Application Process:
Instructions for Faculty
Rational for Sabbatical Leave:
“Sabbatical leaves may be granted for the primary purpose of enhancing the value of the
recipient’s further service to the University and his/her profession through study, research
or publication undertaken to improve pedagogical techniques, solve administrative
problems, or broaden the scope of the knowledge in the faculty member’s discipline.
Sabbatical leaves are a privilege, not a right, and are granted only if the Provost/VPAA
determines that funding is available.” Faculty Handbook, Page 56
Eligibility:
“Faculty members at the rank of assistant professor and above who have completed a
minimum of six years of full-time service are eligible to apply for a sabbatical leave.”

“Sabbatical leaves are a privilege, not a right, and are granted only if the Provost/VPAA
determines that funding is available. Where a sabbatical leave is granted for tenured
faculty members, the sabbatical leave be with full pay for 1 semester of leave or half pay
for a year long project. All sabbaticals for non-tenured faculty members will be without

Application Procedure:
Obtain the application from the Office of Academic Affairs or DUCTLAT Blog at http://
ductlat.blogspot.com and inform the department chair that you intend to apply for a
sabbatical leave by a year prior to initiating an application, and no later than
September 3rd. Faculty applying for a sabbatical leave shall submit the Dillard
University Sabbatical Leave Application Form and documentations listed below for the
period requested a year prior to the proposed leave time-period to his or her academic
dean. Contingent upon available funds, the Provost will annually review applications for
sabbatical leaves to be taken in the following year.

2. A detailed Sabbatical Leave Work Plan should include documentation such as:
1. Purpose and objectives of sabbatical leave. Applicant must provide detailed
work he or she will accomplish during the sabbatical leave period
2. Specific activities applicant will complete during her/his sabbatical leave
3. Plan and description of action applicant will take to execute sabbatical leave
project. Rationale for the sabbatical leave project
4. Specific skills applicant will acquire or improve. Scholarly, professional, and
pedagogical outcomes expected from the sabbatical leave
5. Professional development and scholarly outcomes expected from the sabbatical.
Contributions to applicants’ professional development, department, division, and
Dillard. Discuss contributions to scholarship, University’s strategic goals, or
community resulting from leave.
6. Activities required to achieve the objectives such as completing a manuscript,
developing new courses, improving learning strategies, or travel
7. Time-line to fulfill objectives during the sabbatical leave period
8. Copy of application(s) for external funding, if appropriate. Detail report of
external funding, including equipment, office space, and travel funds
9. Copy of invitation(s) to applicant to conduct research, participate in collaborative
activities, and to acquire new research and pedagogical skills at another
institution, if appropriate.

Sabbatical Project Proposals
Requests for Sabbatical Leave could include, but are not limited to the following types of
proposals in priority order:
1. Work on peer reviewed research projects, books, articles, papers, manuscripts,
artistic and creative projects
2. Participation in or creation of a peer review artistic activity for development of
product
3. Preparation and submission of a detailed and significant grant proposal
4. Curriculum design of new courses to increase significantly increase critical
thinking and student engagement with expected learning outcomes
5. Development of a curricular learning communities with integrative learning
strategies and assessment techniques
6. Participate in an exchange, Fulbright or other types of extended professional
development work

The department chair will make a recommendation of endorsement or non-endorsement
to the dean. The dean will review application and submit report, which will include a
recommendation for approval or disapproval, to the Provost and Senior Vice President
for Academic Affairs by October 2nd.
The Provost and Senior Vice President for Academic Affairs and/or designee will review
sabbatical leave proposals and recommendations. The Provost SVPAA will respond to
each applicant by October 15th.

5. Instructions to Department Chairs and Deans
Department Chairs
Faculty Handbook governs Sabbatical Leaves. The Provost, contingent upon the
availability of funds, will annually review applications for Sabbatical Leaves.

Eligibility

Applicants will submit applications for Sabbatical Leaves to the department chair, who
will confirm eligibility, evidence of scholarship, teaching evaluations, and service. The
department chairs will review and rate applications based on their value to the
professional development of the applicants, disciplinary field, and the probability that the
applicant will achieve the stated goals.
The chair will send an accept or deny recommendation to the dean before March 26th.
Deans
The dean evaluates and rates applications and recommendations from department chairs.
He or she submits recommendations to approve or disapprove sabbatical leave
applications to the Provost no later than April 2nd. The dean must describe “…how
teaching duties are to be covered during the sabbatical leave for approved leaves.
The dean must state why he or she disapproved an application for a sabbatical leave.
Reasons for Denial
Funds to cover cost of sabbatical leaves
The applicant demonstrated unsatisfactory scholarship, teaching or service as
determined by the department chair and dean
Sabbatical leave proposal is not clear or poorly conceived
The applicant goals are not related to his or her professional development

6. Applicant’s paid activities such as consultancy or part-time teaching at other
institutions will unduly interfere with the implementation and achievement of
sabbatical objectives.
Responsibility of Faculty Member on Sabbatical Leave
Sabbatical Report: Faculty who receive a sabbatical leave shall submit a Sabbatical
Report to the divisional dean by the second semester following the sabbatical. The
reports should provide the objectives and outcomes of the sabbatical project, activities
accomplished, documentary evidence of scholarly, creative, and professional
development. Faculty should report and explain changes in the original sabbatical
proposal. The faculty will give a talk or make a presentation about the results of the
sabbatical project.
Changes in Project: If, due to extenuating circumstances or conditions beyond a faculty
member’s control, he or she is unable to implement or complete the approved sabbatical
project, the faculty member must obtain written approval of the departmental chair and
divisional dean before beginning an alternate project.
Change in Time Period: If, because of conditions and circumstances beyond her or his
control, a faculty may request to substitute the approved time period for another. The
faculty member must secure the written approval of the departmental chair and the
divisional dean.
Outside Compensation: During the sabbatical leave period, a faculty member may only
accept grants and funding from sources relevant to the proposal and if the total
compensation from Dillard and the other externally funded sources do not add up to more
than one hundred per cent (100%) of the faculty member’s regular base pay. A faculty
member on sabbatical leave from Dillard may not, under no circumstance or condition,
accept a full-time compensated employment at another institution, research organization,
state, local, or federal government, or any where.
Resumption of Duties: “Sabbatical leaves are granted only if the faculty member
guarantees one full academic year of University service immediately following the leave. If a
faculty member does not complete a full year of service at the University following a
sabbatical leave, the faculty member shall immediately reimburse the University for salary
and any other amounts paid to the faculty member while on sabbatical. Sabbatical leave does
not constitute a break in years of service.” Faculty Handbook, P56
Sabbatical Arrangements: Sabbatical leave participants will receive one hundred per
cent (100) of their base salary based on eligibility requirement. “Fringe benefits will be
continued during the sabbatical leave for all faculty members. All sabbaticals for non-tenured
faculty members will be without salary. Where a sabbatical leave is granted for tenured
faculty members, the sabbatical will be with full pay for the first sabbatical leave. If a tenured
faculty member applies for and is granted a second sabbatical leave after a least six years of
active service following the end of the first sabbatical leave, the sabbatical will be without
pay. If a tenured faculty member applies for and is granted a third sabbatical leave after at

7. least six years of active service following the end of the first sabbatical leave, the sabbatical

The compensation for faculty on sabbatical leave from external funding sources may not
exceed more than one hundred percent (100%) of their total salary. The University will
reduce a faculty member’s salary by the proportion that exceeds one hundred percent
(100%) of salary.
*Please note that sabbatical arrangements (HAVE TO BE VETTED WITH
BUSINESS AND FINANCE)
Expenses: If funds are available, the University will reimburse faculty for some of the
expenses incurred during their sabbatical leave. Faculty members should consult with
department chair and deans to whether funds are available for business expenses before
they are incurred.

Agreement Between Applicant and Dillard University
As a recipient of a sabbatical leave, I agree to the terms and conditions established by
Dillard University:
1. To not accept salary or other forms of payment from other employment,
fellowships or grants in lieu or salary that would bring my total
compensation above one hundred (100%) of my Dillard
salary. Salary is not the same as funded business expenses such as
travel and equipment.
2. To return to Dillard based on the policy in the Faculty Handbook
3. To submit a written report of the outcomes, activities, and accomplishments
during the sabbatical period.
4. If I fail to complete a full year of service at the University
following a sabbatical leave, I shall immediately reimburse the
University for salary and any other amounts paid to me while
on sabbatical.

11. Criteria for Sabbatical Leave Awards
Endorsements for sabbatical leave projects will be made on the following criteria:
Clearly articulated proposal that includes developed plan to implement and
achieve goals
Reasonable time-line to achieve goals and complete project
Progress made to date on goals and outcomes
Endorsement of department chair, division dean, external experts, consultants,
and research and artistic collaborators
Significant contributions to professional development
Contributions to improving and strengthening teaching and learning
Plan for reporting and presenting the outcomes of the sabbatical leave project
