Tonight we are specifically talking about your books but what are books? Books are a written record of every financial transaction your company hasWhy do we need them – to gat loans, tax returns, investors, sleep – the list goes on and on…How do we get them… in a perfect world every day we would dedicate a set amount of time to sit down and record every sale and expense you did that day What do we do if we don’t have time to do this we hire a bookkeeperBookkeepers save us time and we all know time is money…
some people may not need one yet….. But how do you know if you need a bookkeeper – The basic sign you need help is when you are spending more time on bookkeeping than you are on growing your businessAsk your self these questionsHow much is my time worthWhat could I be doing to grow my business instead of bookkeepingIf everyone were a bookkeeper I would be out of a jobYes bookkeeping is one of the most important task in your business but without customers or clients there is nothing to keep track of.
Lets first answer this basic question What is a bookkeeperA bookkeeper will help you maintain a set of books by verifying cash – that will be used to prepare tax returnsthey will do daily activities and monthly reconciliations saving you time and ………..You have all heard me say there are good and bad bookkeepers out there – We can help you ask the right questions if you are hiring in house
Here you see what a bookkeeper typically does vs. what your CPA will do.I like to say I do all the work and they take all the credit but we really do have different jobs. Bookkeeper first Then CPAKeep in mind Bookkeepers do not replace the need for CPA they simply get you ready for your CPAYour CPA will still need to provide your financial reports and prepare your federal taxes.
Bookkeepers are a link between you and your CPAImagine for a minute tax time and you handed your CPA a file with copies of the bank statements any payroll or sales tax forms filed and a computer disk with your QuickBooks company fileWould your CPA be happy?Would it save both time and moneyWould it be one less headache at year end?That is what your bookkeeper will do for you, and if your CPA has questions he or she calls the bookkeeper not you allowing you to focus on your business.
Most of us remember the paper ledgers for keeping our books. We had to write everything down and sometimes in more than one ledger For example if you had a meal with a client you had to record it in your check register and then in your expense register so you could keep running totals…And along came bill gatesComputers have become a vital part of most lives..They keep track of schedules, appointments, birthdays, allow us to be in constant communication around the world, and do our bookkeeping a lot quicker than we ever could with paper ledgers
There are several types of computer programs for bookkeepingPeachtreeMicrosoft MoneyQuickenSageBut ABIP prefers to use QuickBooks Once set up, its very user friendly and meets most peoples needs.
people use computers for there accuracy Computer bookkeeping is also accurate the computer will always come up with 4 as the answer to what is 2+2How much time does it take you to write out checks – same info every time QuickBooks remembers your payees and fills in the information for you, it will also remember where you last expensed the item - when you typed in R E L QBs would remember the check you wrote and fill in all of Reliant information QB will automatically assign the expense to the account And now you can print the check right from your desk top saving time and time is …………..We can also get with little effort the reports we need to manage our business we will touch on these reports a little later. COA = chart of accounts these are accounts used in QB to keep track of income and expenses they will also keep track of loans and equity your bookkeeper or CPA typically will set these up for you based on your company’s particular needs
OK SO HERE WE GO…What is a P&L? The P is for Profit and comes from what you are selling or in our case rents and other related charges I think we can all guess what the L is… but we can say most of your expenses make up this side of thingsBy running this report monthly we can compare where we were and use it to grow bigger and better. All the entries we record will either hit you P&L or your Balance Sheet – tonight I have a sample of good and bad of both reports.
In this example here is what I would fixYour main income category is not highlighted – you want RENTS separated outYou want your other income as a separate total You should also have all your accounts numbered. Numbers make coding easier and you are less likely to make a mistake also If you want to run comparisons in Excel for example it is easier to line up the numbered categories.
And here they are fixed and coded with numbers 1 – the rental income is separate2 – other income is broken out 3 – notice they all have been assigned numbers I am not magical and cant make you more money but the layout is easier to follow
In this example here is what I would fix4) Cost of goods sold – what are you selling – this is typically used for someone who buys something to resell it to a client – putting parts together for a whole5) Computer Expenses is not your management software – this is really for computers and depending on cost might be a balance sheet item6) Insurance should be coded with taxes and separated out from repairs and maintenance7) Although I don’t disagree with tracking leasing expense – this can be expanded upon and large swings is usually a sign something is coded wrong
And here they are fixed4) Cost of goods sold – we removed this and re-classed expenses into main categories 6000, 7000, 80005) DYI now has its own line so it can be easily tracked6) Insurance has been moved and you will see it in a later example 7) Upon review July was paid twice and the 79.02 in Aug actually belonged in HAA dues
In this example here is what I would fix8) Remember consistency in numbers – I would question why electricity dropped by 1500.00 in hotter months?9) Wages – There is a lot cleaner ways to represent Salaries – And you should NEVER have anything that says other – QB drops an “other” category if you don’t select a main category -
And here they are fixed and coded with numbers 8) - Notice we moved telephone from communications to utilities (the high number is from a overpayment – again too many hands in the stew…)9) - Here we decided we wanted to know the cost of each employee including taxes – we also included our contract labor and any hiring cost such as drug testing – because we all do that right?
In this example here is what I would fix10) – This again goes back to organizing your chart of accounts properly and I would have put all of these expenses into different categories – Example Advertising goes under 6000 – marketing and bank charges go under office administration or 7000Also notice there are no accounting fees in Aug.
LOOK AT YOU NOI – With things being classed correctly the NOI jumped from 1868.00 in June to 11244.87 – from 8748.00 to 14837.92 in July and from 16381.84 to 22105.00 in AugustThat is a total NOI jump of almost 22,000.00 - AMAZINGWe also separated out the mortgage payment, and we added a ask Lisa or ask my accountant tab – this is used when either the bookkeeper or the client is unsure where to put something – then we can ask…
What is a Balance Sheet and what does it tell usIt basically states what I have, what I owe and who owes meWhat do I owe the bank, how much did I spend on the rehab? What do I owe in security deposits and do I have it? Your Assets and liabilities should always BALANCE – hence the name balance sheet…
Ok number 1The red is the bad example – here 500.00 was put to organizational cost – that’s all really? I'm not sure I want anyone setting up my formation documents for 500.00 Should we just expense it? The green is after things were fixed we found another 903.00 that belonged here – The CPA might still write off but after we reclassed it that is their call
In this slide we are talking about other assets – Originally the other bookkeeper uses AR or accounts receivable to account for the water company depositActually security deposits held on our behalf would be an other current assets and in the green box you can see we called the deposit by name for clarity
Ok so again this is more about presentation and NEVER having an OTHER categoryThere were minor changes to the numbers during cleanup but the purchase price is still 1.7
Credit Cards – Can anyone tell me what a negative liability is? Correct an asset – This resulted in too many hands in the stew – one partner thought she was in charge of paying the credit cards and the other one did it as wellThe bottom shows a cleaner – easier to read - way of presenting the same information
In this apartment deal there are 2 partners – normally you would have contributions and draws for both – Here only one partner put in money but lets look at Withdrawals – The old bookkeeper wasn’t consistent – sometimes she would put it to a partner some times she would put it in this “bucket”Look at net equity at 61 thousand and lets look at what it looks like fixed
You can see from the corrected version partner 2 actually contributed 33K at close that was recorded incorrectlyNow look at net equity – it doesn’t look nearly as bad…
# 10 - EXCEL IS NOT AN ACCOUNTING PROGRAM!I prefer to use QuickBooks – It is what I am an expert in Computer programs offer many reports to see where you are and where you need to beQuickBooks does the math for you - no guessing or mistakesQuickBooks is forgiving – I always say don’t delete anything and it can be fixed…
# 9 ORGANIZATIONKeeping your records together – even in a basket for me… as long as it is all togetherW-9’s – I cant tell you how many times at 12/31 someone says can you do the 1099’s or and I don’t have any W-9”s – people move, change their number – do not waitOffsite storage – carbonite

I'll think about that tomorrowUnfortunately that doesn’t work in bookkeeping It will cost you more to wait either in your time, my fees or you CPA having to file extensions
# 7 CHART OF ACCOUNTSHaving the wrong layout makes your books confusing and messy – as we saw tonight putting things in a logical clean order will improve your reportsA good COA can keep your repairs separate from your turn costA good COA can track you different revenue sources like forfeits and late feesA good COA can track your employees by department
