- The 1XX field in a record is the main entry. The main entry is the person, corporation, or conference responsible for an item’s intellectual content. The main entry can also be a uniform title. There can only be one main entry for each item. Some people think that the idea of a main entry is outdated, since it is based on the card catalog, but it is still how our cataloging rules are structured.
- Added entries (7XX fields) are other entries that are not the main entry but are related to the work.
- As you can see in these examples, no matter what the first number of the tag is, personal names always end in 00, corporate names always end in 10, and conference names always end in 11.
- All of these headings have to go through authority work. You can use the Library of Congress authorities website.
- Or, if you are an OCLC library, you can use the authority file through Connexion.
- CIP information is still formatted similar to card catalog style. The main entry is on the first line, farthest to the left.
- In this case, the main entry is a personal name, so it is a 100 field. You’ll notice that this 100 field has a subfield d, with the author’s birth date. If there are authority records for two people with the same name, dates are one way to differentiate them. You don’t necessarily need the year, month, and date, but in this case, there is more than one Michael Sullivan born in 1967 in the authority file, so they have been differentiated further. The date after his name is open-ended with no death date because he is still living.
- This next example is a little different because the book has two authors, and there can only be one main entry.
- AACR2 rules state that if there are three authors or less, you make a main entry for the first one listed.
- The other author or authors get added entries.
- This is an example of a book with both an author and an editor.
- The author gets a main entry.
- The editor gets an added entry.
- Since this is a memoir, there is also a personal name used as a subject heading.
- You can see that the 600 field follows the same form as the 100 field. The only difference is that the second indicator is 0, to indicate that this is a Library of Congress Subject Heading.
- On this item, the CIP information indicates that there is a date needed after the author’s name, so we will have to search the authority file to find out what this date is.
- We will search for “Edwards, Julie” since that is the form in which it is given in the CIP information, and we will see that her birth date of 1935 is given.
- Here is the same information in the Labelled Display mode. You will notice that there is a “See Also” reference to Julie Andrews.
- Again, of the two authors, Julie Edwards is listed first, so she gets a main entry.
- Emma Walton Hamilton gets an added entry.
- This next item is an example of a personal name that is just a forename.
- As I mentioned earlier, in this case, the first indicator is a 0. You’ll notice a new subfield here that we haven’t seen before, subfield c. This is used for titles associated with a person’s name, which is why we use it for “Governor” here. The other thing to notice about this personal name heading is that only an approximate birth date is known, which is why the “ca.” is used.
- This book also has two added entries for the “as told to” and for the editor.
- In the heading for the editor, there is another new subfield, q. This is used for a fuller form of the person’s name. In this case, the person publishes as Thomas S. Abler, but it is known that his full name is Thomas Struthers Abler, so that information is included, in order to differentiate him from other Thomas S. Ablers that might exist.
- We have another personal name as a subject heading in this example.
- Again, you will see that this is the exact same heading that is used in the 100 field.
- The author’s name in the 100 field is straightforward in this example.
- You will notice that there are no illustrators mentioned in the CIP information, even though there are two listed on the title page – another reminder that you can’t completely trust CIP records and you need to use your own judgement.
- The added entries for the illustrators show us another subfield, e. This is for relator terms, or terms that tell us a person’s relationship to the piece being cataloged. Though they exist for other relationships, LC’s practice is to only use them for illustrators of children’s books. Just as a reminder, all names that get added entries need to be mentioned somewhere in the record – either in the 245 field in the statement of responsibility or in a note.
- The next example will be our first case where the main entry for a work is not a personal name, but instead the title of the work. This is because according to AACR2 rule 21.C1, for a collection of works, the title is the main entry.
- Since a compiler of a collection is not actually responsible for the intellectual content, he gets an added entry, not a main entry.
- In this particular case, the illustrator gets an added entry, too.
- For sound recordings of books, the author of the original book is the main entry.
- In this case, the main entry is under J.D. Robb because that is the name this specific work is written under, even though she sometimes goes by Nora Roberts.
- Another personal name related to this work is that of the narrator.
- She gets an added entry. You will see that we have another new subfield here, subfield 4. This is for relator codes, which also identify a person’s relationship with the work – in this case “nrt” is the code for narrator. LC only uses $4 for non-book materials.
- The list of codes for $4 can be found on the LOC MARC site.
- In one of our earlier sessions, we saw an example of a book with two separate works and two separate authors, without a collective title. According to AACR2 rule 21.7, in this case, the main entry is made for the author of the first work.
- The author of the second work gets an added entry.
- In this case, we have another new subfield - $t. The title of the second work goes here. The subfield t indicates to your system that this title should be included in the title index.
- We’ve touched on this before, but we’re now going to look at more examples of a personal name used as a subject heading.
- Personal name subject headings can also have subdivisions, just like we discussed when we were talking about topical subject headings. In this case, a form subdivision ($v) is used.
- In this case, a topical subdivision ($x) is used.
- Now we’ll move on to talk about corporate and conference names as main entries. In this case, you can see that American Library Association’s Commission on Freedom and Equality of Access to Information is responsible for this work.
- A corporate main entry gets a 110 field. The first indicator is a 2 in this case, which means it is a name in direct order. In a 110 field, subfield a is for the name of the corporate entity, and subfield b is for a subordinate unit of the entity.
- If a conference is responsible for the content of a work, such as its proceedings, then the main entry is a 111 field.
- Corporate names can also be added entries, such in cases of videorecordings, when the production company gets an added entry.
- The first indicator of a 710 (or 110 or 610) field is 1 when it is the name of a jurisdiction. This occurs a lot in the state documents we catalog at the Commission, as you can see in the second example. Notice that subfield b is repeatable – there can be more than one subordinate group.
- Like personal name headings, corporate headings can also be subject headings, in 610 fields.
- This book is about the Patriot Act, so it gets a 610 field with “United States” as the jurisdiction and a $t for the title of the act. Just like with personal names, notice that when these headings are used as subject headings, the second indicator is 0.
- This book has an example of a subject heading that would go in a 611 field, for a conference name.
- The same as for corporate names, conference names with a first indicator of 2 are names in direct order, and the second indicator is 0 to indicate that it is a LCSH. It is hard to identify what type of heading this is – this is a case in which you would consult the list of ambiguous headings on the MARC web site that I mentioned in an earlier session.
- You’ll notice on your handout that you can also use a personal name as an 800 field – there are some series that are traced through their authors.
- At the beginning of the session, I mentioned that main entries can also be uniform titles. Uniform titles are used to bring together works that are the same work published under different titles (example: Hamlet).
- If a work with a uniform title does not have a personal, corporate, or conference main entry, the uniform title is the main entry and goes in a 130 field. As you see in this example, uniform titles can also distinguish between different forms of a work – in this case, the subfield l is used to specify the language.
- Items with uniform titles sometimes do have personal, corporate, or conference main entries.
- In this case, the uniform title goes in the 240 field.
- Uniform titles can also be added entries. In this case, an added entry is needed for a previous title.
- This goes in a 730 field.
- Another use for a uniform title added entry is to reference a work that an item is based on.
- The first indicator is 0 because there are no non-filing characters in this title.
- In this particular case, the uniform title also serves as a subject heading. This book is about the Anglo-American cataloging rules.
- The 630 field is the same as the 730 field, except that the second indicator is 0, just like other subject headings.
- In this case, a motion picture is the uniform title used as a subject heading.
- Linking entries are used in serial records when the title of a publication changes. The 780 field indicates what a publication used to be called, and the 785 field indicates what a publication’s newer title is. For both of these fields, the second indicators generate various display constants.
- Subfield a in a linking entry field is the main entry for the earlier or later title. Subfield t is the title, and subfield w gives the record control number for the other title. In this case, both the LCCN and the OCLC number are given.
