Presentation from Salesforce.org Higher Ed Summit 2018 by: Dan Kellogg, Registrar.
The University of Wisconsin Flexible Option competency-based programs enable students to earn their degrees by demonstrating knowledge and concrete skills at their own pace. As part of the enrollment process, a student is assigned to an Academic Success Coach, and both will work together to develop an Academic Plan of Study (APS) that determines the number of competency-based projects in which the student will enroll over the span of three months to one year. The APS also serves as a foundation for the registration process for a 3-month subscription period within that year. Explore how the University of Wisconsin-Extension Registrar's Office works with Academic Success Coaches and their students using an extended Salesforce HEDA model, Opportunities, and Course Connections for the academic planning and registration process.

• UW Extension system of record to mange both student and academic records
• UW Campus partner system of record (PeopleSoft)
Student Portal (my UW)
• myUW is the student portal used to plan and register for courses
• Open source enterprise created through uPortal
9. Key Terms continued
Academic Plan of Study (APS)
• Road map to graduation – created in the student portal and requires advisor approval
• Multiple subscription period (SP) planning (minimum of four)
• APS set-up in the portal but are loaded in the SES as Student Degree Plans (SDP)
Student Degree Plan (SDP)
• Each SDP is associated with a specific SP (term)
• SDPs are records that may include past, current and future SP of study
• Actual registrations may not always match the APS, as students registers AFTER meeting with advisor
• If student stops out more than one year, they must re-apply for admissions (requiring SDP clean-up)
• Add/drops/withdrawals/cancellations/prerequisites and deferrals all impact SDPs
13. Course Registrations and Credit Equivalents
Competency Area: Business Economics 3.00 CE MD
BEI 100: Microeconomic Market Analysis I 1.00 CE M
• Demonstrate a working knowledge of economic terms and concepts
• Apply microeconomic models of supply and demand to analyze the impact of economic factors on product markets
BEI 105: Microeconomic Market Analysis II 2.00 CE MD
• Analyze how the demand and supply function in resource markets
• Analyze the impact of government regulations on business and consumers
• Analyze the consumer behavior and how it determines demand
• Analyze the producer behavior and how it determines supply
• Analyze the effect of competition on market price, output, and consumer welfare
Students register for projects (e.g. BEI 100 and BEI 105)
16. Course Registrations
Course Registration
• Registration window opens one month prior to the start of the Subscription Period (SP)
• Students registers for one SP at a time
• Course registrations appear within widgets on the Register's Office Homepage
• Course enrollment status remains at “registered” status until the term starts, then flipped to “enrolled”
29. Post-Term Student Degree “Clean-Up”
• If the student successfully completes the course with a passing grade, the SDP is forever
tied to the course and will not allow the student to plan for it again in the portal
• If a mark other than mastery or higher is posted, than the SDP for that term is deleted
• Courses at a “registered ” status are cancelled and the SDP tied to the term is deleted
30. Why are SDPs Deleted (removed)
• Students cannot plan or reregister for courses for which they already have an SDP tied to a term
• SDPs with Marks of PR (in-progress), I, W or F are deleted from their original term
• Course Connections do NOT go away, the SDP is only removed to allow for future planning
NOTE:
• Academic actions that occur BEFORE, DURING and AFTER a SP impact not only the enrollment record
that was created but also the projected, registered and enrolled SDP that was linked to that course
• Examples of academic actions that impact the SDP include: course adds/drops/withdrawals, course
repeats, prerequisites not met, term deferrals, administrative withdrawals, suspension statuses
Students who did not successfully master the course must reenroll
