Responsibilities:
 Check in with respective Regional Managers' (RM) on a daily basis to establish their
schedule and provide updates regarding actions to be addressed by them.
 Screening of telephone calls to ensure that calls are dealt with speedily and effectively.
 Arrange functions / training sessions (including venue, catering, guests etc.) as and when
required.
 Effective diary management in receiving of meeting requests and scheduling of meeting’s.
 Liaise with Advisers / Planners on availability for one-on-one sessions, Performance
Development (PD) discussions and any other ad-hoc requests. Schedule sessions
accordingly.
 Liaison with product providers, Bank stakeholders to meet with and / or attend regional
sales meetings.
 Diarise regional meetings and arrange venue, catering, travel arrangements (where
necessary), and prepare meeting packs for distribution to participants.
 Preparation of presentation slides (approved Group layout, grammar, font etc.)
 Coordinate and setup interviews when vacancies for Advisers / Planners are being filled i.e
liaise with interview panel members and HR to schedule interview sessions, request and
distribute interview packs prepared by the HR Officer.
 Value-added co-ordination of all communications within the area.
 Monitor the RM's email inbox for urgent communications / e-mail notifications and in
liaison with respective RM distribute as instructed.
 Order, receive and distribute business cards to RM’s / Advisers / Planners.
 Act as the point of contact for the provincial team when queries are made, escalate same to
relevant departments for the appropriate actions to be taken. Ownership and full
responsibility for queries until resolution is provided.
 Attend weekly telecom’s (or, as required) with relevant stakeholders to ensure that
constant updating and information sharing on any initiatives.
 Compilation and preparation of weekly / monthly production / leads activity stats.
 Collation and submission of all claims relating to, travel, cell phone & entertainment for
RM’s.
 Minute taking at sales meetings (or any other meetings scheduled by the RM) and typing
of minutes for distribution.
