A 'Written Communication' means the sending of messages,
orders or instructions in writing through letters, circulars,
manuals, reports, telegrams, office memos, bulletins, etc. It is a
formal method of communication and is less flexible.
• According to Billow (1981), writing is a kind of
magic , here magic means the process of
transforming the abstract sounds into concrete
scripts .
• Writing skill is the ability to write English correctly
writing is a productive skill and it involves
producing language rather than receiving it writing
skills are specific abilities which help writers put
their thoughts into words in a meaningful form and
to mentally interact with the massage writing skills
can be ticket to better grades and greater academic
achievement.

• Writing it provides a relatively permanent
record of information opinions beliefs,
feelings , arguments, explanations,
theories etc.
• Writing is an individual effort or work It is
a conscious, deliberate and planned
activity writing allows us to share our
communication not only with our
contemporaries but also with future
generations.

Writing is a form of encoded symbols in the form
of impression.
Writing more particularly, refers to two things:
Writing as a noun the thing that is written and
writing as a verb, which designates the activity of
writing
Topkins and Hoskisson (1995) provide five
stages of writing process
1. Prewriting
2. Revising editing and
3. Presentation.
Prewriting:
is the stage of getting –ready-to-write.
In this stage the student chooses a topic and organizes ideas
for writing the second stage,
Drafting stage is the time to pour out ideas with little
concern about spelling, punctuation and other mechanical
error.
The third one is revision stage in this stage the writer
refines ideas in his compositions.
Activities in this stage are reading the rough draft sharing
the rouge draft in a writing group and revising on the basis
of feed –back.
Next the editing stage is the state of putting the piece of
writing into its final form.

The writing skill includes a number of sub-skills According to sobana (2003). The
sub-skills of writing skill are;
(i) Mechanics , which includes handwriting spelling and punctuation.
(ii) Word Selection which includes vocabulary , idioms c.
(iii) Organization which includes paragraphs , topic and cohesion.
(iv) Syntax which includes sentence structure according to different grammatical rules

 In today s world of rapid-fast s via texts and emails, most of us
would rather shoot off a written message than make a phone
call.
 It’ s fast efficient when used properly , and it provides a nice
document trail for our work records written communication is
more important then ever, yet very few people know when
writing is the right-or wrong-form of communication and fewer
still can write well of .
 Course ,like all other communication skills good writing skills
can be learned.

When is written communication most effective and when
is it not ?
There are a number of factors that can help you make
that choice.
Complexity of the topic:
Using written communication is an excellent choice for
sharing information that is easily understood by the
independent reader. This means that reader can read the
communication and get the message clearly without
additional information from you or other sources.
Meeting , notices , answers to quick questions or quick
clarifications are all easy to complete with written
communication
 Highly complex topics or lengthy explanation are
not good choices for normal written
communication written communication should
stand alone for the reader.
the amount of explanation required to make the
information intelligible might be cumbersome
leading to misinterpretation or lack of
understanding In the long run you will end up
answering many follow –up emails or phone calls
that in these cases you would have been off having a
face –to-face meeting or in a formal training session
WHEN AND WHEN NOT TO USE WRITTEN COMMUNICATION

Amount of discussion required:
 If the topic is complex or involved enough that there
will need to be a long exchange of discussion type
emails the longer you allow the exchange to continue
in writing the more you are risking that someone will
misunderstand.
 Therefore decision making long involved explanation
or conversations or controversial subjects are not
usually good topic for written communication .
 Lengthy discussions by written communication
(email) are not efficient and each exchange risks
meaning getting lost.
Shades of Meaning:
We have learned form previous information that
non verbal communication is the most important
form of communication in getting your message
delivered.
 Written communication alone does not allow for
non-verbal communication –the most important
aspect of getting your meaning across.

Formal communication:
Although there are exceptions written communication is still
the common choice when the level of formality between two
parties is for example think about your customers or clients
.chances are that formal communication such as contract terms
sales, agreement, account information or other legal or
administrative information will be transmitted in written form.
 The higher the level of formality of communication , the
more likely you will use written communication and you will
usually employ email more are the level of formality
decreases.

The best subject lines will also tell you what needs
to be done and will let the recipient prioritize which
emails to open first and which ones to ignore for
later all together .

WRITING EFFECTIVELY
Although some of the following information related to
either email or paper communication , it is mainly geared
towards email since so much of our work involves email.
However , you can apply most of device to paper
communication as well.
Subject Lines:
when you are writing letter or an email, the subject line of
communication is like the headline in the newspaper. It
calls yours attention to the communication and should also
let you know what it is about .
By these subject lines, can you tell any information about what will follow? Sure , the first ane could be
clear if the receiver has only written one emails that day. But most of handle dozens, if not hundreds of
emails every week. Its unlikely receiver will remember exactly what you responding to.

Subject: Request to meet with regarding sales process-please Responds.
Dear Vedant,
I’d like to meet you, the sales team and the marketing team this week want to discus the impact of the
latest sales trends on the launch of AquaRain Super. Would you be available on Monday at 3 pm for
about an hour?
I spent some time Divyanshi this morning reviewing the numbers from last quarters sales results. I
was concerned to see that there seems to be downward trend in sales of the AquaRain, which is
significantly different from what we forecasted. I think we should attempt to identify ant possible
issues with the sales and fulfillment process.

Know your audience:
When you are writing a communication , you need to
be able to identify to whom you are writing .
Sure you could be writing to the world of your
organization or the world of all of your customers, but
you need to know what is that they will gain from your
communication .
It is just information for everyone or are there
particular unidentified members of the audience who
need to receive your communication , recognize the
information that is important to them , and then take a
specific action.
Organization of the message:
Perhaps your communication has more than one request
or call to action are unrelated to each other, the best choice
is to send a separate email for each one.
That requires your reader to see each topic in the subjects
line and then respond to accordingly.
However ,you might have situation where you have several
requests or several importance facts for the reader.
In that case , you need to organize to information in the
way increase the chance that the reader will give you all
the information or take all the action that you request.

Effective Writting communication

  • 2. 2 A 'Written Communication' means the sending of messages, orders or instructions in writing through letters, circulars, manuals, reports, telegrams, office memos, bulletins, etc. It is a formal method of communication and is less flexible.
  • 3. • According to Billow (1981), writing is a kind of magic , here magic means the process of transforming the abstract sounds into concrete scripts . • Writing skill is the ability to write English correctly writing is a productive skill and it involves producing language rather than receiving it writing skills are specific abilities which help writers put their thoughts into words in a meaningful form and to mentally interact with the massage writing skills can be ticket to better grades and greater academic achievement. 3 • Writing it provides a relatively permanent record of information opinions beliefs, feelings , arguments, explanations, theories etc. • Writing is an individual effort or work It is a conscious, deliberate and planned activity writing allows us to share our communication not only with our contemporaries but also with future generations.
  • 4. 4 Writing is a form of encoded symbols in the form of impression. Writing more particularly, refers to two things: Writing as a noun the thing that is written and writing as a verb, which designates the activity of writing Topkins and Hoskisson (1995) provide five stages of writing process 1. Prewriting 2. Revising editing and 3. Presentation. Prewriting: is the stage of getting –ready-to-write. In this stage the student chooses a topic and organizes ideas for writing the second stage, Drafting stage is the time to pour out ideas with little concern about spelling, punctuation and other mechanical error. The third one is revision stage in this stage the writer refines ideas in his compositions. Activities in this stage are reading the rough draft sharing the rouge draft in a writing group and revising on the basis of feed –back. Next the editing stage is the state of putting the piece of writing into its final form.

  • 6. 6 The writing skill includes a number of sub-skills According to sobana (2003). The sub-skills of writing skill are; (i) Mechanics , which includes handwriting spelling and punctuation. (ii) Word Selection which includes vocabulary , idioms c. (iii) Organization which includes paragraphs , topic and cohesion. (iv) Syntax which includes sentence structure according to different grammatical rules Writing Sub- Skill Mechanical Word Selection Organization Syntax
  • 7. 7  In today s world of rapid-fast s via texts and emails, most of us would rather shoot off a written message than make a phone call.  It’ s fast efficient when used properly , and it provides a nice document trail for our work records written communication is more important then ever, yet very few people know when writing is the right-or wrong-form of communication and fewer still can write well of .  Course ,like all other communication skills good writing skills can be learned.
  • 8. 8 When is written communication most effective and when is it not ? There are a number of factors that can help you make that choice. Complexity of the topic: Using written communication is an excellent choice for sharing information that is easily understood by the independent reader. This means that reader can read the communication and get the message clearly without additional information from you or other sources. Meeting , notices , answers to quick questions or quick clarifications are all easy to complete with written communication  Highly complex topics or lengthy explanation are not good choices for normal written communication written communication should stand alone for the reader. the amount of explanation required to make the information intelligible might be cumbersome leading to misinterpretation or lack of understanding In the long run you will end up answering many follow –up emails or phone calls that in these cases you would have been off having a face –to-face meeting or in a formal training session WHEN AND WHEN NOT TO USE WRITTEN COMMUNICATION
  • 9. 9 Amount of discussion required:  If the topic is complex or involved enough that there will need to be a long exchange of discussion type emails the longer you allow the exchange to continue in writing the more you are risking that someone will misunderstand.  Therefore decision making long involved explanation or conversations or controversial subjects are not usually good topic for written communication .  Lengthy discussions by written communication (email) are not efficient and each exchange risks meaning getting lost. Shades of Meaning: We have learned form previous information that non verbal communication is the most important form of communication in getting your message delivered.  Written communication alone does not allow for non-verbal communication –the most important aspect of getting your meaning across.
  • 10. 10 Formal communication: Although there are exceptions written communication is still the common choice when the level of formality between two parties is for example think about your customers or clients .chances are that formal communication such as contract terms sales, agreement, account information or other legal or administrative information will be transmitted in written form.  The higher the level of formality of communication , the more likely you will use written communication and you will usually employ email more are the level of formality decreases.
  • 11. 11 The best subject lines will also tell you what needs to be done and will let the recipient prioritize which emails to open first and which ones to ignore for later all together . What do these subject lines tell you about the information that will follow?  Response to your email  Question  Hello  Meeting  Information for you WRITING EFFECTIVELY Although some of the following information related to either email or paper communication , it is mainly geared towards email since so much of our work involves email. However , you can apply most of device to paper communication as well. Subject Lines: when you are writing letter or an email, the subject line of communication is like the headline in the newspaper. It calls yours attention to the communication and should also let you know what it is about . By these subject lines, can you tell any information about what will follow? Sure , the first ane could be clear if the receiver has only written one emails that day. But most of handle dozens, if not hundreds of emails every week. Its unlikely receiver will remember exactly what you responding to.

Dear Vedant, I’d like to meet you, the sales team and the marketing team this week want to discus the impact of the latest sales trends on the launch of AquaRain Super. Would you be available on Monday at 3 pm for about an hour? I spent some time Divyanshi this morning reviewing the numbers from last quarters sales results. I was concerned to see that there seems to be downward trend in sales of the AquaRain, which is significantly different from what we forecasted.   • 13. 13 Know your audience: When you are writing a communication , you need to be able to identify to whom you are writing . Sure you could be writing to the world of your organization or the world of all of your customers, but you need to know what is that they will gain from your communication . It is just information for everyone or are there particular unidentified members of the audience who need to receive your communication , recognize the information that is important to them , and then take a specific action. Organization of the message: Perhaps your communication has more than one request or call to action are unrelated to each other, the best choice is to send a separate email for each one. That requires your reader to see each topic in the subjects line and then respond to accordingly. However ,you might have situation where you have several requests or several importance facts for the reader. In that case , you need to organize to information in the way increase the chance that the reader will give you all the information or take all the action that you request.
