- Everybody has different terminally what collaboration means? Enterprise: Scalability, security, multiple language, support accessibility and integrated with my active directory so and so which we talk about “Enterprise” Collaboration Software, what does mean these days, what I look at in high level what specific the tool does, is it wiki, blog, forum doesn’t matter the tool helps to work together for common goal, you can add lots of buzz word, what we need at end of the day is people “work together” What we want to people to do, these day people take exciting actions, I call its new verb no longer people just reply, forward, people need to learn how to create, upload, like, pin, share, comment all short of things. Today people not just creating them self and they are co-creating it and finding it from other places and putting together. Discover, no longer just type something up right in the corner hit enter to get information, modern day tools presenting you the information you want, instead of search for information, its showing you information on these are people or document you need follow, the group you should belong too, the document you should looking at. - As first thing she wanted everyone to follow Standard Templates and Folder Structures, So She has proposal templates and she wanted her team use these template to prepare a proposal, quotation and presentation, So she decided to copy / save this template from her computer to Team site. Let see the how she share these template with her team more efficiently.
- Now she has challenge, she visited SharePoint Library to have a quick look who is working which documents, surprisingly there is no document checkout… So she decided to send an email and requested who is working on what? Everyone one comeback with list document they are working on, but and say they download template from SharePoint and working offline! So she started to worry, when first person upload his document to SharePoint it will overwrite a current file with new file, when 2nd and 3rd person upload it will do the same… So she need to prevent this issue She also don’t wants everyone upload become new version, when someone is editing the document should be locked so that other knew that someone is edting She wanted limited No. document version, and display version no. on view
- So for we are working with Word Document,
- Karan office has only limited office rooms, she need to meet many vendors, partners to discuss about the proposal and solutions, the internal team also wanted to book rooms, She inform building management and secure 4 room in the buildings, there is an issue she need to manage all internal booking and ensure that there is no conflict booking and room available for the her team and the team self manage the booking. Now she see to create quick booking system to manage this. She knew that there is calendar feature in SharePoint 2013 and she thought of using that to manage.
- Avoid confusion while editing documentsWhen a file is checked out to you, you are the only one allowed making changes to it. The file will remain locked (checked-out) until you release it. Site admins with correct privileges can discard the checked-out lock made by a user.(Without check-out it will be released after 15 minutes on XP and 60 minutes on Vista, and you might encounter numerous problems while trying to find the person who locked the documents and releasing it Control version numbers and metadataWith check-in/check-out enabled you will be able to control the version number with each save. You can also use the check-in form to provide additional comments about changes you made. When you are not using check-in/check-out every time* a new version will be created. This might lead to uncontrolled increase of versions, increase of your SharePoint database size and other unwanted side effects. Find out who is currently editing a document‘Checked out to’ column always displays the name of the person currently editing a documents. It can be very useful for filtering or simply knowing which documents are currently being edited. Each document currently checked-out gets a small green icon with a white arrow (see figure below). Draft documents While file is checked-out the changes you make are not visible to others. So if you are making and an important change to an important document you might want to hide the changes till you are finished.In case you do not like the changes you made simply discard the changes and revert to previously stored version. Offline availabilityWhen document is checked-out from an Office 2007 program, a local copy is stored My Documents/Drafts folder. You can edit this document while offline.
- Today I was talking about the all these feature and functions from SharePoint 2013 and Office 2013, the collaboration don’t stop at these stuff, its really required there key things “Trust, Conflict and Environment” Trust : trust each other and share your ideas, Conflict: conflict help to remove negative point from your proposal and help to shape up your proposal better.
