Topic of the day: How to Improve Productivity Through Employee Ability
Just as using a fork to eat soup is counterproductive, so is using an employee for something other than his
individual skill set. You may get something, but you could get much more with a different tool. One of the
keys to a successful and productive work environment is to make sure to use all of your employees for the
unique skills they possess.
Your employees are more than what their resume says; they are three-dimensional. Make an effort to learn
where they excel, as well as where they could use some improvement. This will allow you to utilize their
best abilities while you avoid depending on them for tasks you already know are their weak spots. Study
their habits, but also sit down and have a frank discussion with them about the areas in which they are
most interested. An enthusiastic worker is often a productive worker.
After you have identified the individual's strengths and weaknesses and the collective strengths and
weakness of your team, assign specific duties to those individuals who you believe will best execute the
tasks. Organize your employees by skills and list your needs. Place the best person with the task that most
fits their strengths.
You won't always get the job done perfectly. Though you may have given the task to the person whom you
believe is most qualified, you may not get the result you wanted. Remember, employees are people too.
Everyone works in different ways. Don't expect that just because the individual's skills fit the task, the work
will be perfect. The employee may not have yet grasped the best way to do the task, or the most efficient
way to accomplish the task. Try to nurture not torture. If an employee isn't intellectually comfortable in an
environment, no matter how great their ability, they won't perform at peak productivity.
Open communication is essential to a productive workplace. If your employees feel like decisions are made
without their consideration or feel as though they are not being listened to, productivity will ultimately
suffer.
If you find that your employees need more than just a simple brainstorming session to move things along,
consider a training program. Training programs can help address potential problems before they become
issues, thus saving time and frustration. You invest knowledge in your employees. The better trained they
are to do their work, the more benefit you will see in productivity.
Be realistic. Make sure your expectations are reasonable and you are not overworking your employees.
Even if they excel in one area, don't give them more than they can handle. Everyone will suffer and morale
will go down. Once you've gone through these steps of identifying, delegating and encouraging, carefully
assess the workload and hold off when necessary.
Give credit where it is due. There's no need to praise your employees when they change the toner in the
copier, but do give them a pat on the back when they save the company from financial ruin. Know when to
thank your employees for their contributions. Good office morale makes for more productivity.
