Digital Collection Development Presentation #2

Notas del editor

  1. Digital Collection Development Workshop August 15, 2011
  2. We are hoping that if this project is successful and Commonwealth Libraries continues to receive LSTA funding, that the state will extend the license to LibGuides. For this reason and others, it is important to ask federal legislators to continue to support the Institute for Museum and Library Services (IMLS) and the availability of LSTA funds to states. Digital Collection Development Workshop August 15, 2011
  3. Note to Trainers: Beginning with this slide, you may wish to tell participants to watch the PowerPt slides first, then following the slide instructions. Each series of slides begins with the directions, then shows slides of the screen shots in LibGuides to the final screen shot when the step is completed. Everyone is assigned “admin” status who is trained. When trainers replicate this workshop, they will need to add each participant and assign the password “palibraries” prior to the workshop so that participants can log in. If this is not done prior to the workshop or there is a “walk-in,” trainers can add them before starting or during a break. If librarians want students or patrons to help create content on a guide, they should first go into the LibGuide they want to give access to, click on “Guide Setting” from the command bar and choose “Co-Owners, Editors, and Collaborators.” Most likely you will assign them “collaborator” access which allows them to add/edit anything on a guide but they cannot publish. Remind everyone that a “digital presence” is important so that students, teachers, administrators, and the community recognize your expertise and begin to understand what a librarian does in the 21 st century. And, a picture of your dog is not really helpful! http://help.springshare.com/content.php?pid=110398&sid=832224 to learn the differences in account types and editor types Digital Collection Development Workshop August 15, 2011
  4. When trainers hold a regional workshop, they will go to this area and click on “Manage Other Accounts” to create ADMIN accounts for the librarians attending the workshop. Everyone is given the password “palibraries” then prompted to change it during the workshop. Digital Collection Development Workshop August 15, 2011
  5. Profile Box Titles can be whatever you want, i.e., Librarian, LibGuide Author, etc. Digital Collection Development Workshop August 15, 2011
  6. When you first create a guide, its status is “unpublished” until you “publish” it or make it “private” to just those who have the URL. Although we are not demonstrating it today, you can create a Libguide and give password access to a group of selected students or teachers who are working on a project to create a LibGuide. The guide is “private” until you “publish” it. COLUMNS: The default format for a LibGuides page consists of a narrow column on the left, a wide column in the center, and a narrow column with the librarian's profile box on the right. The format can be changed to eliminate the left column. (The center column will then be extended all the way to the left.) To make this change: Click on Add/Edit Pages on the yellow command bar. Select Adjust Columns on This Page Change the column widths at the bottom from Left - 230; Center - 520; Right - 209 (the default) to Left - 0; Center - 758; Right - 209. Click on Adjust Widths Commonwealth Libraries has negotiated a standard LibGuides license. You can use the LibGuides FAQ site at http://guidefaq.com/ for more help. 7. Log into LibGuides if you are not already in and create a new guide. Create a title and short description for your page. Please do not use the System Settings as those changes will impact all the libraries and librarians in the PaLibraries project this year. Digital Collection Development Workshop August 15, 2011
  8. Each page consists of various types of boxes which allow you to insert different types of content. Digital Collection Development Workshop August 15, 2011
  9. Very user friendly! Digital Collection Development Workshop August 15, 2011
  10. We are now going to begin creating various types of boxes. In this PowerPoint, there will be a slide of directions, followed by a screen shot of the LibGuides dialog box that you will need to fill out. Where possible, slides will include a link to either the Springshare LibGuides Basics Step-by-Step Guide (22 pages which you may have printed) or to the online LibGuides Documentation & Help Guide. Digital Collection Development Workshop August 15, 2011
  11. Rich Text boxes are the most versatile. It allows you to add text, web links, images, and tables. Our example in this PowerPoint will be a LibGuide created by Deb Kachel called “School Library Advocacy.” Your LibGuide can be on any topic that you might use in your library with students, teachers, parents or others. Digital Collection Development Workshop August 15, 2011
  12. Click on any of the “Add New Box” phrases in your newly created LibGuides. There will be one for each of the three default columns. TITLES ADVICE: The title bar at the top of a box will not expand, so it is important not to make your box titles too long.  This is rarely a problem in the wider center column, but must be watched for in the narrower left or right-hand columns. If it looks like your title is not fitting, click on the Preview link at the top right of the page.  Sometimes, the pencil icon in edit mode keeps the title from fitting, but it may be okay when actually published.  The preview will show you how it will ultimately appear.  (Of course if it still doesn't fit, you'll need to shorten it.) 14. A Links and Lists box presents URLs with brief descriptions below them. If you only want a list of links (no descriptions showing on the page) use Simple Web Links. With both types of links boxes, you can track statistics for outgoing links. There is also a “Line Checker” in “My Admin” which will check for broken links every 2 weeks. The tools icon allows you to edit or delete the link. The bar chart shows you usage statistics. Digital Collection Development Workshop August 15, 2011
  15. Digital Collection Development Workshop August 15, 2011
  16. “ Simple Web Links” is a listing of titles that are hyperlinked to a website, but no descriptions appear in the box. If you add the optional description, that is shown when you mouse-over the title of the URL. Both “Simple Web Links” and “Links & Lists” boxes allow you to track the usage statistics of URLs. The tools icon allows you to edit to delete the link. The bar chart shows you usage statistics. LibGuides also can check for dead links under My Admin-Link Checker. Digital Collection Development Workshop August 15, 2011
  17. Library users will not see these icons, as well as Add New Link, Edit Text, etc. These only show in ADMIN mode. Click on PREVIEW if you want to see what the library user will see. Digital Collection Development Workshop August 15, 2011
  18. Statistics are also available for these links. More details on p. 10 of the LibGuides Basics Step-by-Step on adding a CD or DVD from your collection. Digital Collection Development Workshop August 15, 2011
  19. Or, as in this completed example, you can select a title from ACCESS PA. Digital Collection Development Workshop August 15, 2011
  20. A widgit is a small application that can be installed and executed within a web page by an end user. Widgets are typically created in DHTML , JavaScript , or Adobe Flash . Widgets often take the form of on-screen tools, such as clocks, event countdowns, daily weather, or, in the case of libraries, customized search boxes associated with specific databases or catalogs. Digital Collection Development Workshop August 15, 2011
  21. You can also do the same with video clips from sources like NPR. NOTE: Not all video and audio sources that you may find on the Internet will allow sharing. You must be able to find the html code to embed or it cannot be added to LibGuides. Digital Collection Development Workshop August 15, 2011
  22. For sites that do not share the html code, you can always create a link to the website for a video or audio posting using either a Rich Text box or a Links & Lists box. However, this way the actual video and/or audio can be seen and heard directly for the LibGuide. Digital Collection Development Workshop August 15, 2011
  23. To Adjust Column Widths ( ADD/EDIT PAGES – RESIZE COLUMNS) : For a 3 column layout, the sum of all 3 widths has to equal 959 pixels. Recommended values are 230, 520, 209. For a 2 column layout, enter 0 for the left or the right column. The sum of widths for the center and the other non-zero column has to be 967. Recommended values are 0, 758, 209 (for hiding the left column), or 209, 758, 0 (for hiding the right column). For a 1 column layout, please enter 0 for the left column and the right column and 975 for the center column. This will make the center column the only visible column, 975 pixels wide. Digital Collection Development Workshop August 15, 2011
  24. RSS (really simple synchronization) is a standard for receiving syndicated articles on the Internet. It is a tool to keep someone up-to-date on the latest info. A site that is syndicated, like the New York Times , will usually advertise its RSS feed using the orange icon pictured on this slide. Examples of good RSS feeds -newspapers, newsletters, news headlines, blogs (like the ones listed at School Library Journal or AASL Blog), etc. Some sites like Yahoo, Google or Netvibes, are RSS feed aggregators and allow you to set up a customized search news articles on a specific topic. For more info on how to set these up, go to “ How to Use Google News to Build Custom RSS feeds” [http://webtrends.about.com/od/webfeedsyndicationrss/ss/use-google-news.htm ] . While you can use other RSS feed aggregators other than Google, LibGuides is completely friendly with Google tools and therefore is recommended. To create a Google custom RSS feed, you create an advanced search on a topic of interest—you can even limit it to videos. After creating your search, right click on the orange RSS feed to copy and paste the html code into LibGuides. Digital Collection Development Workshop August 15, 2011
  25. You can use an existing blog or news feed or create your own custom news search like this one. In Google News, using the Advanced News Search feature, we set up a custom search for news articles from Pennsylvania sources only that include the search terms “school libraries” and one of the following words “cuts,” “elimination,” or “eliminated.” We also want the results sorted with the newest first. Digital Collection Development Workshop August 15, 2011
  26. This code allows you to put the graphic of the search box used by your online catalog system directly in the LibGuide so that your library users recognize it. (Look at slide 36 to view the Destiny search box graphic.) Code is available for the following systems: Innovative ’s Millenium, Follett/Destiny, POLARIS, SIRSI, Dynix, DRA, TLC-LS2 PAC, ExLibris-WebVoyager and Aleph. Springshare, the owners of LibGuides, will work with any vendor willing to give them access to their code to develop a custom search box for any catalog system. You can contact LibGuides for help at anytime by emailing [email_address] . If you are using an catalog system for which there is no html code provided by LibGuides, you can always use a simple URL link to your catalog without the nice graphic search box. 28. NOTE: You must refresh the page for changes to show. If you deleted a slash or any character, it won ’t work so check your code carefully. Digital Collection Development Workshop August 15, 2011
  29. You can include direct links to POWER Library databases but they will only work if coming from an IP authenticated library.  At this time, there isn't a way to do remote access without going through a public library and using a barcode. Since everyone has different databases, we will not set up one of these as a group, but you can do so during the “play and create” time. 32. An example of a “Library Staffing Poll” has been created in the sample LibGuide “School Library Advocacy” at http://palibraries.libguides.com/schlibadvocacy. Created as an “Interactive Poll,” one has to go into ADMIN and click on “view results” to see responses. Digital Collection Development Workshop 08/15/11
  33. About Tabs & Pages: A LibGuide can consist of a single page with content boxes or multiple pages of content boxes. Think of these as “sub pages” or sub topics of your main subject/LibGuide. Pages of a guide are accessed via the tab bar which appears on every page. Digital Collection Development LibGuide http://palibraries.libguides.com/aecontent.php?pid=229714 Digital Collection Development Workshop August 15, 2011
  34. These are the screen shots showing how to add a new page to your LibGuide. It will appear as another tab at the top of your LibGuide. Remember to keep the page titles relatively short. Notice the final option under “ADD/EDIT PAGES” is to delete a page. Digital Collection Development Workshop 08/15/11
  35. This is almost the same as creating a new page except you select a page to “Add Under.” Digital Collection Development Workshop August 15, 2011
  36. To quickly find the pages you have created, you can create “tags” or words that can be searched. For example, “williamsporths” added as a tag to all the pages created for the Williamsport High School, will allow you to easily search just those pages. (Remember this is a statewide project so it is likely that hundreds of pages will be created in the PaLibraries project. Tagging your guide with a few keywords will help users find it in the system. Type your tags separating each with a comma, or click any existing tag to assign it to this guide. NOTE: “Subjects” can only be assigned by the workshop authors in order to ensure authority control. Therefore, searching “tags” is the preferred method. Digital Collection Development Workshop August 15, 2011

  38. Searching tags. Click on the “breadcrumb” of “LibGuides” to get to the home and this screen. Digital Collection Development Workshop 08/15/11
  39. A nice feature of LibGuides is the collaborative, sharing feature. When you create a LibGuide you can choose to share it with others in your “community.” Whatever is included in the “Best of LibGuides” section already grants permission for reuse. For all other Libguides, you need to request permission first. You can practice this during the “play and create” time. NOTE: You can also copy something you have created on a LibGuide, such as a custom search box, and paste it into another LibGuide page you are creating. Digital Collection Development Workshop August 15, 2011
  40. When you create a LibGuide, it is in “unpublished” status. Follow these steps to publish it or you can make it “private” so that only those who have the URL can see it. Digital Collection Development Workshop August 15, 2011
  41. The URL is not case sensitive when searched. However, LibGuides recommends using lower-case letters. Do not leave spaces between words. You can use a dash or an underscore, but not a slash. Digital Collection Development Workshop August 15, 2011

  43. Aviary and Embedit.in are two very useful tools when creating LbGuides. Digital Collection Development Workshop 08/15/11
  44. Aviary (http://www.aviary.com/) offers a free suite of web tools. Highly recommended is the screen capture product called “Talon” which you can conveniently place on your Tool Bar.
  45. Embedit.in (http://embedit.in) allows you to easily create embed code for video, websites, slideshows, documents, etc. You can customize the code, annotate, highlight, and easily embed in a LibGuide box without the need for a third-party site like SlideShare or YouTube.

  47. Sqworl (http://sqworl.com/) is a free web application that provides a clean and simple way to visually bookmark multiple URLs, displaying thumbnails and annotations. Great for beginners.
  48. Only2Clicks (http://only2clicks.com) allows you to easily create thumbnails pathfinders or web tours with annotations. You can gather together a number of pathfinders in categories under a system of tabs. Great for beginners.
  49. LiveBinders (http://livebinders.com/) is an alternative to LibGuides and allows you to create free, embeddable online-binders to organize uploaded documents, websites, and your own commentary.
  50. Netvibes (http://netvibes.com) allows you to create and publish a “personal dashboard” to monitor blog, Twitter feeds, create lists of links using tabs and a system of boxes for feeds and embed code.
  51. SymbalooEDU ( http://www.symbalooedu.com/ )allows you to gather websites into a topical webmix or pathfinder.

  53. There is a huge advocacy component to the librarian ’s role in creating and publishing web pages using a tool like LibGuides, LiveBinders, wikispaces, or other similar tools. Such web pages provide evidence of the work of a librarian-selecting, organizing, teaching, and collaborating in the fulfillment of the mission of the school or public library.
