As documents are incorporating greater use of graphics and other sources of rich
content, average sizes of emails are rising.
This increase in email size has a direct and negative impact on email servers and
networks. Very large files should never be sent by email. Not only will they
impact on your own resources, but it is also very likely that the recipient mail
servers will refuse to accept them even if they do manage to transit.
Organisations can find themselves using a wide variety of alternative means of
transferring data, which can be expensive, and more critically, leave them open
to a range of data security vulnerabilities.
Typically, large data transfer can present issues where;
Marketing departments are sending brochures to printers
Planning departments are sending CAD drawings
Field engineers or home workers are trying to send data in to the office

2. Topsec Technology
The FileXchange service provides a simple web-based interface allowing users
to:
Select the file to be transferred
Upload the file
Automatically send an email to the recipient with a link to download the file
- or – simply create the link, allowing the user to cut and paste into their
own email
For added security, the user can also decide whether or not the recipient
is required to authenticate with an agreed password before downloading

1. Login and Select a File
Your login will be your email address – we will supply you with a password. You
can choose to change the password yourself after you login.

Browse to the location on your PC or network from where you wish to upload the
file – select the file
You can browse to a maximum of five files for any single upload. The combined
size for any single upload should not exceed 2Gb.

An intuitive file upload interface enables use by end-users
You can now select who you want to send the file/s to – include a message –
send a copy mail to yourself – make use of a captcha – or even require the end
recipient to authenticate with a password which you specify.
It’s that easy!

The recipient of the mail can click on the attached hyperlink – authenticate – and
download the file.
Uploaded files remain on our systems for a 30-day period.
3. Simple Administration
You have a range of administration options available to you – including:
My Files
Here you can see any files you have uploaded onto the service – with file name,
date uploaded, size etc.
Click any individual file ID and you can access even more detail on the file
concerned.
You can use this feature to re-send a link, or add a new recipient to those you
have already included.
Remember – you should only ever have to upload a file once - as long as the
file remains on the system.
6. Topsec Technology
Preferences
This element of the interface allows you to change your current password –
select the Change option below
You can now change the original password we will provide you, with a new one.
Should you lose your password at any point we cannot retrieve it – but we can
reset it, allowing you to access the service once more.
