February 2012 DPI selects random sample from LEA October 1 Child Count Roster. DPI emails LEA notice that student file is located in SPED Web Portal. DPI emails link to support materials located on a protected website. LEA accesses student file in SPED Web Portal. LEA enters student addresses on data source for mail merge letter and customizes electronic form letter with LEA name, number, phone numbers, and signature block and sends letters to parents of each student. April –June 2012 DPI sends LEA updates on response rate percentage. LEA is responsible for follow up activities with parents to ensure adequate response rate. May-June 2012 DPI contacts LEA monthly regarding response rates (until district meets minimum response rate of 20% or 6 respondents) Middle of June: Survey window closes. February 2013 State results are reported to OSEP in February for the previous year’s survey results. An agenda for the IEP team meeting, provided to all participants including parents, has been shown to significantly decrease misunderstanding, improve communication and reduce the potential for conflict.
Giving the parent a one-page format to prepare information for sharing at the IEP team meeting invites participation and clarifies expectations.
Having a second one-page format for parents to use for taking notes at IEP team meetings helps the parent focus on important areas of the IEP that the team will discuss.
Put it all into a Parent Record File to show parents that you want to help them be equal team members.
