1. AMCAS IT Project Workflow Procedure
Project Workflow Proposal for Network Implementation
This document will describe a potential process for implementing IT Network / Services projects
within Danisco. This process is designed for ongoing content creation projects, including tools,
articles, channels, and other standard types of Web content. The process should be flexible
enough, especially the actual development process, to accommodate special development
projects, for example marketing initiatives, co-brand deals, bridge sites, and other projects that
require development but fall outside the regular content creation definition.
Some of the goals of instituting a repeatable development process are
• Keep the focus of any project consumer-centric and concentrate on providing the best
possible experience for the end user.
• Ensure consistent quality for the end-user.
• Provide project sponsors and project team members with a consistent process to follow
with known, documented milestones and checkpoints to ensure project success.
Pre-Planning Discussions
An initial planning meeting should be held to discuss and determine the requirements for the
network as they relate to the needs of the business in relation the Danisco IT strategic roadmap.
The onsite administrator will determine what these requirements are prior to the meeting and will
present business needs during the meeting. Actions items from meeting would be used to design
and develop an infrastructure that compliments both the business community needs and the
Danisco infrastructure standards for local area network communications.
Network / Services Design
The Infrastructure Team member will gather current LAN information, port counts, services
requests, and other information to assist in facilitating a network design that compliments both the
business community requirements and the published corporate standards. An equipment list will
be drafted from the design to get a quote form the local VAR within the region or country where
the infrastructure project will be implemented.
Equipment Quote Collection
When a design has been completed with an equipment list attached, the Infrastructure Team
member will work to obtain a quote that incorporates the requested LAN gear at a discounted rate
that meets or exceeds the Cisco agreed discounts for equipment purchase.
Post Design Discussions
During the post design discussions, the network design and obtained quotes will be reviewed for
accuracy and validation in accordance with what was agreed upon in previous meetings. During
these discussions, if there are any changes required, the design will be edited to reflect the
changes and then reviewed again. If equipment needs to be removed and replaced with another
technology, new quotes will then need to be re-obtained through the VAR.
2. Budget Approval / Purchasing
The budget approval process will be coordinated through the Regional IT Manager to ensure that
the budget process meets the requirements that have been set forth by the division or region the
site resides in. Once the Capital expense has been created and ready for use, a purchase order
will be created and submitted to the VAR for purchase.
Network / Services Implementation
During this phase of the project, dates will be secured for implementation of the network or
services. All phases within implementation will be coordinated through the onsite administrator to
make certain that there is little interruption to data and voice communication for the site. The
equipment will be staged (burned-in) to verify there are no DOAs within the order. The
implementation phase will be in accordance with the published standards set froth through the
Corporate Infrastructure Group.
Post Implementation Support
The Post Implementation Support will depend on the type of network / services that have been
installed for the site. The table below lists the service with the type of support expected to be
supplied for the site when a project has been completed:

Support for these services will be determined during the pre-planning discussions. The support
process or procedure will / can be re-aligned to meet the requirements of the business community
and the complexity of the implementation.
Document Collection
Document Collection is final phase of the project when the network / services have been
implemented completed and meets the business satisfaction. Documentation will be finalized for
review and submission to the Infrastructure Group for addition into the monitoring and inventory
control systems. The onsite administrator and Regional IT Manager will also be given complete
documentation of the services completed for their records. This is in accordance with IT Audits
requirements.
3. Workflow
The following illustration outlines the IT project workflow process from planning to post
implementation support. The workflow process outlined in this illustration is for standard network /
services projects; however this process would work for other types of IT projects as well.
