Whether or not an Activity is assigned directly to you depends on the reason for and timing of the Activity creation.During segmentation, our systems tell us which accounts are changing segmentation, HOWEVER due to process and timing we will not always know the account owners when creating Activities in July and August. During this time, the activity will be assigned to the account owner if known OR to the ‘dummy’ redcarpt alias if the owner is not known. Beginning in September and for the rest of the fiscal year, any Red Carpet Activities created will have the old and new account owner assigned as these values will be in our systems.How will I know when I have an Activity which requires action?Anytime there is a change in Account ownership, the Red Carpet process is required and our systems should trigger the creation of Red Carpet Activities. If you are moving off of any account or taking over an existing account, an Activity will be created that requires your action. (If you are not already aware of change in account ownership, you would be informed by your manager). You should search the account in Siebel to find the Red Carpet Activity, and even if the Activity is assigned to the ‘redcarpt’ alias, as the Old or New Owner of that account you are responsible for completing Red Carpet and closing the applicable activity when done.Additionally, a majority of subsidiaries are choosing to have an email notification sent to Account Owners, informing them they have an Activity that requires action. The email notification will occur when the activity is assigned to an owner.
Finding and closing Siebel Activities is an easy 3 to 4 step processFirst, you open the Activity view in your applicable CRM system (whether that’s Siebel CRM, PSM, CE or GSX)You can search for the Red Carpet activity using the “My Activities” view on the Activities tab to see activities assigned to you, OR you can use the “My Accounts at a Glance” view on the Accounts tab to see all activities assigned to the Account regardless of to whom they are assigned. You CAN edit/close any activity assigned to the account as long as you are on the Account Team – (we recommend you do not remove yourself from the account team until your have completed your red carpet activity).Second, you search for the Activity using the term: “FY11 Red Carpet*”. You must type in the asterisk wildcard in order for the search to return the activitiesNext, the NEW Account owner should check to see which contact the activity is associated to, and if different than the person you had the transition conversation with, update the contact using the pick list. This will help ensure the right person is identified for any follow-up and satisfaction measurement. You can also choose to associate more than one contact to an activity if your transition discussions involved more than one contact. (This step is not completed by the Old Account Owner)Finally, you Close the Activity by completing the “Actual End Date” field – this will automatically change the activity status to ‘Done’
