event:
 Attend GOC Captain Training
Week before the event:
 Review entire GOC Manual so that you are prepared for the GOC
 Plan travel – you are to arrive at academy Friday before the event and bring your laptop to serve
as a backup in case the TV/VCD player isn’t working
 Contact AM on Monday before event to introduce yourself
 Contact AM on Wednesday before event to make sure he/she has made all preparations
necessary for the Grand Opening Celebration (listed in AM Checklist) and has spoken with
Teachers
 Contact Teachers to make sure they are aware and prepared for the event; talk them through
their role and what will be expected of them
 Encourage AM and Teachers with their marketing, and the importance of getting 500+ people to
attend the GOC
Day before the event:
 Travel to the academy and meet all of the staff in person
 Go through all materials with AM to make sure all have arrived, report anything missing to
Customer Care: 0732160000. Call Customer Care anytime anything seems amiss, even if during
the event
 Discuss GOC plan with everyone including set-up plan and everyone’s specific roles during set-
up, event, and clean up; go through checklists per person to make sure everyone understands
their role
 Remind everyone to wear their Bridge shirt to GOC
 Send a brief report for that day to the call center
Day of event:
 7:00AM: Arrive at Academy for GOC Set Up

 Coordinate and participate in setting up everything that is required based on academy
set-up directions in GOC Manual, using all decorations provided in GOC kits. Everything
should be set up by 12:00 noon.
 This includes the academy grounds – including where speeches will take place,
where parents will sit, where FOA will sit, where face painting will be, and where
the mandazi & juice station will be.
 This also includes every classroom – including all of the Classroom Activity
classrooms and Art Gallery, the two Classroom Tour classrooms, and Bridge
Cinema.
 Make sure PA system and TV and VCD/DVD player are functioning
 Make sure chairs have been delivered
 Give teachers and other staff the pages of the GOC manual relevant to them. Teachers
of the same activity will need to share (Classroom Activity and Classroom Tour). They
only need to review the materials in the beginning so it is not imperative they have their
own copy, only that they each review it. The AM will have another manual from Training,
and there will be a third manual provided in the GOC kit.
 Raise academy’s Kenyan flag on flagpole (especially if flag ribbon was not provided in
GOC kit)
 Time-permitting, have ½ staff go marketing
 12:00PM: Hold brief meeting with everyone.
 Give encouraging speech for the day.
 Review pitch with teachers: Bridge will raise pupil’s performance. High quality is
guaranteed through Teacher Computers, Practical Learning, and new homework and
lessons every day.
 Make plans for final set-up.
 Allow staff to take lunch.
 1:45PM Have music playing very loud so that people in the community know there is a party.
 2:00PM Event starts – greet guests as they arrive and manage the event:
 Manage the event:
 Support AM in conducting speeches and talking to parents.
 Supervise Teacher duties: classroom activities, classroom tours, Bridge Cinema,
face painting, art gallery, and greeter.
 Supervise cook’s mandazi and juice and caretaker in clean-up activities throughout
the day.
 If Bridge Cinema TV or VCD player is not working, use your laptop instead
 Conduct crowd management as needed, and before all performances, Ribbon
Cutting, and raffle picking.
 Ensure that children are NOT allowed to the event without their parents/guardians;
politely instruct them to go home and return with their parents/guardians (work with
Greeter on this)
 Promote Bridge and the Grand Opening Celebration:
 Talk to all Friends of the Academy.
 Talk to parents: pitch them on Bridge, push them and their children to join different
activities, and answer any questions.
 Makes speeches as needed.
 Stay on schedule:
 At 3:15PM help everyone be organized for the Ribbon Cutting Ceremony, raffle,
and performance; provide AM with raffles, work with AM and Teachers to make
sure all performances happen on time.
 At 5:30PM help everyone be organized for the Ribbon Cutting Ceremony, raffle,
and performance; provide AM with raffles, work with AM and Teachers to make
sure all performances happen on time.
 Signal gate greeter to alert teachers teaching classroom activities to be ready for
presentations when it’s time for the performances.

 Ensure performances are completed:
 Ensure all speeches are done at appropriate times (scripts for speeches (in English and
Swahili) are provided on the AM’s Teacher Computer and in GOC Manual. Use
language most appropriate for parents. Use Teacher Computer as much as possible.

GOC academy purchases budget calls
Create a spread sheet that is to be used by the call center a week before the new AMs leave training
and share it with the call center manager. Set a date with the call center team for training on how to
understand what they are to do with the answers they get for those who go above the budget
allocated for that item, and also get to know why it should be accurate and done on time, once they
are ready to make calls it should start on a Monday once the am are at the academy and it should
take at least 2 day maximum since the budget has to be checked and seek approval so that they get
the money on the 4
th
day of the week for AMs to get time to get purchases.

GOC academy purchases request
Get an advance request form and fill it with the correct AM M-pesa numbers, plus what the AM is to
purchase, then get approval from your supervisor and the finance team.

Communication to captain
An SMS is sent 3 days before the event to the captains reminding them to call their AMs to find out if
all is ok at the academy and also find out if they have received all the materials they need. Make sure
the captains have done their travel requisitions and they are traveling to the academy a day before
the event; also, remind them to bring back the retrieval materials which are to be used at the next
event.
Communication to parents
We always communication to the parents through an sms telling the date and time of event, this by
drafting a 160 character SMS and send to the leads collect by AMs during their marketing days as per
the calendar for the success of this AMs must always follow the calendar.
Robocalls are also another method of communication where a recoded massage is sent to parents.
Event follow-up and feedback
The captain must always do a report after every event and put in their recommendation on what went ok
and what to change to make sure the event is a success. Also, make calls to AMs and parents to get
feedback.
Bridge International Academies – FAQ’s

1. When should I send the budget? Two days after you arrive at the academy: first go through the checklist so you know what
you need to purchase then go around the community and get the cheapest price for each item.
2. Who should I send to? This should be sent through the Survey to Go on your smart phone.
3. Is this budget enough for the expect people? Yes it’s enough we always target 700 people for the event and we have done
calculation accordingly to make sure it’s enough.
4. Why don’t we have tents in our budget? The budget we are provided with per academy is very limited and can’t cater for tents;
we concentrate more on making sure the attendees have something to eat.
5. Can we change the type of food to cook from what is required? Not at this time The type of food offered has been tested and
the result Show it works for all communities.
6. What is the dress code for the event? All staff should be in their Bridge branded shirts or T-shirts which makes it easy for
parents to identify them.
7. What should be the sitting arrangement? You should consider following the example drawn on the manual which will guide
you.
8. What are the tours and how do we arrange them? This is an activity where you take parents around in already arranged class
room with learning materials; Follow the arrangement guide as shown on the teacher checklist provided in the manual sent from HQ.
9. What do I do if I don’t get the PA that cost what you have provided? The budget provided should be enough since you are
required to hire a small pa with a small Sound that is not so loud since the purpose is for the attendees to get the speech.
10. Who are the friends of the academy? This are respected people in the community who have a say and can help bridge in time
of need ,Examples are the chief, the village elders ,people from the government office, church elders and land owners.
11. How do I get the event permit? Once you get a permit letter from Hq send it or take it to the Chief and the OCS for stamping
and keep the copy safe.

  • 1. GRAND OPENING CELEBRATIONS OPS GUIDE WHAT IS A GOC GOC means; Grand Opening Celebration, it’s an event held to celebrate the opening of a new academy. Within a community. HISTORY The first Grand Opening Celebrations (GOC) was tested in September 2011 in 6 academies, as a way to draw a lot of attention to new school opening. The plan was to attract 400-600 attendants per GOC. They took place in all the six location in different day as below;  NU: Nakuru Rhonda (Mother Kevin) – Sunday + Free First Month Promotion  RN: Rongai – Saturday  RW: Ruiru Disciples Church – Sunday  WK: Waithaka – Saturday + Free First Month Promotion  KK: Kikuyu – Saturday + Free First Month Promotion  NK: Naviasha Kwa Jasho / Kihoto – Saturday Communication about the event was done in advance in the below forms:
  • 2. ii  Posters/flyers/door-to-door/event marketing done by SM and teachers (5 weeks leading up to event)  Posters/flyers done by Recruiter Team (week of event only)  SMS message done by HQ (day before event)  VIP invitations to key community leaders done by SO and SM through formal invitation RATIONALE AND WHY THE CHANGES The changes all started as a pilot for Term 3 2013 Grand Opening Celebrations in the below areas and eventually continued with what worked, after seeing the attendance and the feedback from the event what was loved most. Here are the areas that had been proposed for the pilot  Parent Activities: These will include a change in activities for parents. Now, instead of art gallery, which few parents participated in, there will be two dissected classrooms for parents to visit in addition to a new video, which AMs will need to borrow a TV and DVD for.  Stickers : Stickers will be used for attendance and activity participation tracking. Stickers will identify which parents have done which activity and which activity they have left to do so that staff can invite them accordingly.  Dates:Term 3 2013 GOCs will be help on two dates: Saturday 24 th August and Saturday 31 st August. This is partially due to foreseen construction delays as well as testing which day works better for academy enrollment. o The Sat 24 th August GOC will have the least time that staff has ever had to prepare for a GOC, with only 5 days for AMs and 2 days for Teachers. It will, however, give them more time for admissions exams. o The Sat 31 st August GOC will have more time for marketing, but less time for admissions exams.  MCs : Because data had found that academies who have an HQ staffer MC their GOC perform better on PTR, we will be using HQ staff as MCs as much as possible.  Staffing: Because Term 3 will open with fewer classes and therefore fewer teachers, some previously used staff stations will need to be moved around.  Parent Survey: Have RAs survey parents on how they heard of Bridge and the GOC, plus what about GOC is making the biggest impact and what can be changed. GOALS FOR THE DAY AND THE IMPORTANCE OF THE EVENT  A Grand Opening Celebration officially introduces a new Bridge International Academy to a community.  The event gives everyone the chance to meet Bridge International Academy staff, explore the academy, watch classes in action, see our materials, and learn more about Bridge in general.  Grand Opening Celebrations are a key time to collect leads and enroll new pupils at Bridge – because they are attended by so  Attract awareness and excitement in the community about the arrival of Bridge International Academy  Answer questions from Parents or Friends of the academy  Provide information as to how to transfer and enroll children at the academy  Provide information on how payments are made
  • 3. iii  Provide information on why Bridge International is Unique in comparison to other schools  Quality of Education – Children’s performance improves in all areas, teacher computer in class, practical learning materials, and KCPE prep and Affordable to All  Convince parents to try out our Academy Launch Promotion  Give a pitch about bridge and our key selling point to many people from the community all at once! The Grand Opening Ceremony is the big event and one of your strongest marketing tools during the “Attract Phase” of our marketing cycle of success which comprises of 4 main stages: [AACC}  Attract – attracting qualified leads/parents  Admit – admitting pupils  Convert – converting admitted pupils to second month  Commit – obtaining committed parents who believe in our brand and are willing to spread the word (WOM) Word of Mouth In marketing – “First Impressions” are critical. The first impression our communities have of our academies is important in setting the expectations of the Bridge International Brand in the Community. WHAT TIME OF THE YEAR AND HOW THE DATE IS DETERMINED Most of this event happens on a weekend before a new term begins on Saturdays, and they are always scheduled to happen every term or every cohort with a target of academy every launch, the date is determined by the first day of class if the first day of class is 5 th Jan then the GOC date is on 3 rd Jan. THE AUDIENCE Grand Opening Celebrations are aimed at families with nursery and primary school aged children as well as chiefs, elders, and other community leaders.  In January and May, Grand Opening Celebrations target hosting 700 people each (450-500 children and 250-300 adults)!  In September (because academies open with less classes), Grand Opening Celebrations are smaller, but target 500 people each (300-350 children and 150-200 adults)!
  • 4. iv THE GOC DAY AND PREPARATIONS Summary activities at a grand opening celebration The day is centered around activities for parents and pupils to demonstrate the quality of our education. All Bridge International Academy staff at the Grand Opening Celebration should be aware of all of the activities that are happening and encourage guests to participate in all of them. Each staff member is tasked with hosting one of the activities. List of activities: Everyone Children Parents Greeting Face painting Bridge cinema Tour Academy facilities Art Gallery Classroom tour Speeches (including ribbon- cutting) Classroom activities (done according to class) Talk to Academy Manager and Teachers Raffle Talk to other parents and community leaders Children's performances (children perform, parents watch) Mandazi & juice Music  Activities for Everyone  Greeting: A Bridge staff member will greet all families arriving at the end. Get record of every one who attends. Children cannot be allowed without an adult guardian. o The Goal: by encouraging families to sign up at the gate with their full contact, the Academy is adding to their list of leads and hopefully getting more parents to enroll!  Academy facilities: Families will be able to explore Bridge International Academy. They will be able to walk around the plot, look inside classrooms, toilets, and the kitchen. It is VITAL that the entire academy looks smart as it is the first impression that families will remember. o The Goal: Show the parents the quality of our Academy infrastructure and how smart our Academy looks.  Speeches. Speeches will be made throughout the day informing families about what Bridge International Academy offers, as well as hosting a ribbon-cutting ceremony. o The Goal: Each speech is packed with information that highlights our key selling points and informs parents about the quality education their children will receive at Bridge.  Raffle. You will host a raffle where families can win classroom materials. Families can enter the raffle at the Greeter. The winners will be randomly picked by one of the community leaders at 3:30pm during the ribbon cutting ceremony and at 5:40pm. Parents with children in ECD- Primary level are eligible. o The Goal: The raffles are another way to collect leads, which will help you build your Academy and increase your PTR! Plus, the T-shirts won will be worn around the community, marketing Bridge for you!
  • 5. v  Children’s performances. Children will perform the songs, poems, or speeches they learn during their lesson to parents. The teacher running this activity will be responsible for assembling and presenting the children. Performances will be twice during the GOC, once after each class session. The first performance will occur at the same time as the ribbon cutting ceremony. The second performance will occur at the end of the event. o The Goal: The performances are the most important part of GOC for our parents!! This is our chance to prove to them how much their children will learn and convince them to enroll children in our Academy!  Music: Music should be played before GOC even begins and throughout the event. o The Goal: The music will draw attention to the event and encourage people from the community to come to the Academy. Play it anytime you do not have a performance or speech happening!  Mandazi and juice! Everyone will be welcome to enjoy mandazi and juice, free of charge. o The Goal: To keep our parents, children and important guests refreshed and enjoying the day!  Children’s Activities Face Painting! While we want to make sure that children see the fun education we can provide them in the Classroom Activities, we also want them to be able to just enjoy the day with a special activity— Face Painting. o The Goal: beyond being fun for the kids at the event, this is a GREAT way to market Bridge as they walk around the community after the event. With Bridge logos on their faces, the children will be walking billboards for your Academy!  Classroom activities. Fun learning activities will be available for children from Baby Class to Class 6. Lessons last one hour and are done in groups (see schedule and staff assignments for more information). o The Goal: This will show parents and pupils how well trained teachers are at Bridge International Academy, and how quickly Bridge pupils can learn! They will also give children a sense of what Bridge offers and how fun it is to learn at Bridge!  Art Gallery. Every child benefits from inspiration. Today we want to inspire children in our Art Gallery to draw something that makes them happy. These posters will then be hung up on the walls of each classroom. Every day the children can be reminded that “to be in class is to be in a happy place”. Art Gallery will be held after Children’s Activities and performances. o The Goal: Parents will be able to see their children as already part of Bridge and experience how Bridge is inspiring them.  Parent’s activities  Bridge Cinema. Watch videos about Bridge to learn more about what makes a Bridge International Academy education better. Parents can also ask the Bridge International Academy staff hosting the event questions about Bridge and the admissions process. There are different types of videos including but not limited to: Bridge Promotional Video, Media Footage, Music Festivals, Video Lessons and Fees Policy videos.
  • 6. vi o The Goal: This is a way for potential parents to experience Bridge through the eyes of existing parents and pupils, as well as educating them even more about Bridge.  Classroom tour. All of the materials used in each classroom are labeled with explanations of how and why those materials are used. o The Goal: Parents will be able to see our materials and get to experience them first-hand. The tour lets parents touch, read and experience our learning materials!  Talk to Academy Manager and Teachers Parents are able to learn more about Bridge International Academy from the Academy Manager and Teachers. o The Goal: This is an opportunity for parents to see first-hand how well trained all of our staff is, giving them the opportunity to talk one on one to the Teacher that will be educating their child! Creating that relationship early is crucial to getting them started at Bridge on the right foot. .  Talk with other parents and community leaders. Parents can meet others in their community who also value education. They will hear from respected guests about why admitting your child in early childhood development and primary education is important for his or her future success, and why having your child in class every day is critical to his or her ability to learn. Education is what builds a bridge to a brighter future for Kenya, and we at Bridge International Academy hope that you will allow us to be that bridge. o The Goal: This will be another opportunity for parents to hear from the respected community members who support Bridge. Remember – we know how important word of mouth is in our communities – parents hearing how great Bridge is from respected members of the community is a key part to convincing them to enroll their child! Staffing a Grand Opening Celebration Specific Roles have been developed for the Bridge International Academy staff so as to ensure that every activity has proper supervision and all guests at the event have a wonderful time.   • 7. vii 11 Bridge Cinema Class 5 Teacher 12 Face painting Steam B Teachers / Substitute Teachers 13 Additional help: push parents and pupils to activities Steam B Teachers / Substitute Teachers 14 Mandazi & Juice makers/servers Hired for the day STAFF ROLES, SCHEDULE AND ALLOCATION: This is done by the person managing the event at the HQ and should be done on time a put in the manual that goes to the academy For the event to be successful we must allocate roles to the staff and Create a check list for all this roles and put them in the manual that need to be sent to the AMs for example;  Bridge Introduction – to be said once at the beginning  Grand Opening Celebration schedule – to be said at the beginning, following the Bridge Introduction, and then repeated every 30 minutes along with Bridge pitch  Bridge Pitch – to be said every 30 minutes  Ribbon Cutting – to be said once, according to the schedule. Make sure no other activities are going on at this time.  Performances – to be spoken twice, during each performance session, according to the schedule. Make sure no other activities are going on at this time.  Raffle Picking and Winner Announcements – to be spoken twice, during each raffle picking session, according to schedule  Closing remarks

  • 9. 5 Sample; CHECKLIST ACADEMY MANAGER – CHECKLIST Academy Manager of the academy – host of the event, leader and public face of the academy always, but especially so at the Grand Opening Celebration! Job Overview  Market the launch of Bridge International Academy in your community, as well as the Grand Opening Celebration throughout your academy with the help of your teachers. You want to have 1,200 recorded leads by the time of the GOC, following your marketing calendar. You need 700 people (parents and children) to attend the GOC.  Make sure all important people in your community are aware of Bridge and the GOC and invited to the event (as Friends of the Academy)  Hire or borrow all necessary people (cook(s), caretaker, water vendor) and materials (chairs, PA system, TV, DVD/VCD player)  Purchase all necessary items (food stuffs).  Help plan, set-up, run, and break-down the event with help of Captain and other staff members.  Act as the MC making speeches throughout the event.  Talk to parents, pupils, and Friends of the Academy about how Bridge raises pupils’ performance and push them to try the varying Grand Opening Celebration activities.  Do NOT allow children without their parents/guardians; politely instruct them to go home and return with their parents/guardians. Materials job uses:  Checklist (this sheet)  Grand Opening Celebration Manual including set-up directions, schedule, speeches, roles, and checklists for all roles  Speeches prepared on Teacher Computer, and in manual for back-up  Gathering permits  Contact List of service providers (cook, water vendor)  Contact list of GOC staff and their specific roles  List of Community and Government Friends of the Academy + Guest speakers, plus their Friend of the Academy badges  GOC materials including materials for all GOC activities and scissors and ribbon (green and white) to be tied around AM office for Ribbon Cutting ceremony at 3:30PM  Academy materials including Kenyan flag (arrived kitted from HQ)  Public Address (PA) system (rented)  Television and VCD/DVD player (borrowed, preferably use your own)  1 branded exercise book and 3 branded pencils for raffle winners  100 plastic chairs (must be procured by AM)  Food items for cooking and eating (mandazi and juice for parents and children, Pilau for Friends of the Academy).  Cook will be provided with money to pay for firewood/charcoal (most appropriate) for mandazi cooking (not exceeding Sh400).  Academy Manager will be responsible for purchasing the following.   • 11. 7  Select up to 5 Friends of the Academy (FOA). These should be important people in your community. Explain to them about Bridge, the Grand Opening Celebration. Invite them to GOC and request that they speak at the event, and ask them that they help market the academy going forward. The names should be sent to HQ for review through Customer Care SMS Number: 0706101031.  Hire a water vendor if no piped water  Hire a caretaker (1 person). He/she will be responsible for making sure the academy grounds look smart, latrines are clean, and garbage is continuously collected, as well as helping with set-up and break-down. This a person who will be full time at the academy and paid by the academy ops.  Hire a cook (Academy Cook, plus can have one assistant). Ideally, this will be the same person as the Academy Cook, who will cook and sell lunch at the Academy once it opens. Make sure that this person is available to cook all day at the GOC. They will make mandazi to feed 500 people (1,400+ mandazi) and 1500+ servings of juice. Rate for the cooks is Sh800 for the 2 persons (Academy Cook + 1 assistant), that is Sh300 each.  Cook will be responsible for purchasing firewood/charcoal (most appropriate) for mandazi cooking and will be given appropriate funds for this purchase (not exceeding Sh400). HQ will provide some more of the additional materials. You will be required to purchase the rest the day before the event.  Look for MPESA and Equity agents who can come to the academy to talk to parents about payments, as parents will need to use these services to pay for academy fees. It would be great if these people could attend and speak at the GOC.  Record the information for a medical clinic and taxi service so that you are prepared in case there are any emergencies at the GOC.  Prepare materials  Hire a Public Address (PA) system, including electricity, or ask one of the FOA to help you procure one for use on the day of GOC. In case of hiring, negotiate best price. Bridge average price is Sh1,000, including cost of electricity for the entire day.  NOTE: You have to get the best price. NO Price should exceed Kshs. 1,200. Price should be under 1,000.  Borrow a TV and VCD/DVD player. Either use a personal one from your home or a friend’s home, or ask the FOA to help you with this for using to watch video at the day of GOC. In case no one can volunteer, find vendors and negotiate the best price. You cannot exceed 800 to hire. This includes the cost of electricity needed for the whole day.  Hire 100 plastic chairs for the event (cannot exceed Sh1,000) Day before event:  Meet with GOC Captain in person. They will be your best friend in helping make the GOC a success. He/she will manage the event, including it’s set-up and breakdown so that you can concentrate on making connections with the community. You will, of course, need to participate in the set-up and breakdown as well.  Debrief with all teachers and GOC Captain regarding the event and everyone’s roles and expectations.  Check-in with local police reminding them of the GOC (there should already be a Gathering Permit in place).  Re-confirm water supplier (ensure you have enough water, and that water has been treated).  Re-confirm Academy cook, and make sure they bring enough firewood/charcoal to cook mandazi they mandazi (fee to not exceed Sh400) as well as all other supplies needed (frying pans and spoons).  Re-confirm caretaker is ready and prepared for the GOC.  Purchase remaining supplies, namely food items for cooking and serving to guests.   • 12. 6  Remind everyone to wear their Bridge shirt to GOC Day of event:  7:00AM: Arrive at Academy for GOC Set Up  Bring the TV and DVD player for Bridge Cinema with you.  With Captain’s help, aid in setting up the GOC based on academy set-up directions in GOC Manual, using all decorations provided in GOC kits. Everything should be set up by 12:00 noon.  This includes the academy grounds – including where speeches will take place, where parents will sit, where FOA will sit, where face painting will be, and where the mandazi & juice station will be.  This also includes every classroom – including all of the Classroom Activity classrooms and Art Gallery, the two Classroom Tour classrooms, and Bridge Cinema.  Together with Captain, give teachers and other staff the pages of the GOC manual relevant to them. Teachers of the same activity will need to share (Classroom Activity and Classroom Tour). They only need to review the materials in the beginning so it is not imperative they have their own copy, only that they each review it. The Captain will have another manual, and there will be a third manual provided in the GOC kit.  Make sure PA system and TV and VCD/DVD player are functioning – and demonstrate to all staff how to use it.  Make sure chairs have arrived.  Do not allow people into the academy compound before 1:30pm  Raise academy’s Kenyan flag on flagpole (especially if flag ribbon was not provided in GOC kit)  Time-permitting, have ½ staff go marketing  10:00AM: Meet with the Cook to make sure all supplies are ready for mandazi and juice. Cook(s) should begin cooking by 10:30AM.  Brief the cook(s) again on what is expected of them. High quality is guaranteed through Teacher Computers, Practical Learning, and new homework and lessons every day.  Make plans for final set-up.  Allow staff to take lunch.  Do not allow people into the academy compound before 1:30PM  1:45PM Have music playing very loud so that people in the community know there is a party.  2:00PM Event starts – greet guests as they arrive.  Make first speech (following scripts provided in GOC Manual).   • 26. 20 d) Posters and Flyers designing Marketing is to do all this by coming up with the layout and the information to be put up on the posters. e) Merging, proofing and printing Get the information to put on the posters and flyers from the development team this are an excel sheet with ;Fee, academy and county, direction, CRE/IRE and phone number, we also check the language by county. Work with the production team for merging after sending the correct information to them, Once they finish merging they will send to you for proofing if all this is correct; Fee, academy and county, direction, CRE/IRE and phone number, if they are correct make a PRF request then get approval and give it to production for printing.   • 29. 23 Check with the warehouse team if they received all the materials that you had placed a purchase request for and they are of good quality, once you have made a kitting list send it to the warehouse team for kitting preparation make sure its send on time so as to have them plan on time when to do the kitting, remember to make a random kit check to make sure things have been done the right way. 6. GOC staffing Make a list of all new academy with their contact and direction share it with other department leaders that you will want them to give out a staff who can make to be a Captain in an event. GOC Captain training This is an event that take place every time we have a launch since there are always new people joining or there is new information to communicate to them, it happens a week before the launch, you must prepare a training deck that have every information on the event, the project owner must be there to make sure they all understand their role since the event success will depend on the captain coordination of the event since they are the managers of the event on that day. Make sure you have outlined all information well to make sure they know their role well as below.   • 31. 25  Coordinate and participate in setting up everything that is required based on academy set-up directions in GOC Manual, using all decorations provided in GOC kits. Everything should be set up by 12:00 noon.  This includes the academy grounds – including where speeches will take place, where parents will sit, where FOA will sit, where face painting will be, and where the mandazi & juice station will be.  This also includes every classroom – including all of the Classroom Activity classrooms and Art Gallery, the two Classroom Tour classrooms, and Bridge Cinema.  Make sure PA system and TV and VCD/DVD player are functioning  Make sure chairs have been delivered  Give teachers and other staff the pages of the GOC manual relevant to them. Teachers of the same activity will need to share (Classroom Activity and Classroom Tour). They only need to review the materials in the beginning so it is not imperative they have their own copy, only that they each review it. The AM will have another manual from Training, and there will be a third manual provided in the GOC kit.  Raise academy’s Kenyan flag on flagpole (especially if flag ribbon was not provided in GOC kit)  Time-permitting, have ½ staff go marketing  12:00PM: Hold brief meeting with everyone.  Give encouraging speech for the day.  Review pitch with teachers: Bridge will raise pupil’s performance.   • 33. 27 GOC academy purchases request Get an advance request form and fill it with the correct AM M-pesa numbers, plus what the AM is to purchase, then get approval from your supervisor and the finance team. Sample advance request form: Communication to captain An SMS is sent 3 days before the event to the captains reminding them to call their AMs to find out if all is ok at the academy and also find out if they have received all the materials they need. Make sure the captains have done their travel requisitions and they are traveling to the academy a day before the event; also, remind them to bring back the retrieval materials which are to be used at the next event. Communication to parents We always communication to the parents through an sms telling the date and time of event, this by drafting a 160 character SMS and send to the leads collect by AMs during their marketing days as per the calendar for the success of this AMs must always follow the calendar. Robocalls are also another method of communication where a recoded massage is sent to parents. Event follow-up and feedback The captain must always do a report after every event and put in their recommendation on what went ok and what to change to make sure the event is a success. Two days after you arrive at the academy: first go through the checklist so you know what you need to purchase then go around the community and get the cheapest price for each item. 2. Who should I send to? This should be sent through the Survey to Go on your smart phone. 3. Is this budget enough for the expect people? Yes it’s enough we always target 700 people for the event and we have done calculation accordingly to make sure it’s enough. 4. Why don’t we have tents in our budget? The budget we are provided with per academy is very limited and can’t cater for tents; we concentrate more on making sure the attendees have something to eat. 5. Can we change the type of food to cook from what is required? Not at this time The type of food offered has been tested and the result Show it works for all communities. 6. What is the dress code for the event? All staff should be in their Bridge branded shirts or T-shirts which makes it easy for parents to identify them. 7. What should be the sitting arrangement? You should consider following the example drawn on the manual which will guide you. 8. What are the tours and how do we arrange them? This is an activity where you take parents around in already arranged class room with learning materials; Follow the arrangement guide as shown on the teacher checklist provided in the manual sent from HQ. 9. What do I do if I don’t get the PA that cost what you have provided? The budget provided should be enough since you are required to hire a small pa with a small Sound that is not so loud since the purpose is for the attendees to get the speech. 10. Who are the friends of the academy? This are respected people in the community who have a say and can help bridge in time of need ,Examples are the chief, the village elders ,people from the government office, church elders and land owners. 11.
