Executive Administrative Assistant
In this position, my main priority is to ensure that my supervisor has no stone left unturned, no client left in
the dark, and no employee left wondering what to do. My current position has supported the most senior
executives (3 total - Vice President, Global Marketing and Sales Initiatives Director, Regional Product Line
Manager - Latin America) and currently have added to the list the Global Director of Reservoir Services at
Weatherford Laboratories.
Priorities:
• Assist management in administrative detail, all projects
o Coordinate work flow
o Update and chase delegated tasks to ensure progress to deadlines
o Seek greater role in projects within administrative and other areas of competence
o Seek training on projects as needed
• Take initiative in manager's absence
• Protect and withhold confidentiality through all activities; ensure discreet handling of all
business
Activities - provide general and broad administrative and clerical support including; but not limited to:
• Assist with presentation and report preparation
• Comply with ISO regulations and communicate updates with managers
• Complete expense reports processing
• Maintain email monitoring and prioritizing
• Handle file organization
• Coordinate executive travel arrangements – including passports and visas
• Assist in note taking during meetings and following up with action items
• Assist additional personnel, as required
• Provide excellent customer service when interfacing with clients
• Compose correspondence/reports as requested
• Plan and coordinate team and related events and activities including Global Strategy
Sessions
• Communicate with all levels of management and staff, outside clients and vendors
Phone:
• Provide back-up phone support during meetings and other calls
• Coordinate materials for callbacks as needed
• Route calls elsewhere as needed
• Utilize Lync System for long distance meetings and calls
Appointments/Meetings:
• Maintain calendar, conference/meeting schedules; ascertain which events require presence
• Fix commitments to maximize time efficiency; allow decision/desk time
• For meetings organized by the Operations Manager:
o Prepare agenda in advance
o Arrange meeting facilities including: conference room, projector, food/drinks
o Prepare and track notes and actions; maintain action logs
o Coordinate executive management meetings on and off site
Visitors:
• Screen to control interruptions
• Provide support as needed
Supervision:
• As required, recruit, hire, train and supervise part-time or full-time, paid, or unpaid/volunteer
secretarial or clerical staff
• Create timelines and agendas for the daily tasks/meetings
• Communicate openly and professionally on a continual basis
• Maintain files and emails to ensure all priorities are being met
Proficient in the following programs:
• Word, Excel, PowerPoint, Outlook, OneNote, Lync, SharePoint
o Also have working knowledge with: MS Project, TimeTrac and other programming
Michelson Realty January 2006 – October 2013
Area Manager
March 2012 – October 2013 Michelson Realty (4 Houston Area Properties)
 Effectively guided and trained 4 managers while focusing on expenses, occupancy, NOI, customer
relations and staffing issues.
 Organized and lead monthly meetings with 6 office staffs (approx.24 persons/meeting) on the
importance of customer service and creating relationships.
 Trained at manager meetings on everything from marketing to using computer systems in an efficient
and beneficial manner.
 Initiated the use of new operating systems with iPads and apple devices in the work place.
 Addressed issues when managers are having a difficult time resolving them.
 Created yearly budgets and staying on target to spend less and increase revenues.

Increased occupancy from 85% to 95% after purchase of community by using feature/benefit sales
techniques, creating relationships with new and old residents, and consistently closing.
Concentrated on resident retention by planning social events to make a community a place to call home.
